City of Burlingame Page 2 Printed on 21912017 Library Board of Trustee Minutes January 18, 2017 Call to Order President Altmann called the meeting to order at 5:30PM. II. Roll Call Trustees Present: Kerbey Altmann, Andy Blanco, Randi Murray, Mike Nagler, Lisa Rosenthal Staff Present: Brad McCulley, City Librarian Sidney Poland, Recorder III. Library Board of Trustee Minutes The November 18, 2016 Board of Trustee Minutes were unanimously approved. M/S/C (Rosenthal/Murray) IV. Correspondence and Information The Trustees reviewed the statistics for November and December of 2016. Circulation at the main and Easton remained steady. V. From the Floor (Public Comment) - No one from the public attended. VI. Reports A. City Librarian's Report 1. DVDs, CDs, and Books on CDs The Trustees discussed the possibility of increasing the number of DVDs, CDs and Books on CD that would be available to our patrons. • Trustee Nagler noted that according to the Adult Services report from July 2015 to June 2016 total DVDs, CDs, and Books on CD totaled 75,137 at the main library and 1,088 at the Easton Branch. He felt that these statistics are indicators that patrons would appreciate a larger collection to choose from. • Possible areas to house additional DVDs etc. were mentioned. • Brad advised the Trustees that the Foundation usually funds this collection every year. • New DVDs etc. would possibly provide an opportunity for more residents to visit the Easton Branch Library. • Old movies are popular. Trustees inquired as to whether there is a criteria for disposing of movies. • Trustee Rosenthal was interested in the libraries' collection of movies from the American Film Institute. 2. E-Books - Brad expressed his view that he would like to increase the e-book collection. The difficulty in obtaining holds on e-books was discussed. Trustee Rosenthal suggested that detailed instructions be provided to patrons on how to download e-books. B. Foundation Report There will be three authors for Book and Author Luncheon. Holly Brown, David Francis, and Vanessa Hua. The event will be held at the Green Hills Country Club. Sponsorship letters will be sent out in February. VII. Unfinished Business A. Burlingame Public Library Strategic Plan On January 5, 2017 the managers and some staff members met to discuss how to implement the first steps of the Strategic Plan. • Goal B: Build Inclusive Community Connections and Goal E: Enable our staff members to thrive, grow and be deeply engaged in realizing our vision and mission were selected to be the first steps. • Strategies listed under each goal will be addressed and implemented on an individual basis. • Brad advised the Trustees that staff, Foundation members, and Strategic Plan Committee members would be kept up to date on the progress that is being made on the implementation of the Strategic Plan. • Trustee Nagler requested that some program selections should relate to the goals of the Strategic Plan. B. Silicon Valley Community Fund Trustee Murray and City Librarian, Brad McCulley, will schedule a conference call or meet in person with a Senior Advisor regarding how the library's funds are invested and who actually selects and is responsible for the specific funds. A higher level of customer service for the library's account will be requested. C. Consolidation of Trustee Funds Jeannine recommended combining the Ornament Fund with the Undesignated Fund. The Trustees requested that Jeannine provide them with a proposal that further consolidates the individual funds in the Trustee account. D. Food in Library Guidelines The managers determined that food would be excluded in the Fiction and Reading Room. Covered drinks are acceptable in these two areas. Maryam and Brad plan to create signage that designates both the acceptable and unacceptable eating areas VIII. New Business A. Library Holiday Schedule The Trustees unanimously approved the Library Holiday Schedule for 2017-2018. M/S/C (Murray/Nagle) B. FIKA Cafe Hours Ghada Albaghah, our cafe owner, would like to close the Library Cafe on Saturday due to lack of business. The Trustees suggested that Ghada schedule Saturday hours from 10:00AM to 2:OOPM and requested that Brad discuss this option with her IX. Adjournment The meeting was adjourned at 7:OOPM. The next meeting of the Library Board of Trustees will be held February 21, 2017 in the Library Conference Room at 5:30PM. We will be looking at more multi -generational and multi -cultural programs, more inclusive services and building bridges to more community and City organizations. Staff will be visiting the new Yaseen Muslim Community Center newly located in Burlingame. o Budget Season — Budget season is upon us. I will be working with Jeannine Culligan our Accounting Admin on creating a reasonable Library budget for 2017-2018. I have already worked with staff in creating a Foundation budget request for 2017 to pay for all program expenses and some collection development. o Passport Intake update — Our new Passport Intake agent has completed her certification and will be working with staff to begin taking reservations soon. Mid -March is the tentative date for beginning this program in cooperation with the State Department. o Staff/Trustee/Foundation Appreciation Brunch— Thank you to our Trustees and everyone who made the event a success. A grand of time was had by all special thanks to Deb Donaldson for the beautiful flowers, Trustee Randi Murray for the champagne and to Sidney and Jeannine for their logistical work and to Patty Anixter and our Trustee Chair for keeping their speeches much shorter than mine. o The Power of Poetry Month! — Childrens had another great Poetry Month with 309 participants who brought in a poem. As Rita Dove (US Poet Laureate 1992) said "Poetry is language at its most distilled and most powerful" These kids made themselves vulnerable when they wrote and read a poem of "powerful language" out loud in exchange for a book. This Foundation funded program sets them on a path of inspiration that will follow them the rest of their lives. o John Lescroart "Fatal" book talk— In case you missed it we had a great turn out for local author John Lescroart. He (and his wife) were very engaging and even agreed to come to back to do another talk and "have dinner with a Librarian." He was able to catch up with his old classmate and local "Me You We" podcast star Jerry Murphy. o Taiko Drums: Children Dept invited a Japanese taiko drum group to perform Sunday Jan 22nd. It was loud and exciting and a big hit! Facilities update: o Facilities Division has assessed our west facing windows in both the Childrens Room and the Reading Room and will rehabilitate (not replace) them sometime this summer when the weather is more cooperative o Facilities is also assessing the two light wells on both the east and west side of the buildings for sump - pumps. During the recent storms both wells fill with water approximately foot and half above the Lower Level windows. Patron Quotes: "I wish to thank Burlingame Library for having volunteers in the Computer Lab and the Volunteer Jerry helps me with my computer. He is a good person and I wish him success in everything he does." Ganapathi Raj Otilingam Special Update: On the eve of completing this report, a patron came in to thank one of our newest Librarians, Cynthia Ryder, for helping her get a job at Google. Turns out this patron, originally from Spain, had been attending the Library's ESL Conversation Class held here weekly, as well as, our Phase2Career programs with Ron Visconti. She was working as a hostess at a restaurant on Burlingame Ave and would come to the Library's programs to practice her English and work on her resume. It paid off! Very proud of our staff and Ron from Phas2Career for making this happen.
