Roll Call Trustees: Kris Cannon, Danielle Garcia, Jill Goldsmith, Mark Lucchesi, Elisabeth Ostrow Staff Present: Geralyn O'Brien, Circulation Manager Brad McCulley, City Librarian Ray Delara, Tech Services Manager Sidney Poland, Recorder II. Agenda Items Approved by Trustees A. Approval of December 2023 Minutes B. Approval of Progressive Discipline Policy C. Approval for Trustees to fund cost of Staff Appreciation Luncheon if necessary. III. Library Board of Trustee Minutes The Trustees approved the December 19, 2023 Minutes. M/S/C Goldsmith/Ostrow) IV. Correspondence and Information The Trustees reviewed the December statistics and noted the successful turn out for the month -long Gingerbread-themed Scavenger Hunt. V. Presentations/Reports A. Geralyn O'Brien — Circulation Manager • The Circulation Department has a staff of 3 full-time and 14 part time employees. • It is the Circulation staffs responsibility to keep the library materials moving i.e., books, magazines, DVD's, CD's. This includes checking materials in and out, processing holds, shelving materials, and assisting patrons in locating items they wish to check out or use in the library. • Geralyn emphasized that as a supervisor the well-being of her staff is a main concern, and she thanked the Trustees for providing the funding for a new AMH. • Essential functions of the AMH are to check in and sort library items in preparation for shelving. This process alleviates continued physical stress on the wrists and hands of staff. • Circulation staff also provides library cards to patrons and sends out welcome post cards to new residents. B. City E-Mails — Ray DeLara, Technical Services Manager Ray checked with the Trustees to confirm that they were able to log into their City E-mails. C. City Librarian's Report — Brad McCulley • Furniture in the Teen Room was rearranged by moving some of the chairs and tables away from the stair well in the hopes of decreasing the noise level which has become excessive. • Form 700 will be sent on-line to the Trustees from the City Finance Department. The purpose of this form is to determine if a Trustee has investments in the City of Burlingame that would be considered a conflict of interest with their position as a Library Trustee. D. Foundation Report — Brad McCulley • The Foundation accepted the City Librarian's yearly request for library programs and special projects such as upgrading the Lane Community Room. • Janice Scattini, Randi Murray and Amy Barry, long time members of the Foundation, have resigned. There will be a recruitment for new members. VI. Old Business A. AMH • Lyngsoe has given the library mid -April as a possible timeline for the arrival of the new AMH. • Payment of the second installment for the AMH is due at the end of January. Brad, the City Librarian, will request these funds from the Silicon Valley Foundation. B. Lane Room Upgrade There is not any current information at this time. C. Progressive Discipline Policy The Trustees unanimously passed a motion to approve the guidelines of the Progressive Discipline Policy as presented. M/S/C (Cannon/Garcia) D. Library Quote Plaques • The Trustees discussed different scenarios for placement of the plaques. Underneath the windows of the Children's Dept. where there are already indentations in the building was one of the suggestions. Brad, the City Librarian, advised the Trustees that a committee was being formed to oversee the plaque process. • Brad, also brought up the idea of implementing a process to have a permanent display of quotes from notable figures on the sidewalk leading to the library front porch. Brad will discuss this idea with the Facilities staff. E. Review of Staff Appreciation Luncheon • Staff and Trustees enjoyed the event and the Trustees felt that the staff appreciated the opportunity to interact with them. • The Trustees unanimously passed a motion to fund the cost of the event if the Brad, the City Librarian, is not able to use funds from his Professional Development account to pay for food and beverages. M/S/C (Goldsmith/Cannon) VII. New Business A. Staff Morale The Trustees discussed the subject of Staff Morale. B. Electric Keyboard Acquisition • The suggestion to purchase an electric piano keyboard was made due the fact that the grand piano in the Lane Room has recently been used consistently by a few patrons. Availability of an electric keyboard could be an alternative for an interested patron if the piano is in use. • Brad, the City Librarian, will research piano keyboards and present the idea to the managers. VIII. ACTION ITEMS A. Brad, the City Librarian, will request funds for the AMH from the Silicon Valley Foundation. B. Brad, the City Librarian, will discuss the possibility of placing brass plaques with quotes from notable figures on the library sidewalks with Facilities staff. C. Brad, the City Librarian, will research the possibility of purchasing an electric keyboard. IX. ADJOURNMENT The meeting was closed at 7:OOPM. The next meeting of the Burlingame Library Board of Trustees will be held on February 20, 2024. /s/
