Approved Board of Trustee Minutes
June 19, 2018

II. Library Board of Trustees Minutes
The Trustee unanimously approved the minutes for the May 15, 2018
Trustee Meeting noting that the heading in Item B Section VI Unfinished
Business, should be corrected from "Term Limits for Current Trustee
Positions" to "Terms for Current Trustee Positions." M/S/C

III. From the Floor (Public Comments)
There were not any representatives from the public who attended the
Trustee meeting.
IV. Statistics
The Trustees reviewed the May statistics. It was noted that Easton
Circulation is trending downward almost consistently. The decrease is
less dramatic than it appears due to the fact that the starting date for the
graph is May 2013 when Easton Circulation was unusually high.
V. Librarian's Report
A. Highlights
• Personnel - Jinelle Remo and Daniel Coretana are the two new
Library Aides.
• 3-D Printing Update - Library staff will assist e-Nable in printing
parts for children's prosthetics. This organization is comprised of
doctors, engineers, and volunteers for the purpose of providing
inexpensive prosthetics to children all over the world.
VI. Unfinished Business
A. Speaker's Series
Trustee Murray reported on the committee meeting held to
evaluate the event and plan for the next one. A different
ticketing platform will be used for the next event. A lottery
system for ticket purchases is under consideration.
B. Plaque for Jim Kaufman
The plaque for Jim Kaufman has been completed.
C. Update on Advance Star and Microfilm Digitization
• Brad has selected BMI Imaging Systems to digitize
approximately 200,000 pages of the Advance Star and 115
reels of 35mm microfilm.
• BMI is located in Sunnyvale and will pick up the Advance Star
volumes and the microfilm rolls.
• Digital Reel is the software that BMI uses. Grayscale
Enhancement is available to enhance poor quality documents
such as old newspaper articles. This is an important feature
as many of the articles and photos in the Advance Star
collection are faded.
• BMI has agreed to digitize the Advance Star Volumes and the
microfilm for a cost of $80,000.
• The Trustees were given a copy of the proposal which provides
the digitization process in detail.
• The contract is being reviewed by the City Manager and the
City Attorney.
D. Trustee Position
The City Council appointed Randy Murray to a 3-year term
on the Board of Trustees.
VII. New Business
A. Monthly Topic - Easton Branch - Kathy Von Mayrhauser
Patti Flynn
Kathy noted that the Easton Branch collection emphasizes
children's books, AV materials and Popular Materials, as well as
presenting a brief overview of the services available at Easton
provided by Kathy and her staff.
• 6 class visits for Our Lady of Angels students each month.
• Class visits are made to Lincoln, Roosevelt, and Hoover as they
are the closest schools to Easton upon request and for special
programs such as Summer Reading.
• Story Times once a week for toddlers plus a bedtime story time
every Wednesday night.
• Special programs held yearly include an author event, fall event,
winter program usually a sing -a -long or puppet
show, Summer Reading Kick Off, one Family Fun Night and
National Library Week.
History of Easton Library - Patti gave the Trustees a brief overview
of how the Easton Branch Became a library.
• In April of 1923 the lot now known as Easton was purchased
by the North Burlingame Community Club. Club house was
completed in 1927 and the name was changed to Burlingame
Woman's Club in 1931.
• Burlingame Library Board of Trustees and the Burlingame
Woman's Club signed a lease option to buy. (1942) Name
changed to Easton Library
• 1947 Purchase Option to Buy was executed by the Board of
Trustees.
• 2001 Easton renovation approved. Monies from the Marshall
Trust provided the funds for the renovation.
• 2003 - Easton closed for remodel; reopened in 2004.
• May 2009-December 2010 Easton closed on Fridays due to
budget cuts
• April 2010 Easton "neighborhood campaign" commenced and
successfully raised $70,000 to keep Easton open for a year.
Challenges at Easton
• Kathy expressed to the Trustees that the lack of air conditioning is
one of the challenges that concerns her.
• Trustee Murray requested that Brad obtain an estimate for solar
panels and also look into the possibility of installing a ceiling fan
to help cool the building during heat spells.
• Brad and Johnson Woo of Facilities will meet on Thursday June
28th at which time Brad will inquire about possible solutions to
the lack of air conditioning at Easton.
B. Cancellation of August Meeting due to Vacation Schedules
The Trustees agreed to cancel the July meeting instead of the August
meeting as this time frame was more convenient.
C. Election of Officers for Term of One year.
This item will be placed on the August Agenda. Based on a rotation
procedure, Trustee Blanco will serve a one term as President of the
Board of Trustees and Mike Nagler will serve as Secretary from
August 2018 to August 2019.
D. Presentation of Anson Burlingame Bust October 12, 2018
On October 12th the Library and the City will be the recipients of a
bust of Anson Burlingame donated by the artist and the Chinese
Consulate. City Council, Trustees, Foundation members and staff
from City Departments will be invited to the presentation.
VIII. Adjournment
