City of Burlingame Page 2 Printed on 711412017 Burlingame Library Board of Trustee Minutes June 20, 2017 I. Call to Order President Altmann called the meeting to order at 5:30 p.m. II. Roll Call Trustees Present: Kerbey Altmann, Andy Blanco, Randi Murray, Lisa Rosenthal (by phone) Trustee Absent Mike Nagler Staff Present: Brad McCulley, City Librarian Sidney Poland, Recorder III. Library Board of Trustees minutes The Trustees approved the Library Board Minutes for May 31, 2017. M/S/C (Murray/Rosenthal) IV. From the Floor (public comments) No one from the public attended the Trustee meeting. V. Statistics Brad will meet with Trustee Murray to discuss the new format for the statistic reporting. VI. Reports A. City Librarian's Report - no update since May report. B. Foundation Report The total proceeds for the Book and Author Luncheon are $74,200. $4,200 are the proceeds from Fund A Need. VII. Unfinished Business A. Program Strategy for Adult Services Randi, Mike, (Trustees), Brad, Tommy (Library Staffl met with Foundation members Patty Anixter, Terry Nagel, Noreen West, and Christina Funk to present them with some of the ideas they are discussing about how to develop and plan for an adult speakers series. Highlights of the meeting follow. • Adult Reference staff, under Tommy's direction, would research well known speakers and authors. Trustees and Foundation member would also be asked to assist in this effort. • Library staff would assist with marketing, posters etc. • Prepare budget after Brad is able to ascertain the cost of upgrading the Reading Room to accommodate an audience of 80-300 attendees, as well as proper lighting, sound and seating. • Create ways to engage new volunteers from Burlingame and Hillsborough in assisting with this project. B. Paoletti Consulting - Acoustical Consulting Program The Trustees unanimously approved funding for Paoletti Consulting to prepare a report recommending upgrades for the sound system, improved lighting and additional seating in the reading and the teen rooms in the amount of $2,500. M/S/C Murray/Rosenthal C. Ross McDonald Co., Inc. Quote - Wooden Furniture The Trustees agreed to Brad's request to put the quote for wooden furniture on hold. D. Library T Shirts with Mission Statement The Trustees unanimously approved a budget of $1,000 to purchase library t shirts, subject to adding the word "Burlingame" to the design on the front side so it reads "Burlingame Library". E. Public Terrace Policy The Trustees unanimously passed the motion to approve the Public Terrace Policy which clearly states in the posted signage that "No Minor Under the Age of 18 Allowed on This Terrace Without a Parent." San Mateo Public Library's Programming for Young Adults The Trustees agreed to table this item until the July meeting as Trustee Nagler wants to be present for the discussion. B. Burlingame Public Library - Bike Lock Policy 1. Terms of Proposed Bike Lock Policy • Library will loan out bike locks to patrons who wish to use the bike racks while using library services. User must have valid PLS library card or leave a valid ID. • Locks must be returned by the end of the day to the Information Desk. Late fee is $1.00. Patron will be charged full replacement cost if lock is not returned. • Burlingame Library is not responsible for patron's bike if it is lost, stolen or damaged with or without the bike lock. • Patron must sign Bike Lock Agreement before checking out the bike lock. 2. Trustee Action The Trustees unanimously approved the Bike Lock Policy as presented. M/S/C (/Rosenthal/Murray) C. Funding for Digitizing the Advance Star The Advance Star is the old Burlingame Newspaper which now resides in bound volumes in the Library storage room. The paper began publication in 1914 and ended in 1970. The volumes are falling apart and the contents are very fragile. • Digitizing these volumes is part of the Request for Proposal that the City is putting together to digitize years of important documents such as Library Board Minutes, City Council Minutes, maps, City Ordinances etc. • Brad is researching avenues of supplemental funding for the Advance Star project. IX. Announcements A. Trustee Summer Meetings The Trustees will hold their regular scheduled meeting on July 18, 2017. The August Trustee meeting scheduled for August 15, 2017 will be cancelled due to vacation schedules. B. July Agenda Item Nominations and election for President and Secretary of the Board of Trustees will be place on the July agenda. X. Adjournments The meeting was adjourned at 7:00 p.m. M/S/C (Murray/Blanco). The next meeting of the Library Board of Trustees will be held July 18, 2017 in the Library Conference Room at 5:30 p.m. Respectfully Submitted, Bradley McCulley City Librarian Burlingame Public Library City Librarian Report to Board of Trustees July 18th, 2017 BURL I NOAMI Personnel Updates: o We recently discovered that volunteers are subject to the same Worker Comp guideline as employees. If a volunteer is injured, he/she should let a manager/supervisor know and report it to our Nurse Hotline for recording and follow-up. o No new hires at this time. Circulation is interviewing for aide positions at this time. General Updates: o Strategic Plan 2017 — Staff have made headway in SP 2017 (please see attached action item update) o Passport Intake update — passport services continues to thrive, we are booked well into September. Saturday appointments seem to be the most popular and are booking at least 2-3 months ahead. Tech Services Librarian, Andrea San Andres is our newest agent. She is certified as a passport agent and has been shadowing other agents to get her feet wet with the details of the job. Passport services acquire roughly $2,000 dollars monthly. o Training — . Jason Yap and Azita Keshmiri attended a refresher course on June 30 in the San Francisco passport Agency. o Programs — As part of our First Friday Art series and in partnership with the Ruth Waters, we have an art installation on the Lower Level. The piece is called "Blooming" and made of solid olive wood. Elaine is also working with an artist who will be creating an original art piece that will hang from the chandelier over the stairwell Wed July 19th is the Adam Klein Survivor program. It will be held in the Media room if anyone is curious about potential speaker series possibilities. Facilities update: o No major facilities issues at this time. o We are almost done with a possible Green Certification from the County but must work out something with our non -compliant toilets. o Our Facilities Supervisor is researching the possibilities of reconfiguring long study tables with plugs in the Reading Room (277 volts) Patron Quote: "The Repair Cafe was awesome. Kudos to Cynthia too! — Catherine Huston lee, �.. •' '! i �. • • i, Mateoan Public Library Description of Programming Concept As new and emerging trends occur in the library profession, it is important for the San Mateo Public Library to consider integrating such trends in order to increase usage and engage different demographics, specifically library patrons in their 20s and 30s. One such trend is the inclusion of alcoholic beverages as part of the complement of refreshments at library programs. Non-alcoholic beverages such as iced tea and coffee would also be available. Though alcohol would be available at these programs, it would not be the focus nor would it be explicitly advertised on the flyer. The library would strive to keep the focus on the topic at hand and while the subject matter may be alcohol -related, the purpose of the program is educational and serves the Library's goal of engaging community members that fall into the millennial generation. Controlled Registration Library patrons would rsvp to the event either online using the website Smoothbook (an online appointment site) or Eventbrite. Using this method will allow the Library to target those who range in age from 21 to 35. Publicity will explicitly delineate that the program is for those who are 21 and older. Registration of Attendees Attendees would need to check -in when they arrive to confirm they are on the registration list. No Sale of Alcoholic Beverages The event is free and open to those who are 21 and over. There would not be any sales of alcoholic beverages. Funding for this program would be provided by the Library Foundation. Servers of Alcohol Beverages Alcohol would only be served and poured by Library staff. Beer and wine will only be served in plastic cups. To control consumption, each attendee will receive 2 tickets that they can redeem for 2 alcoholic beverages. Each program would be staffed by 2-3 library staff who would monitor exits and control usage. LEAD/Alcohol Beverage Control (ABC) Training Library staff would complete the LEAD/Alcohol Beverage Control (ABC) training. Public Safety All requisites proposed by the City and City Police would be followed.
