City of Burlingame Page 2 Printed on 1011312017 Burlingame Library Board of Trustee Minutes September 19, 2017 I. Call to Order President Murray called the meeting to order at 5:30 p.m. II. Roll Call Trustees Present: Kerbey Altmann, Andy Blanco, Randi Murray, Mike Nagler, Lisa Rosenthal Staff Present: Brad McCulley, City Librarian Sidney Poland, Recorder III. Library Board of Trustees Minutes The Trustees approved the Library Board Minutes for July 18, 2017. M/S/C (Rosenthal/Altmann) IV. From the Floor (public comments) No one from the public attended the Trustee meeting. V. Statistics The Trustees reviewed the one page statistical graph that Patti Flynn created and agreed that this format should be used going forward. VI. Reports A. City Librarian's Report - Highlights • The Mentor program, which is one of the action items in the Strategic Plan, is now in progress. A number of staff members have expressed an interest in participating in this program. Congress has yet to approve the passport fee from $25.00 to $35.00. The increase for these services would help negate mailing services. Brad and Ben Ocon, San Mateo City Librarian, gave a presentation to the Hillsborough City Council to inform them of the services each library provides for its community. B. Foundation Report • Christina Funk and Cindy Montgomery will serve as Co - Presidents of the Foundation beginning in January 2018. Patty Anixter, current President, will remain on the Foundation Board of Directors. • The October Book Sale will be open to the public on Friday, October 13th 12:00-5:OOPM, Saturday October 14th, 10:00AM-4:OOPM and Sunday October 15th 12:00-4:OOPM. VII. Unfinished Business A. Update on Speaker Series Program 1. Account Recommendation - Brad will prepare a budget for the Speaker's Series finances. He noted that a specific account needs to be established for the Speaker's Series. The Trustees unanimously approved a motion authorizing Jeannine Culligan to create a Speaker's Series account from one of the Trustees existing accounts. M/S/C Rosenthal/Blanco 2. Electrical Upgrades - The electrical work that was necessary to make it possible to move the tables for the Speaker's Series has been completed. 3. Reading Room Carousels- Brad met with Bob Schmidt to discuss the dismantling of the reading room carousels for Speaker Series' events. The project is scheduled to be completed by Thanksgiving. 4. Sound Assessment - Paoletti Consulting submitted recommendations to improve the acoustics/sound in The Teen, Children's, Lane Community Room and Reading Room. Partial suggestions are stated below. • Teen Room (Future Project) - Install solid glass barrier behind the columns at the main stairway and provide gypsum board to absorb the sound. • Children's Area (Future Project) - Install sliding glass doors that can be shut during story times and special programs which will keep the sound energy contained. • Lane Community Room (Future Project) - Increase sound diffusion within the room especially for musical events by replacing carpet with oak flooring at front of the room and adding sound reflecting wood panels. • Reading Room (Speaker's Series) Depending on the source of the sound, speakers should be placed accordingly. For Example if sound emanates from the font of the room loudspeakers should be angled toward speaker. The alternative is to have loudspeakers placed above the area where guests are seated if sound is coming from different sources. B. Library T Shirts with Mission Statement The Staff appreciates the Trustees offer to fund the T Shirt Project but have decided that they would like to purchase their own T Shirts. C. San Mateo Public Library's Programming for Young Adults At the request of the Trustees, Brad met with our City Attorney, to revisit the possibility of Burlingame Library instituting the same policy that San Mateo Public has which permits them to serve alcohol at specific programs for young adults 21 years or older. Our City Attorney maintained that this was not a policy that the City of Burlingame could support due to liability issues. D. Funding for Digitizing Advance Star Patty Anixter, on behalf of the Library Foundation, has requested a grant from the Smart Family Trust for the purpose of digitizing all the volumes of the Advance Star from 1914 to 1970. The Foundation should be advised in October if their request has been approved. VIII. New Business A. Universal Card / Kanopy Brad is a participant of a PLS subcommittee that is researching the possibility of a universal service that would give all patrons access to any of the PLS data bases. Kanopy is being considered as a new streaming video service. B. Collection Development Policy The Trustees reviewed the Collection Development Policy that was revised by Tommy McMahon and passed a motion to approve the policy in its entirety. M/S/C (Rosenthal/Altmann) C. Monthly Topics - Ray De Lara - Blaine Tai Ray and Elaine gave the Trustees an overview of how the Library is being marketed. Some of the highlights follow. • eNewsletters - City newsletter, Library Aware • Shoutbomb is event notification through text messaging. The library has provided bookmarks that provide sign up procedures. Patrons can also sign up through the website. Cross -promotion and collaboration - Parks and Rec, DBID, T Pumps, Books, Inc., Local Artists Outreach - taking the bike to Burlingame Ave. Farmer's Market, and First Friday Music E-Books - Big Library Read - Overdrive global e-book. Each month, a specific library selects a book that is available to patrons of all libraries. Patron can download app, enter their library card and get the book. IX. ACTION ITEMS Kathleen Kane, City Attorney, will attend a meeting in the near future to discuss the Brown Act and how it relates to the Board of Trustees. Monthly Topic in November will be the Strategic Plan. The December Meeting will be cancelled due to holiday schedules. X. Adjournments The meeting was adjourned at 7:00 p.m. M/S/C (Altmann/Blanco). The next meeting of the Library Board of Trustees will be held October 17, in the Library Conference Room at 5:30 p.m. Respectfully Submitted, Bradley McCulley City Librarian Burlingame Public Library City Librarian Report to Board of Trustees October 17th, 2017 BUK I NOAMI Personnel Updates: o Please welcome Christie Graci - our newest employee — on call librarian in Children's Dept. o Sharon Murata has given notice due to her move to Tracy, CA. Sharon has worked here since August 2014. She started as a library aide and then was promoted to Library Assistant in 2015. She has currently been cross training in Technical Services. She will definitely be missed. General Updates: o Strategic Plan 2017 — Presentation November 16th meeting o Passport Intake update — n/a o Training — Cultural Sensitivity Training took place Sep 25th. It was beneficial but not completely germane to our situation. We will continue to research training in this area. o Significant Programs — o 1. Sept 23rd "Cardnival" was a complete success with over 400 people attending and 25% increase in new card registration. This was o STEAM Fest — Oct 21 st 1 Oam-3pm will be a day devoted to Science, Technology, Engineering, Art, and Math. This is an all hands event (I will be staffing a table too) If any Trustee would like to participate please let me know or Jenny Minor our librarian in charge of this project. This program is funded through the Library Foundation's "Fund the Need" request from this year's Book And Author Luncheon. o Two upcoming author programs worth noting: On November 1 lth we will be hosting a tea social for Gail Carriger's book launch. Carriger is a New York Times Bestselling author known for her steampunk novels. Margaret Wilkerson Sexton will be here on November 16th to discuss her new novel, A Kind of Freedom, which is on the longlist for the 2017 National Book Award. Facilities update: o Work will begin soon on rehabilitating the original 1929 windows on the North side of the building to prepare for rainy season. Patron Quote: "I love reading! Come learn 3 magic tricks plus 8 more tricks that can be easily understood with the help of the Visual Math" pictures for decoding addition.
