Call to Order President Altman called the meeting to order at 5:30PM. II. Roll Call Trustees Present: Kerbey Altmann, Andy Blanco, Mike Nagler, Lisa Rosenthal Randi Murray (by phone) Staff Present Brad McCulley, City Librarian, Sidney-Poland, Recorder III. Library Board of Trustee Minutes The June 21, 2016 Board of Trustee Minutes were unanimously approved. M/S/C (Rosenthal/Nagler) IV. Correspondence and Information A. Statistics Circulation statistics at the main showed a slight decrease from June of 2015. Easton circulation showed a small increase. Circulation June 2016 June 2015 Per Cent Change Main 53,482 54,509 -1.88%% Easton 7,818 7,754 0.83% Circulation July 2016 July 2015 Percent Change Main 53,960 55,974 -3.60% Easton 7,163 6,977 2.67% Circulation in July decreased at the main and increased at Easton. V. From the 'Floor (Public Comments) There were not any members of the public in attendance. VI. Reports A. City Librarian's Report--Highlights 1. Personnel • Our full time custodian is currently on medical leave for approximately 6 weeks. Jim Kaufmann and Al Tripp, our part time custodians, will be filling in. Staff will pitch in where needed. Our Acquisitions Specialist is on Family Leave and our_Tech Services Manager, Megan Wong will be on maternity leave in 2 weeks. • Jennifer Monroy (Passport Intake Agent), Eddie Manio and Sharon Johnson (Easton) are new library employees. Interviews for the full time Reference position will be held next week. Summer Events • The Children's Dept. has again held another round of successful Family fund Nights. Attendance for all 7 events is 1,162. Summer Reading concludes August 31St. • A special Olympics celebration to be held on August 18th will highlight the 1932 Los Angeles Olympics and mark the conclusion of Adult Summer Reading. • Last Ever Harry Potter Book Party-The Children's Department treated our patrons to a fun filled afternoon of Harry Potter activities to celebrate the publication of the latest and last adventures of Harry Potter. • Repair Cafe _ The libraries first Repair Cafe was a great success. Library Trustee Lisa Rosenthal, Terry Nagle and the CEC, Green Citizens organized the event. 65 people attended and 125 items were repaired. Lamps-were the most popular fix-it item. Cynthia Rider, of the Reference Staff will chair the next Repair Caf6. 3. Safety Update- On July 13th, library staff had a surprise fire drill. Staff executed the proper procedures well and were able to leave the building in a timely manner. The internal safety committee will be reviewing our missing child policy in September. B. Foundation Report Foundation Members will hold a fall book sale October 14th through the 17th. Six new members have joined the Foundation Board. C. Easton Branch Highlights - Kathy Von Mayerhauser Kathy presented the Trustees with a brief history of the Easton Library. • The Easton Branch opened in 1942 with a total of 3,000 volumes; today there are 18,000 volumes. • In 1978 Easton was about to be closed due to the passage of Proposition 13. Library Foundation member Kris and Jim Cannon and Frank and Bonnie Pagliaro organized a successful campaign that raised sufficient funds to keep Easton open with reduced hours. • The City council agreed to renovate Easton in 2001. The renovation . began in 2003 and was completed in 2004. • Children's programs are held on a regular basis and special programs that are featured at the main such as summer reading, poetry month etc. are also offered at Easton. VII. Unfinished Business A. Strategic Plan Update 1. On August 15th the committee met to craft a mission and vision statement. Brad and Trustee Rosenthal were pleased with the progress and reported that the statements while concise carried a meaningful message. 2. On August 29th the committee will review and analyze data from the surveys. To date 800 surveys have been entered into Survey Monkey.. . The library bike was a definite draw in making it possible for staff to get people interested in filling out the survey. 2 3. Staff would like to purchase 50 more T shirts. Friends and patrons are interested in purchasing them. Staff would also like to have a tote bag to sell to patrons for $12.00 as a marketing tool. The Trustees suggested asking the Foundation Board if they would be interested in taking on this project. Brad will present the idea to Patty Anixter. The Trustees decided to revisit the T shirt purchase at the September meeting. B. Silicon Valley Community Fund Presentation Brad has arranged for Tobi Becera from the Silicon Valley Community Fund to attend the Trustee meeting on September 20th to discuss both the Rodger and Jean Duncan and Julia Ferrel Funds. C. Trustee Development Brad advised the Trustees that Kathleen Kane, our City Attorney, is reviewing the procedure for allocating the funds to library staff members who are working towards their MLS. IX. New Business A. Reaching Out to Book Clubs Trustee Rosenthal noted that the Foundation did have a book club mixer some time ago. It was well attended. Lisa suggested that the Foundation and Trustees consider holding another book club event in the future. The library has a 15 member book club that has met once a year for approximately 15 years. B. Trends Committee Randi Murray `s The Trends Committee has been initiated by Trustee Murray. Representatives from the Library Staff, Foundation and Trustees make up the committee. The committee is looking into current trends and best practices in library services and reporting their finding to the Strategic Plan Committee. X. Adjournment The meeting was adjourned at 7:05PM. CP City Librarian Report to Board of Trustees L September 20,2016 Personnel: o Megan Wong has officially started maternity leave. Kim Day is acting manager in her absence. o We have three new hourly employees Jennifer Faraci, Vincent Lubrano, Martha Ramirez, all starting Sept I 91 o Mark Kott(Custodian) is still out on medical leave General Updates: o Strategic Plan 2016— 1528 surveys completed!! Many much larger cities have worked on long-range plans with much less in the way of surveys so I believe this number is a testament to our community's commitment to library services and to staff who beat the pavement looking for unwary citizens. The committee has been working with our consultant to craft a new Mission and Vision statement and we will be holding an all-staff planning session 9/20 to review our Mission statement and SWOT. o Passport Intake Agent, Jennifer Monroy is hired and has almost completed her State Department training. State Department will need to certify our facility application next. 1 Marketing Update: o Staff have been focused on September Library Card Sign-Up Month with Snoopy making visits to story times, Peninsula Humane Society with Assemblyman Mullins and the Pet Parade. As part of our new no-fines for children and teens we now have new library cards specifically for those age groups. Safety Update: o Staff have been working on lost child and lost parent procedures for library staff.
