Present were: Mrs. Johnson, Messers Hall, Fichtner and Reynolds. Also present was Mrs. Dombaugh, Assistant Libfarian. The minutes of the meeting of May 4, 1949 were read and approved. The monthly report of budget balances was read. Bills to the amount of $2826.24 were read and ordered paid. The librarian's -monthly report was read and ordered filed. There was a discussion of the fact that. the library does not have an accession book and that the accession record is kept on the shelf list. Since there is no record kept or available for keeping outside the library of the cost- of the books in the library it was decided that Mrs. Dombaugh should inquire as to the cost of photostating the shelf list. Mr. Fichtner reported that the new lights have been installed. He suggested that we write Mr. Fitch thanking him for his cooperation in installing them. After some discussion of the balance in the budget item, equipment, it was decided to buy a book truck, a vertical file, an adding machine and light fixtures for the stacks not to exceed $439.77. These items are to be purchased locally if possible. Mr. Hall read and discussed the incorrect figures for our 1949/50 budget as printed in the Burlingame Advance. It was announced that an examination for City Librarian will be held on June 13, 1949. Mrs. Dombaugh was instructed to write a letter to the City Council asking for the appointment of a City Librarian , when a list has been established. Mrs. Dombaugh announced that the City Council had appointed two Stenographer-Clerks to the library staff, namely Mrs. Alda Jett and Mrs. Harriet Meuel. Mrs. Dombaugh read the letters requesting an appointment to Senior Librarian. The first letter written, dated May 6, 1949, asked for the promotional .appointment of Marguerite Hartung. This letter was returned by Mr. Herbert White with a request to write a letter without asking for a specific person by name. This was done on May 9. A letter from Mr. White was read stating that the request had been tabled until, the City Council could confer with the Library Board. The matter of janitor service was discussed and it was decided to advertise for bids for the following year. Mrs Fichtner was appointed a committee to confer with Mrs. Dombaugh on specifications. By- laws for the Library Board were distributed for reading. They will be discussed at the next meeting. Mrs. Dombaugh announced that there will be no California Library Association convention in 1949, that it's place is being taken by a American Library Association District convention in Vancouver on August 22-25, 1949. She asked for four days to attend the convention and a reasonable sum for part payment of expenses. Mr. Hall was asked to get information as to sums allowed heads of other departments for convention attendance and report at the July meeting. Mrs. Dombaugh suggested that it would be less expensive if all s,. . printed post cards were done for the year instead of periodically throughout the year. It was agreed that a years supply be purchased at one time. She outlined her plan for buying books and asked- that she be allowed to purchase without askkng for monthly sums. It was decided that, in light of overpurchasing in the past, it would be better for the Board to allow sums monthly or every two or three months in order to be sure purchases conform with the budget allowance. Mrs. Dombaugh mentioned the three part-time members of the staff. It was decided to express to them verbally the Board's appreciation of the Faithful service through the years when it was difficult to get professional help. It should be made clear to them that the Board has no authority over their continued appointment should the Civil Service Commission or City Council terminate the employment of part-time help. if-- Mrs. Dombaugh was instructed tovrite the City Council reminding *iwn that the tarm of Mrs. Johnson oft the Library Board expires June Opti'` - \> 30, '1949.
