Library Board of Trustee Minutes
September 16, 2014
I. Call to Order
Trustee Corcoran called the meeting to order at 5:40PM.
II. Roll Call
Trustees Present: Kerbey Altmann, Betsy Corcoran, Debra Donaldson,
Mike Nagler, and Lisa Rosenthal
Staff Present: Pat Harding, City Librarian
Sidney Poland, Recorder
III. Library'Board of Trustee Minutes
The August 19, 2014 Board of Trustees minutes were unanimously approved.

IV. Correspondence and Information
A. Statistics
I. Circulation at the main decreased 15.60% from August of 2013.
Easton circulation increased 2.83% from 6,986 in August of 2013 to
7,184 in August of 2014. The Fiction and Mystery sections are
currently unavailable to patrons due to construction on the upper
level.
2. Flipster is the new digital magazine resource for our library.
3. Trustee Donaldson suggested that a comparison of the gate count
from July 2013 to September 2014 be prepared. The gate count
comparison could be related to circulation statistics as follows:
• Closing of Mystery and Fiction Sections due to construction
could cause drop in circulation.
• If gate count is trending downward it could indicate patrons
are taking out fewer books, video and audio materials etc.
• If gate count is trending upward it could indicate patrons are
using other library resources rather than checking out books,
video and audio materials etc.
4. The Trustees also inquired as to whether there is an increase in holds
since hold fees have been eliminated.

VI. Reports
A. City Librarian's Report - Highlights
1. Upper Level Construction
• The Children's staff has relocated to their new location, Reference and
Administration have returned to their original area in the
Administration area.
• Fat is arranging for an Ergonomic specialist to meet with all staff that
are in their permanent desk areas and make sure,they have the
proper chairs, keyboards etc.
• New Meeting Room will be the holding center for the Foundation's
Books on-line until their storage area located on the lower level is
-completed.
• Outside Ramp is 5 weeks out as the railing is not completed and the
project is not in compliance with ADA regulations until the railing is
installed.
2. Children's Department
• The Children's staff conducted a patron survey of world languages to
determine the level of patron interest to integrate world languages
into the children's book collection.
• Out of 160 responses the top 6 were Spanish, Chinese, French,
Italian, Korean and Japanese.
0 Kim Day will develop the collection.
• Jamie Chiahui Gao gave a Mandarin story time to 118 children and
parents in September. The program received many positive
comments from those who attended.
• Trustee Corcoran suggested that a Spanish story time be held and
has a contact who may be willing to conduct the program.
3. lnstagram
Members of our staff have put the Burlingame Public Library on
Instagram. They have created some very clever and interesting photos,
book faces and videos which are making us famous on the InterWeb.
Even the New York Public Library has posted comments and re-posted
some of our photos.
4. Easton Branch Library's 10th Anniversary
There will be a special event Saturday October 4th at Easton in celebration
of its 10th anniversary since the remodel_.
B. Foundation Report
• Our Library Our Future -- Capital Campaign has raised $668,000.
• Capital Campaign Mailer-Approximately 12,000 copies of the
campaign mailer will be sent to all residents in the 94010 area the
week of September 23rd. Apartments are not included. Trustees
suggested the mailer,should be given to real estate companies to hand
out to clients and Newcomers to give to new residents. Trustee Nagler
will ask staff at Books Inc. to place the mailer on his counter.
Annual Report =The annual Foundation report will be sent to all past
and current donors before the end of the year.

• Children's Holiday Tea - This year the Children's tea fundraiser will
be held at Easton on December 7th due to construction at the main
library. Cindy Montgomery will chair the event. Christie Matheson
who wrote "Tap The Magic Tree" will be the author.
• Author's Luncheon - May 2nd is the date for the Foundation's Author
Luncheon. Lisa See has been engaged to be one of the authors.
VII. Unfinished Business
A. Naming Recognition
The City Council unanimously approved the City Librarian's request to
waive the 2nd City Council public hearing, as written in the Community
Recognition Policy, for the Foundation's Our Library, Our Future Campaign
and permit the Foundation to name the Teen Room after the Hoefer Family.
At the August 19, 2014 Trustee meeting, the Trustees held a public hearing
and unanimously passed a motion to have the name of the Teen Room be
the Hoefer Family Teen Room. The Hoefer Family pledged a donation of a
$100,000 which meets the guidelines of the Capital Campaign for naming
rights of a specific room.
B. Duncan Fund History,
Pat gave the Trustees an overview of the Duncan Fund including the criteria
required by the Silicon Valley Community Foundation for the Library to
receive funding. The Trustees were provided a handout which gave the
history of projects previously funded by the Duncan Fund. The Trustees
requested that Pat contact Michelle Fries, our Financial Advisor, to attend
the October or November meeting and present an overview of the fund and
how it is managed. Pat suggested that the Trustees prepare questions for
Michelle to address.
VIII. New Business
A. Donor Recognition
Pat is working with Paul Jamtgaard of Group 4 to design a few renderings
for the Our Library, Our Future donor wall. When the designs are
completed, Pat will arrange for the Trustees to meet with the Capital
Campaign Committee to review the designs.
B. Annual Employee Event
The Trustees discussed the venue, format, day and time for this event.,
Comments from staff for last January's brunch at Sixtos received high
marks. Trustee Nagler will contact Francesca of Sixtos to find out if it would
be possible to hold a brunch event there and what the cost would be.
IX. Announcements
'A. Officers
Trustee Corcoran will"serve as President for the months of September
through November.
B. Orientation
Pat will give new Trustees Kerbey Altmann and Mike Nagler an orientation of
the libraries policies and procedures.
X. Adjournment
The meeting was adjourned-at 7:OOPM. The next meeting of the Library Board
of Trustees will be held October 21, 2014, in the Library Conference Room at
