Library Board of Trustees Minutes
October 15,-2()13
I. Call to Order,
President Rosenthal called the meeting to order at 5:30pm.
II. Roll Call
Trustees Present: Betsy Corcoran, Debra Donaldson, Deborah Griffith,
Lisa Rosenthal, Sandy ToWle
Staff Present: Pat Harding, City Librarian
Sidney Poland, Recorder
President Rosenthal began the meeting by having each Trustee give a brief biographical
summary about themselves as well as noting why they selected the Library as their
way to serve the community.
III. Library Board of Trustees Minutes September 17, 2013
The Trustees approved the minutes of the September 17, 2013 meeting. M/S/C

IV. Correspondence and Information
A. Statistics
Circulation statistics continue to increase at both the main library and Easton.
September circulation at the main increased .69%; Easton increased 1.49% from
�. September of 2012. President Rosenthal inquired as to whether there was publicity in
place to promote Discover and Go to our patrons. Pat Harding will check into
promotional activities. Value Line is no longer part of the Library's periodical collection.
Patrons can view Value Line on-line.
V. No one from the public attended.
VI. Reports
A. City Librarian's Report- Highlights
1. Personnel- Linda Santo, Reference and Adult Services Manager, will retire on
December 20, 2013. There will be an in-house recruitment for this position.
2. Bibliocommons-Bibliocommons is overlay software that adds to the library
catalog. Patrons will be able to access booklists, book reviews and connect to
other users. A station manned by library staff has been set up in the foyer of the
main library-to walk patrons through the sign up procedure.
3. Peninsula Library System Update
• PLS wants to purchase the new Integrated Library Systems catalog which is
a new edition of our current catalog Triple I. How to fund the program is
being discussed by PLS members.
• PLS is discussing the possibility of doing away with hold fees.
4. Zinio-The Library has recently subscribed to Zino which is a digital magazine
source offering complete digital edition of your favorite magazines anytime
anywhere on-your smartphone, tablet or computer.

5. Easton Flag Pole -A LED light has been installed for the purpose of lighting
the flag at night. It works on a photo cell which activates when it is dark and
turns off at daylight.
B. Foundation Report
1. Book Sign- New signage has been placed over the in-house book store area to
better identify it for patrons.
2. Board Members-The Foundation Board has twa new members Sara Putnam
and Joanne Nino. The Board of Directors is now complete with a full
membership of 24.
3. Book Sale-The October book sale will be held this week from Thursday October
171h to Sunday October 20th. Call Kris Cannon if you wish to help out.
.4. Executive Board Members
The Executive Board of 2013 has agreed to remain in office for the year 2014.

VII. Unfinished Business
A. Our Library, Our Future Update -Trustee Support
1. Foundation Support - The.Foundation Board voted at their last meeting to make a
financial commitment up to and not to exceed $100,000 from the Foundation
Legacy Fund to match whatever monetary amount the Board of Trustees are able to
contribute from the Duncan Fund which is managed by the Silicon Valley
Community Foundation.
2. Trustee Support-The Trustees unanimously approved the motion of Trustee
`-- Griffith to accept the challenge of the Foundation and match the full amount'of
their contribution with a grant of$100,000 from the Duncan Fund. M/S/C
(Griffith/Towle) Pat Harding, City Librarian, will write the grant to the Silicon Valley
Community Foundation requesting$100,000 for the project.
3. Capital Campaign Update-The time line for the campaign is 3 years ending in
December of 2015. Patty Anixter, Chair of the campaign and Vice President of the
Foundation, requested 100% financial participation from board members. The
Library Board of Trustees as individuals is participating 100% in financially
supporting the project.
B. Written Warning For Disruptive Patrons
Kathleen Kane, City Attorney, has reviewed and approved the written warning letter.
The Trustees unanimously approved the Written Warning letter that will be mailed or
given to the person directly depending on the circumstances.

C. Update of Newcomer Welcome Letter
The Trustees approved the updated letter to Newcomers. M/S/C
Donaldson/Corcoran). It was decided to change the salutation to "Dear Burlingame
and Hillsborough Residents" as Hillsborough residents are included in our legal
service area. Trustee Towle noted that the letter could be used as a communication
tool for other projects.

VIII. New Business.
Pat Harding requested that the Trustees support the purchase of the new "America-the
Beautiful" series which features an informational book on each of the 50 states for the
Main and Easton Libraries. The Trustees agreed to purchase two sets of the "America the
Beautiful" series in the amount of$1,352.0 from the Duncan Materials account.

VIII. Adjournment
The meeting was adjourned at 7:OOPM. The next meeting of the Library Board of
Trustees will be November 19, 2013, in the Library Conference Room.
