President Corcoran called the meeting to order at 5:30pm.

III. Library Board of Trustees Minutes January 15, 2013
The Trustees approved the minutes for the January 15, 2013 meeting.

IV. Correspondence and Information
January statistics showed major increases at the main library and
Easton. Total circulation for both libraries was up 8.78 compared to 7.21 of
January 2012. Easton circulation broke a record by reaching 8,000 for the first
time ever. Before 2004 remodel circulation was approximately 3,500 every
month. -

VI. Reports
A. City Librarian's Report- Highlights
1. Personnel News -The Employee Awards Dinner held on January
27th was enjoyed by staff, Library Trustees, current Foundation and
Advisory Board members. Achievement awards were given to Kathy Von
Mayrhauser, Ray De Lara, Jeannine Culligan and Pat Lanyi
2. Millennium Project Managers Meeting Items Discussed
0 Architectural designs and design development 95% complete.
• Construction documents 50% complete.
• AMHS design and layout finalized.
• Project Schedule Update - plan to change project to a single phase
beginning in January 2014 forbid process and construction starting
April 2014.
• February 26, 2013 date of next meeting.
3. City Budget-The library submitted a CIP request of$1,267,500 for
the Millennium Project 2013-2014. At the City'request, Pat prepared 3
possible budgets scenarios 1) 2% increase; 2) 2% negative and 3) flat
budget:

B. Foundation
The Foundation has engaged Manifold, a website design company,
to upgrade the Foundation's website. Brian Mullin is the contact person.
VII. Unfinished Business
A. Living History Update
• Trustee Towle reported that"he had spoken with a member of a'Japanese
family in regards to internment during World War II but has not set up
any specific interviews at this time.
• Trustee Towle also has spoken with a person who was a part of the
"Summer of Love" era and is willing to be interviewed. Sandy noted that
he considered the "Summer of Love" to be the beginning of transparency
and transition in our society.
• President Corcoran requested that by the.next meeting, March 19th,
Trustee Towle have a tentative schedule/time line established for filming
of person/persons to be interviewed for "Summer of Love" and by whom.
• Rosalie O'Mahoney was again suggested as'a possible candidate for this
project. As a former council member and longtime resident, she would
have firsthand knowledge of key factors and events that contributed to
the growth and development of the City of Burlingame.
With regards to Rosalie, Trustee Towle stated that he would want to
know what the slant of the interview would be.
• Trustee Griffith felt that in regard to persons we are considering as
possible candidates, we need to speed up the project as some are elderly
and may not be in good health such as T.J. Foster who developed Foster
City.
• President.Corcoran requested a specific proposal for Rosalie O'Mahoney
at the next meeting.
B. Capital Campaign Update
1. Brochure- Pat Harding is working with Maryam Refahi, staff artist, to
create a.brochure for the campaign. The first draft should be ready for
review at the next meeting to be held on March 11th.
2: Donors'-the committee discussed the importance of having at least 2
major donations in place before taking the campaign.public.
3. Silicon Valley Community Foundation - Pat Harding suggested having
a representative of the Silicon Valley Community Foundation speak to the
committee members on the subject of Donor Advised Funds. Pat will
contact Michelle Fries to set up a date.
C. CPLA Workshop
PatHarding, Deborah and Jeffery Griffith, Lisa Rosenthal and Sandy Towle
will attend the workshop.
D. Employee Achievement Awards Event
Staff enjoyed the event and especially appreciated intermingling with the
Trustees and Foundation members. Trustees contributed suggestions for
next year, as well as voicing some concerns.
• Consider new venue with square rather than rectangular configuration
which might allow for better acoustics throughout the room. .
• Name Tag should indicate staff person's department.

• Hourly and on-call staff may be at a disadvantage in regard to being
nominated. They often do not have as many work hours or a substantial
variety of tasks to perform beyond their job description.
• Nominations submitted seem to"be decreasing. Perhaps this is due to a
smaller staff and the fact most of the staff have received an award before.
• It is not necessary to always give 4 awards. Depending on number of
nominations, limit awards to two.
• Instead of giving awards to specific individuals, honor the entire staff.
• Trustees requested Pat to discuss their suggestions and concerns with
her managers.
VIII. New Business
Spanish Language Collection
In reply to President Corcoran's inquiry as to the status of this collection,
Pat noted that in the new design for the Millennium Project, the Spanish
collection will be moved to the main level.,

The meeting was adjourned at 7:00pm. (M/S/C) (McCormack/Griffith) The next
meeting of the Library Board of Trustees will be held on March 19, 2013 in the
Library Conference Room.

City Librarian Report to Trustees
March, 19 2013
Personnel News—I am pleased to announce that we have hired our new Teen/Children's
Librarian. Kelly Mackewicz will begin her full-time duties as Teen/Children's Librarian on
Monday, March 25tH
Kelly has worked in Children's Services here at BPL on-call on weekends since July 2012.
Currently, she is working for Pacifica Library as a Children's Librarian. Prior to that, she worked
for Foster City Public Library for nearly three years. She has worked for a variety of San Mateo
County Libraries since 2000 and brings a wide variety of experience in both teen and children's
services. Kelly completed her MLIS at San Jose State University in May 2011.
We have asked one of the other candidates, Kimberly Day, to work on-call and she has
accepted. Kimberly currently works for San Mateo County Libraries and currently works in
Belmont. She will begin on March 15tH
City Budget—City Council held their first budget meeting for Fiscal Year 2013-2014 on Tuesday,
March 5th from 6-9 PM in the Lane Room. Agenda items include: Mid-Year budget
Amendments and Supplemental Appropriations for FY 2012-13; General Fund —Mid-Year
Budget Status; Financial Forecast/ 5 Year Financial Plan; Proposed Capital Improvement Project
(CIP) for FY 2013-14. The Library is requesting$1.2M in FY 2013-14 in CIP funds. All city
departments have been asked to submit 3 versions of their budgets—one showing 0 growth,
2% inflationary increase and a 2% contingency decrease. After hearing the mid-year budget
status and the 5 year forecast, the consensus of the Council was that they would approve a 2%
increase in next year's budget.
Future budget meetings include:
Monday, April 15—City Council meeting—Second draft of CIP FY 2013-14 submitted
Saturday, April 20—City Council Budget Goal Setting Session
Wednesday, May 22—City Council Budget Study Session
Monday, June 17 City Council meeting—Public Hearing on FY 2013-14 proposed budget.
Resolution to adopt the FY 2013-14 Operating and Capital Budget
Millennium Project—Project Management Team met on Tuesday, February 26th and following
items were discussed:
• Design layout—group made further refinements on location of various collections and
public access computers which will increase from 37 to 57.

• Budget—approximately$100,000 will be saved by scheduling the project over one 9
�- month period rather than scheduling it over three years. The current budget is$3.56M
with $66,000 in contingencies.
• Plan check is scheduled to be submitted for review on April 23, 2013
• One of the handicapped parking spaces in the library's garage will be replaced by a short
term parking space for the automated materials handling system. The handicapped
space will be moved to the front of the library.
Next meeting is scheduled for March 19th. Agenda items include:
• Selecting interior colors and finishes
• Carpet
• Casework
• Signage design
• Lighting
Special Program—The March 2nd Dr. Seuss program with Marylee Sunsuri had a record 287
parents, grandparents, and children! Thing 1 &Thing 2 also showed up!

Special Program—The Library is partnering with Books Inc to present author Daniel Handler
(Lemony Snicket) on Monday, April 29 at 5 PM in the Children's Room of the Library. Daniel
Handler is the bestselling author of A Series of Unfortunate Events as well as several other
childrens books, novels and screenplays.
