September 18, 2012
I. Call to Order
President Corcoran called the meeting to order at 5:30pm.
II. Roll Call

III. Library Board of Trustees August 21, 2012. Minutes
The August 21, 2012 minutes were approved as written.

IV. Correspondence and Information _
A. Library Circulation August Statistics - Easton Branch/Main
Circulation statistics for August show a 2.51% increase at the Main and a -
3.45% decrease at Easton from August 2011.
V. Reports
A. City Librarian's-Report Highlights
1. Personnel- Geralyn will be honored for 20 years of service to the City of
Burlingame at the Employee Service Award Luncheon. The Trustees hosted
a staff luncheon to honor Maryam Refahi, staff artist, for her 44 Public
Relations awards during her tenure at the library
2. Automated Materials Handling System (AMHS) 3M was selected by
PLS as the vendor for the AMHS. Pat reviewed the drawings for the layout
of the system with the Trustees. Trustee Corcoran suggested that the
expected decrease in staff injuries due to the AMHS should be tracked and
reported to the City Council.
3. Thin,Client - City Council approved the resolution allocating $71,000
for the project.
4. Bandwidth - a PLS task force has met to formulate a--plan to assess
concerns with the current bandwidth being too slow to handle the volume of
usage caused by technology products and programs. The committee will
look for current solutions, as well as develop plans for the future.

B. Foundation Report
After a successful "Behind the Scenes" event, the Foundation will turn its
attention to the-October book sale to'be field from October 18th to October
21 st. The book sale will be followed by the Children's Tea scheduled for
December 2nd.
VI. Unfinished Business
A. Capital Campaign Task Force Committee Report
Pat Nicholson has been recruited by the Foundation to be Chairperson of
the Capital Campaign.
B. Trustee Project - Living History-.Sandy Towle
1. Trustee Towle will work with Reference Librarian, Brad McCulley, on the
Living History Project. Brad McCulley has applied for an Eureka Grant
based on the Living History format. Brad and Sandy have spoken with
members of the Historical Society and they are supportive of the project and
already have a list of possible candidates,to be interviewed.
2. Edward Anders will be the subject of the first Living History program to
be held October 15th in the Lane Room. Mr. Anders will relate his
experiences as a young child in Latvia during the Holocost. Trustee Towle
will oversee the filming of the event.
C. Trustee Project - Newcomer's Report - Lisa Rosenthal
The Trustees made'suggestions to the draft letter which will be included the
newcomer's packet. In this letter, newcomers to the City of Burlingame
and Town of Hillsborough will be advised of library services and programs.
D. Millennium Project
Pat Harding gave the Trustees a packet with the recent architectural
drawings and photos of Library furnishings as it is now and examples of how
it might look after the Millennium project is completed. It was suggested that
for the teen room the Walnut Creek model, which had some computer
counters with stools, might be considered. The Project Management Team
will meet on October 2nd to focus on the relocation of departments on the
upper level.
VII. Adiournment

Personnel News—On October 31St Library staff will be donning "Banned Books" for the city
staff's annual Halloween program and contest.
City Personnel—At the last city department head meeting Jesus Nava,
4!,,, Burlingame's Finance Director announced that he has been offered the
' position of CAO of the Santa Clara Valley Water District. He will be confirmed
e
by their board on October 9, 2012.
Gus Guinan, Burlingame City Attorney has announced his retirement as of
February 2013.
Don Dornell, Central County Fire Chief has retired but will continue to work part-time through
April 2013.
Jim Nantell is leaving in December 2012 and a replacement will be selected by December 1,
2012.
Two Great New Additions in the Children's Room—We have a new guide to Children's non-
fiction. Children's staff have created way finder tools for the Children's non-fiction collection.
There are printed copies at the beginning of the Children's non-fiction section.
Kathy von Mayrhauser and the Children's staff is now putting QR labels on the last page of each
novel on the book lists for middle readers and teens. Patrons can scan the QR label and it will
give them immediate access to the booklist and suggestions of other books in the same genre.
Great Decisions Discussions Group—Starting in February we will be hosting a political
discussions group—John Piche, our newest librarian is putting together this new program - his

Millennium Project—The library PMT met with Andrea Gifford and Wayne Gehrke from Group
4 on October 2. Discussed:
• Possible temporary staff locations while work is being done—A 20 x 40' portable trailer
set up in the parking lot would cost$8,600 to set up and $3,700 to remove and $1,200 a
month. It is estimated that we will need this space 4 to 6 months. Having this separate
space would be the least disruptive to the public—we will be able to maintain the
programs in the Lane Community Room.

• Andrea met with each library department and discussed their staff space needs. The
space for staff will be smaller after the redesign —the Circulation Department staff will
be moving to the upper level staff area and we will be adding a meeting room in the
current staff area.
• Three Cafe and Foundation Book Store layouts were presented. PMT like "C" which has
a more open plan than the others. If it takes some time to find a vendor for the cafe
there is less space wasted during this process.
• Signage in the library to be lower and more accessible for patrons. Maintain the design
on the shelving end panels—designed by Maryam
• Wayne would like to meet with Patty and Pat Nicholson in the next month to hear their
ideas for the capital campaign and how he can help
