ADJOURNMENT Adjourn Any writings or documents provided to a majority of the Library Board of Trustees regarding any item on this agenda will be made available for public inspection at the Reference Desk of the Burlingame Public Library, 480 Primrose Road, Burlingame, California BURL NOAME Library Board of Trustees Minutes June 28, 2011 Trustees Sandy Towle and Deborah Griffith were congratulated on their reappointment to the Board of Trustees by the Burlingame City Council. I. Call to Order President Griffith called the meeting to order at 5:30pm. President Griffith noted that this was a makeup meeting due to lack of a quorum for the scheduled meeting on June 21, 2011. II. Roll Call Trustees Present: Betsy Corcoran, Deborah Griffith, Lisa Rosenthal, `Sandy Towle Trustee Absent: Katie McCormack Staff Present: Pat Harding, City Librarian Staff Absent: Sidney Poland, Recorder III. Early Literacy Computers and Smart Board Presentation A. Early Literacy Computers Four early literacy computers programmed for ages 2 to 10 will be installed in the Children's Room; 3 in English and 1 in Spanish. Standard English edition has 50 educational programs; Standard Bilinguaj Spanish edition has 38 titles in English and 39 in Spanish. Total discounted cost,,since the Library,belongs to CALIFA, is $9,610; regular cost is $14,125. A 3 year warranty covering hardware and software is part of.the package. The Trustees recommended that we track computer usage carefully." B. Smart-Board Presentation Amy Pelman The Smart Board is an effective teaching tool which is being used to serve community members who need basic computer training for Computer Education Training (CET) classes are held the 2nd and 4th Thursday of the month in the evenings. Class size is limited to 14; each student is provided with a wireless computer. IV. Trustee Board Minutes 24, 2011 The May 24, 2011 minutes were approved as written. Library Statistics Circulation statistics for the Main showed an increase of 4.5%: Easton increased 14.37%. Trustee Griffith suggested that better signage for Lane Room upcoming events might increase attendance. B. Account Summaries for Revolving and Trustee Funds The City Librarian, Pat Harding, advised the Trustees that the Revolving Account, which includes the Foundation's quarterly contribution to the Library, will now be transferred to the City's financial reporting system Universe. The Trustees' fund is already tracked through Universe. The purpose of this change is to give immediate insight into how specific monies have been spent. The Duncan Fund will not be included in the Universe system. Vl. From the Floor (Public Comments) No one from the public attended. VII. Reports A. City Librarian's Report - Highlights 1. Budget Status -The budget for the fiscal year July 1, 2011 to June 30, 2012 has been approved by the City Council. There were not any cuts to the Library's budget this year . - 2. RFID - RFID tagging is scheduled to be completed by July 8th. 3. Millennium Project - Wayne Gehrke will present his-two design options to the Project Management Team for review and comments on r July 13th from 3:00-5:00 pm in the Library Conference Room. The first week of August Wayne Gehrke will conduct a workshop for the Foundation Board, Trustees and Council members based on the recommendations from the Project Management Team regarding the two design options. 4. Internet Archive - The bound periodical digitizing project is moving along. 5. Harry Potter-Party - Members of the National Charity League will make cupcakes and assist at various stations at the event. Library Board of Trustee Minutes June 28,2011 2 B. Foundation Report The Foundation summer newsletter is scheduled to be released in mid-July. Members are working on plans for the Escoffier "open house". Technology stations featuring the Library's latest acquired equipment i.e., smart board, children's computers will be placed around the Library. The Children's Tea will be held December 4th. The committee is considering the prospect of having two separate seatings. VIII. Unfinished Business A. Early Literacy Computers - Fund Request Trustee Towle moved that the Trustees fund the AWE project at a cost of$9,618, using monies from the Trustees' copier account. M/S/C (Towle/Corcoran) Ongoing maintenance is part of the Library's regular computer program. B. RFID A RFID demo will be scheduled for the Trustees; a demo will also be given at the Escoffier event. IX. New Business A. Nomination and Election of Officers Trustee Towle was nominated and elected to serve as President of the Trustees and Betsy Corcoran was nominated and elected to serve as Secretary of the Trustees for the term of one year. M/S/C (Griffith/Rosenthal) B. July Agenda - Trustee Griffith requested that the Employee Appreciation Event be placed on the July agenda. X. Adjournment The meeting was adjourned at 6:40pm M/S/C (Corcoran/Rosenthal) Trustee Griffith was thanked by all present for serving as President for the .past year. The next meeting of the Library Trustees is tentatively set for July 12, 2011 in the Library Conference Room at 5:30pm. The Harry Potter event was a huge success! We had over 250 children and parents participating in the many activities toelebrate—Harry Potter the Final Chapter." The Children's Department did a fabulous job transforming both the front porch and the Lane Community Room. Kathy von Mayrhauser, Cathy Somerton, Jan Eustis, Amy Pelman, and Maryam Refahi were the decorating wizards and masterminds of this incredible event! The event included a balloon man making broomsticks and wands for all of the wizards and witches; face painting; crafts (a photo of one of our young witches in a newly made.hat is on the front page of today's San Mateo Daily Journal); Harry Potter bingo led,by JoJo Hilliard, Th- Wizard trivia (put on by Amy Pelman and our teen volunteers), Madame Trelawney (played by Vicki Machado), tarot card reading by Eileen Nash, and much more! We had 35 volunteers from the National Charity League (NCL) making and serving 60 dozen cookies, helping with set- up and clean-up. NCL members also helped prepare decorations.and crafts prior tq the event and were part of the decorating committee working Friday to transform the Lane Community Room into Diagon Alley. Special thanks to Michael Ma from the Burlingame Library Foundation for being our official photographer! State Budget-How It Affects BPL The state budget for library funding for 2011/12 had already been cut approximately in half. For us that will mean about$50,000 coming from the state in FY 2011/12 compared to approximately$100,000 FY 2010/11. The $50,000 will not be paid to local libraries unless the state reaches the revenue threshold and then not until after January 1, 2012. Attached is a letter from Linda Crowe, PLP Executive Director about the state funding for libraries. RFID(Radio Frequency Idendrication) Backstage, the vendor hired by PLS to tag PLS materials has finished the main part of their work at BPL. One staff member from Backstage will continue working at BPL for a couple of weeks to catch and tag returned items. Staff workstations are installed and BPL staff is using RFID to check-in materials. Staff has worked very hard during the tagging. As Backstage was going through our collection they pulled off items needing mending or replacing. Linda Santo and Vera Warrick have gone through all of these items and Jan Laurie, who does mending in Technical Services is working on taping, gluing, and replacing covers. Circulation staff, headed by Amy Gettle is sorting all returned items to determine if they need tagging before checking them in. The workshop presentation to Foundation,Trustees, and Council will be on August 1St from 6pm-8pm. I am also looking into applying,for a grant for a learning lab from the.lnstitute of Museum and Library Services. Organization Authorized Signature Hotel Representative Signature p� 'Date Date Library Trustee Description Revised 6/30/10 Library Mission: The Burlingame Public Library is the cultural and learning center for the community, encouraging the joy and wonder of reading, the wisdom of diverse ideas, and the power of lifelong learning. Within and beyond its walls, the Library strives to preserve the past, serve the present and shape the future with opportunities to connect people and the world of information. Trustee Information: Members of the Library Board of Trustees are appointed by the City Council for a three-year term. The Board is advisory, as defined in the California Education Code. The ideal Board candidate is a registered voter and lives in Burlingame or Hillsborough. Regular library board meetings are held on the 3rd Tuesday of the month, at 5:30 PM. Special Board meetings may be called as needed. Trustee Responsibilities: Advise the City Librarian on library services, establish policy, provide citizen input on library operations, and participate in long range planning. Trustee Duties: Attend Board meetings; become informed about all phases of library operations; serve on board and staff committees; lend expertise and leadership to the Board for the good of the library; actively participate in board workshops and activities; participate in fund raising activities. Qualifications: A sense of the library's importance to the intellectual, economic and social life of the community; an appreciation of the library and a desire to provide the best possible service for the community; sensitivity to the political environment; belief in the importance of access to materials and information for lifelong learning. Other Opportunities: Trustees may be active in library trustee activities at the local, state and national level. The California Library Association and the American Library Association offer educational programs for Trustees. CALTAC is the Trustees and Commissioners arm of the California Library Association which offers educational opportunities of interest to Trustees. Time Commitment: In addition to monthly meetings of approximately 1.5 hours, there are occasional opportunities to attend informative luncheons and workshops on library issues several Saturdays per year. Trustees support and attend Library Foundation events. Current Issues of the Board: • Help provide excellent library services with diminishing resources • Support library services in a rapidly changing technology environment • Provide guidance with Hillsborough Library Services Contract • Encourage and support the Library Foundation and other library support groups • Provide support for library policies: collections, building, and behavior • Help to maintain and enhance library services and collections
