Library Board of Trustees Minutes March 15, 2011 I. Call to Order President Griffith called the meeting to order at 5:30pm.. Il. Trustee Board Minutes February 15, 2011 The February 15, 2011 minutes were approved as written. M/S/C (Towle/Corcoran) , IV. Correspondence and Information A. Library Statistics Branch circulation increased from 5,540 in February 2010 to 5,596 2011. This is an increase of 1.01% which can partially be contributed to the Friday,opening January 7, 2011. Overdrive will be included in future monthly statistics: V. =a From the Floor (Public Comments No one from the public attended. VI. Re-ports A. City Librarian's Report - Highlights 1. RFID and Millennium Projects - RFID tagging has been moved up to May. Managers and key staff will determine the size of the collection for,the Millennium Project after the -current collection has been measured in linear feet. 2. City Budget - At the March 2, 2011 Budget Study Session, Council made the recommendation to maintain a forecast of 2% revenue growth each fiscal year based on the average 1.9% revenue growth in the last 10 years. Library Foundation '"1 L' Goals and Strategies Retreat - Susan May and the retreat participants are in,the process of compiling the ideas and results of their discussion regarding,Foundation goals, how to measure their accomplishments and the role of the Foundation in the community for the next 3-5 years. 2. Book and Author Luncheon - Invitations will be sent out March 18th. VII. Unfinished Business A. Scope of Work Agreement for Tapestry Cleaning The Trustees approved the proposal of Margaret Geiss Mooney to vacuum and clean the 4 tapestries that currently hang'in the library and authorized the sum of$2,500 from the copier account to fund this project. M/S/C (McCormack/Towle) B. Julia M. Farrell Fund David Burnce, fund manager for Julia M. Farrell Fund, advised the City. Librarian that the issue of the fund spending rate being equal to the annual distribution to the Library has also surfaced with other non- profit funds. The current situation is that all fund spending rates in this category are being-reviewed. The Trustees requested that Pat Harding continue to communicate with the fund manager. C. Discussion Items for Joint Meeting with City Council March 31, 2011 The Trustees plan to focus on the'role of the Library in the Community, new projects and programs and the success of the Easton Campaign.- VIII. New Business A: Fund Request for Portable Technology Lab Pat gave a demonstration to the-Trustees on,the portable technology lab which was funded by the Foundation. The laptop-storage cart has a wireless printer and 7 laptops with a holding capacity for, 15 laptops. Pat asked the Trustees to fund an additional 8 laptops at a cost of$9,000. The additional laptops will allow the library to offer computer classes for 14 individuals with one laptop for the instructor. The Trustees approved -the City Librarian's request to purchase 8 additional computers to fully equip the portable computer lab using funds from the copier account. M/S/C.(McCormack/Towle) B. The classes for the public will start on May 12 with an Introduction to computers and the Internet. The May 26th class will be an,introduction to Microsoft Word. We will be adding classes for library databases and the library catalog. We are also planning to use the lab for jobs classes and staff training. The CET group is currently organizing staff training on Microsoft 2010. Millennium Project . As part of the Millennium Project, Wayne Gehrke from Group 4 has asked us to count the linear feet of library materials in each of the collections. We have just finished the count of the collection and the library managers and Collection Development staff have gone through each of the collections and determined what the size of the collection will be when the Millennium Project is'implemented. Group 4 is beginning to prepare the summary. program of the proposed changes and will integrate the shelving/collection information. They will put the information from the January Workshop in art Appendix and we should have a draft summary of goals and needs for-the project by the end of April. Plan options for the project should be completed by late June or earlyJuly. City Budget The Budget Study Session will be held in the Lane Room on May 25th at 6pm. The library's budget will be reviewed by Council member Cathy Baylock. Budget requests that differ from last year: • $186,000—book budget • 3 Capital Outlay,requests: 1. Replace the projector in the Lane Room and reprogram controls - $12,000 2. Upgrades to our website— City is picking up most of the cost out of the admin budget and the library is requesting $1,150 for a small image rotation on the home pagel 3. 4 Early Literacy computers for the Children's Room —3 English only and 1 Bilingual Spanish/English. 1 480 Primrose Road•Burlingame•California 94010-4083 Phone(650)558-7474'Fax(650)342-6295'www.burlingame.org/library RFID(Radio Frequency Identification) The RFID tagging is still scheduled to begin at BPL in late May 2011. Redwood Shores and Foster City Libraries have been tagged. We have ordered the equipment for the project and are working with Bob Schmidt from Ross McDonald Company to retrofit the tops of the cabinets to accommodate the new scanners. Eureka Grant As part of the Eureka Institute Grant from the California State Library we have-purchased a Universal Flat/Tilt Wall Mount 55"-68" Display for the Teen Room. This will allow us to advertise our programs, computer classes and book info (reviews, author events, etc.).for teens. Technology Petting Zoo The Technology Petting Zoo held on March 14"'was a big success. We had about 30 staff and Audrey attend the morning session and about 25 members of the public attend the afternoon session. I've had several positive comments from staff about the outcome of the Petting Zoo including "I fixed the fax machine this morning; my experience at the Petting Zoo made me feel confident that I could do it." National Volunteer Week National Volunteer Week is April 10—April 16. We currently have 21 adult volunteers and 12 teen volunteers, not including Library Foundation Board and Library Trustee members. They do a variety of tasks including but not limited to: cleaning discs, dusting shelves, bringing books to our homebound patrons in their own homes and nursing homes, helping with programs, and helping with Foundation projects and events including,the ongoing Book Sale! During the week of April-10 we are going to invite our volunteers to stop by the library for some tea and goodies and appreciation. We couldn't do it without all of our volunteers including the Burlingame Library Foundation and Library Board of Trustees.
