Call to Order Trustee Griffith called the meeting to,order at 5:30pm. II. Trustees' Board Minutes April 20, 201_0 The minutes of the April 20, 2010 Trustees'meeting were unanimously approved with the correction that in Section VII. Item D Time Capsule the word ...."approval" be deleted. M/S/C (Corcoran/Towle) IV. Correspondence and Information A. Library Statistics April 20110 Circulation totals at the Main were 53,345 which is an increase of 2.35% from the previous year of 52,119. Circulation totals at Easton were 5,651 which is a decrease of-16.25% from the previous year of , 6,769. Decreased circulation at Easton is a partial result of the 10% reduction of open hours due to the closure of Easton on Fridays effective May 1, 2009. The Trustees were_concerned about the drop in Circulation activity for April. Trustee Corcoran suggested that the Trustees and staff should look for opportunities to increase attendance such as adding another Children's program. The City Librarian, Pat Harding, noted that the popular Summer Reading program which begins June 14th has always had a high level of participation from the schools and should bring up the Circulation statistics. From the Floor No one from the public attended the meeting. VI. Reports E A. City Librarian's Report -Highlights 1. Budget Status-The next Budget'Study Session will be held Wednesday May 26th in the Lane Community Room. ' 2. Personnel-The City Manager, Jim Nantell, has delayed approval of hiring for the 25 hour Children's position until he can ascertain the success of the Easton Campaign._ This position would be a permanent benefited position and will be open to recruitment. Reference Librarian Amy Pelman started B-tab, a Teen Advisory Board. 3. RFID The Introduction of a new RFID technology- UHF RFID has caused some concern to the PLS Strategic Planning Team with regard to the continuation of the PLS RFID project. After reviewing the new information, the PLS Strategic Planning Team will meet with PLS directors on June 3rd to discuss the viability of UHF-RFID and determine its advantages over the current RFID project. B. Foundation Report Susan May 1. Easton Campaign-The general theme of the campaign is Join "Team Easton". Betsy Corcoran will prepare a list of"Frequently Asked Questions" that will be placed on the "Team Easton" website. Susan requested that."Team Easton" be defined as a supportive community coalition comprised of the City of Burlingame, the Foundation, the Burlingame Library and Burlingame and Hillsborough residents. 2. Upcoming Foundation Events - Foundation events for the rest of 2010 are as follows: 1) June Newsletter; 2) Summer Book Sale July 11 th to be'held on front porch of the Main Library; 3) Reception for the.members of the Escoffier Society.which will.include those donors who have give $10,000 or more or who have included the Library as a beneficiary in their estate planning and 4) Children's Tea to be held December 5th at the Easton Library. 3) Other Accomplishments -The Foundation adopted an Investment Policy Statement as part"of their Planned Giving Program. The Book and Author's Luncheon raised $24,998. Library Board of Trustee Minutes May 18,2010 2 VII. . Unfinished Business A._ Joint Service, Desk (Request for Funds) The City Librarian, Pat Harding, submitted a quote from Ross McDonald to lower the 3 end panels and cut an additional hole in the counter for the printer on the Joint Service Desk. The additional change is to provide the desk staff with a direct view of the Children's room, staircase and hall leading to. the elevator and the restrooms. The Trustees approved the request of the City Librarian and passed a motion to release $2,125 from the Willert Trust to complete the final renovation of,-the Joint Service Desk. M/S/C (Towle/Toft) B. Computer Lab Update Barry Mills received a cost estimate of$3,200 for an A/V consultant. Barry will consult with staff of the Millbrae Library to obtain information on how their technology lab was developed. Trustee Griffith noted that this might be a way to increase support from donors by giving them the opportunity to name a computer. C. Time Capsule Jeff Lindstrom has agreed to build the time capsule. The Trustees need to make a final decision on the items to be placed in the capsule in order for the size of the capsule to'be determined. Items previously discussed were photos of the Library's Centennial, Al's DVD, "City of Trees", cell phone, and children' list of favorite books compiled by Trustee Corcoran. Staff will be asked to give suggestions. Trustee Towle will try to have.final drawings and wood samples by the next meeting. VIII: New Business A. Easton Campaign Pat Harding, City Librarian, updated the Trustees on the progress of. the Easton Campaign. 1. Team Easton,,the general theme of the campaign is to Join "Team Easton." One of the goals is to encourage 100 families to contribute $70 or more. 2. Frequently Asked Questions -Trustee Corcoran volunteered to prepare a list of questions that residents have asked regarding this campaign effort especially questioning why it is necessary. This list will be posted on the Team Easton Website. 3. School Newsletters - a short description of this effort was prepared and given to the school liaisons at Lincoln, Roosevelt, Franklin, OLA Parrish to put:in their newsletters before school is over for the summer. Library Board of Trustee Minutes May 18,2010 3 4. Library Actions -Team Easton has been put on Facebook. So far 173 fans have responded many of whom were patrons of Easton during their childhood. Maryam Refahi, and Cathy Somerton of the Children's Dept. designed a book thermometer and Jim Kaufman, our resident carpenter, is building the base. The thermometer will be placed on the front porch of Easton. Jim is also building a donation box to be placed inside Easton for donationsof any denomination. 5. Endowment - Itwas suggested at the April 30th meeting that any surplus funds over the $70,000 be used to seed an endowment for Easton. 6. Easton Open to Public Use - Residents have made the suggestion that opening Easton for other uses could become a future revenue source. Pat Harding felt that this issue.needs to be discussed with the City Manager as the cost of a staff person would be approximately $25. The Children's Tea given by the Foundation in December will present the opportunity to observe how well Easton can accommodate a group event. IX. Adjournment The meeting was adjourned at-7:00pm. The Council was happy to hear that over$30,000 had been raised towards the funding of Easton for the next fiscal year. There were several questions about the . Hillsborough contract. The City receives $499,447 from Hillsborough for library services. This is a per capita support based on the average per capita support,of the libraries in PLS. - Burlingame is reimbursed for 2/3 of the population of Hillsborough. San Mateo is reimbursed for the other 1/3 of the population of Hillsborough. Easton Update Save the EastonBranch Library Facebook page has 171 Friends! To date we have raised-over $31,000. 1 sent out a group email to the Facebook page updating "friends" about the fundraising efforts. I also sent a note to the school liaisons to ask them to check the effectiveness of the school outreach newsletter. Maryam Refahi, Cathy Somerton and Jim Kaufmann are currently working on the Easton book"thermometer"to be placed in front of Easton. Jim Kaufman also built a donation box to place at Easton. There will be a sign on it asking patrons to donate to support Easton. He will be installing both the thermometer and the donation box in the next 2 weeks. J Technology Center Barry will be meeting next week with Ashu Tikekar, Network Specialist for Redwood City, to discuss the design of the new Technology Center. Ashu recently worked on a similar project at the Redwood City Library Public Library. Burlingame contracts with Redwood City for IT services. Bary will also be contacting Drew Kutlik, CEO of Magic Wave Productions, who worked on the design and installation of the A/V upgrade of the Burlingame City Council Chambers. News From PLS '1 Library Directors reconfirmed their desire to,move ahead with RFID technology. Monica Schultz from PLAN will write up a detailed report with the timetable and needed actions within the next two weeks. • Library Directors also discussed moving to Evergreen Open Source software as a replacement of current Integrated Library System (ILS)– III. Evergreen is open-source, consortia-quality library software to help library users find library materials and to help libraries manage, catalog, and circulate those materials. Open source software is freely available-free to download, free to use;free to view, and free to adapt and improve. A number of libraries across the country use open source software-for the ILS. King County,in Seattle will becoming live with Evergreen in September. PLS has the opportunity to receive an $80,000 grant for Evergreen if they can show substantial progress in moving towards Evergreen in the next 2 Y2 years. The library directors are interested in this project but feel the immediate need is RFID, because all libraries in PLS have had staff cutbacks and repetitive stress injuries. Monica Schultz will draw up two project plans: one with RFID alone and the second with RFID in parallel with Evergreen. Volunteer Orientation On Tuesday, June 2 we had 22 teens and adults come to our Volunteer Orientation for an overview, training and a tour. Nineteen of the volunteers were teens and three adults. Our new volunteers will work on a variety of tasks in all departments throughout the library. Amy Pelman and Jan Eustis run the Teen and Adult Volunteer Program. Past Programs Adult Programs. June 7–Birth of Impressionism–Masterpieces from the MUSEE UORSAY 7pm This event was attended by 160 library patrons. Teen Programs. On May 22nd 17 teens met on the upper level terrace for: Dying to Tie-Dye ...Socks. • Amy Pelman visited classes at BIS promoting Summer Reading and book talking favorite reads. Children'Programs We had another successful Paws for Tales program on May 28th with 23 children attending. Other Special Programs included: 2 May-7th Baby story time-- 52 May 8th Mother Goose program --66 May. 12th Montessori Preschool visits (2 classes)to BPL— 61 May 17th Washington School Kindergarten/4th grade Book buddies class visits to BPL—60 • Kathy von Mayrhauser and Cathy Somerton have also been visiting the elementary classes in Burlingame and North and West in Hillsborough to promote Summer Reading. Upcoming Events: Summer Reading Program for the Whole Family—June 14—July 31 Every age group can now enjoy the Burlingame Public Library's Summer Reading Program: • Oceans of Stories— for Listeners • Make a Splash—Elementay Age Readers • Make Waves—Teen Club • Recipes for Reading Adult Program There are programs and prizes for all age groups. We will be installing banners on the front of both the Main and Eason branch announcing summer reading. We will be able to reuse these banners Summer Reading in the coming years. A. Absolutely. The Foundation has already pledged to contribute$110,000 this year to support the Libraries. Team Easton focuses on the specific goal of raising enough funds to cover the current$70,000 shortfall.People who belong to the Foundation and to the Library Board of Trustees are working on Team Easton,too. Your donation will be accepted by the Burlingame Library Foundation, a registered 5010(3) charity. Q. Is the Foundation also raising money for a computer lab? Why do that now? A. Yes. The Foundation has started a campaign to raise 100,000 to turn the periodical storage shelves, on the lower level of the library, into a computer lab. Our current fleet of computers are fully occupied. We have no place to offer classes and programs on computers. This effort aims to ensure the Library stays `'' relevant to the needs of our patrons. Q. How do I know that money donated to"Team Easton"will be used to keep the doors open? A. Any donations designated as for"Team Easton"will be put into a special fund exclusively used to support Easton's operation. Q. How can we avoid going through this again next year? A. There are no guarantees. However, if we raise more than$70,000 this year, we can begin to establish an endowment for Easton that will take the branch off the chopping block during future budget negotiations. Q. How do I join Team Easton? A. That's the spirit! You can write a check to the Burlingame Library Foundation and clearly mark that it is for"Team Easton."You can also make a donation on the website, www.teameaston.or . And please encourage your neighbors and friends to help join this effort. A little community spirit will go along way. Join"Team Easton"because open library doors create open minds!
