Call to Order President Brock called the meeting to order at 5:45pm. II. Minutes of the May 12, 2009 Trustee Meeting_ The Trustees unanimously approved the May 12, 2009 minutes. M/S/C (Griffith/Toft) IV. Correspondence and Attachments Circulation for May at the main library was 51,363 representing a 6.11% increase over May 2008 circulation of 48,404. Easton's May circulation of 5,825 showed a 10% decrease from May's 2007 total of 6,487. This 10% decrease in circulation coincides with the 10% reduction in open hours effective May 1, 2009. V. From the Floor Bob Tessler, a Hillsborough resident, attended the meeting. VI. Reports A. City Librarian's Report - Highlights 1. ALA PR Award -The American Library Association presented the Burlingame Library with its 39th PR award for the 2008 adult summer reading program entitled "Literary Tastings @ Burlingame Library". Summer Reading Programs - Summer Story Times for adults and children will run from June 15th to July 31 st. Children's reading programs are as follows: 1) "Be Creative @ Your Library" grades 1-5: 2) "Be Creative Summer Listener's Club" for pre-school and Kindergarten and 3) "Express Yourself' middle school and high school. "Travel with Books-Destination Unlimited" is the reading program for adults. B. Foundation Report The 3rd annual Author's Luncheon held on May 9th and chaired by Kris Cannon and Susan May netted $20,000 making it the most profitable Author Luncheon since its inception in 2007. VII. Unfinished Business A. Informational Fact Sheet The ire ormational fact sheet is ready to be distributed to Library users. The fact sheet provides annual statistical data on usage of Library materials, registered borrowers, Library visits and children and adult programs. Centennial Highlights are featured, as well as volunteer opportunities for patrons. The Trustees suggested that the fact sheet be placed on the Library website. B. Budget Discussion The City Librarian advised the Trustees that the Library will submit its balanced budget for the year 2009-2010, as well as return a portion of the Library's 2009 budget to the City. C. Close Extra Days Around the Library Scheduled Holidays The Trustees unanimously agreed, subject to revisions if necessary, to accept the revised holiday schedule which will allow the Library to close an additional 8 extra days before and after regular scheduled holidays. Nomination of Officers-Term July 1, 2009-June 30, 2010 The Trustees nominated Katie McCormack to serve as President of the Library Trustees and Pat Toft to serve as Secretary. B. Easton Branch Reconstruction Budget Detail The City Librarian provided the Trustees with the historical budget detail for the Easton reconstruction project as an informational item. Announcements The City Librarian, Alfred Escoffier, thanked Nancy Brock for serving as a member of the Library Board of Trustees since June of 2005. Trustee Brock will be moving to Southern California. X. Adjournment The meeting was adjourned at 6:25pm. Children's program, "Be Creative @ Your Library" includes the "Read- to- Me" and school age reading clubs. The teen reading club "Express Yourself" and adult reading club "Travel with Books" are also well subscribed. In anticipation of our summer programming, Children's Librarian Sue Reiterman did her annual visits to 95 classrooms in Burlingame and Hillsborough, reaching some 2,700 children. The results have been positive. We had over.700 people in to sign up by the 2nd week of the program. The Foundation-sponsored Family Fun Nights are wildly successful as always. The first two Fun Nights averaged 140 attendees, Story Times will continue through July. (The Saturday Story Time will be dropped after the summer session as a cost saving measure.) Foundation-sponsored adult programs include: "Tech Talks"; movie nights; an online genealogy session using our new genealogy databases; docent lecture on the blockbuster "'hit" exhibit'at the deYoung Museum; and other travel/adventure programs. Gardening Series In coordination with the Foundation's garden event in August, the library has planned 5 programs ,3n gardening: • August 4, Fall Planting, San-Mateo.Master Gardeners • August 10, Filoli Presentation • August 11, Drought Tolerant plants, San Mateo Master Gardeners • August 18, Native plants, San Mateo Masfer'Gardeners • August 27, Planting a Fall Victory Garden, Dennis Granahan All programs are listed on the library website: www.burlingame.org/library Library Services Update The City Budget has been approved for the 2009-2010 fiscal year. Most of you are aware of the changes in hours: main library.closing Fridays at 5 PM (February) and Easton closing all day on Fridays (May). Other- changes include adjusting to the Joint Service Desk. We are working on fine-tuning services at the desk. With single staffing, we are encouraging the public to take advantage of self-service. The library collections budget will be about the same this year thanks to the generosity of the Foundation and the Trustees. A third of the Willert Trust will'be used for collections. Closing_ additional days around holidays is still being considered.The first longer holiday closure-was 3 days over the Independence Day holiday weekend. We are up to 70% check-out on self check for May. We installed a 4th self check at the main library in June. We hope this, along with Express Holds, will increase the emphasis on self service. We are also developing a "Greeter" program in which staff or volunteers assist users with the self-service options. Library Accomplishments The City Manager asks for a list of accomplishments each year from the departments. The Library list is attached. It's been a busy year by any standard! Foundation Virtual Donor Wall The Foundation purchased the flat screen monitor for the Virtual Donor Wall for the lobby. The device needs to be tested before installation, but should be in place this summer. Easton Book Spines We have two donors pending at $ 250.00 for the Easton book spine project. Foundation Donor Recognition Chair, Jack Hickethier reported that the Easton Book spines are a product the Foundation sells, not a donor opportunity. The Board approved selling book spines at $250. Donor Wall at irTain Library It has been difficult getting someone to continue the bronze donor wall leaves. The original Napa- based artist is no longer interested in the project; and we have been unable to interest other local artisans in this work. In addition, we have promised two donor leaves to major donors in the past year. We may need to honor these individuals on the virtual Donor wall. After 12 years, this might be a good time to consider the Donor Wall complete. Staff Ergonomics Human Resources is calling in an ergonomics expert to assist us with a review of the circulation desk and circulation back room areas. We now have a 4th worker's comp claim for repetitive wrist injury. We are looking forward to the day when we can move to RFID technology which should make it easier for staff to work with returned materials. In addition; we are meeting with Library Consultant/Architect Wayne Gehrke to discuss options for the service desk. Trustees Handbook The City Librarian is updating the "Trustees Handbook" for distribution to the individual members of the Board. The binder will include Trustee responsibilities, as well as the role of the Trustee in the library and the community. The Library Advisory Board and other library backers are exploring options for permanently securing stable, sustainable funding for Butte County Library. Expect to learn more as strategies are developed. Butte County Library appreciates the backing of the community and rewards it with materials and services. Chico City Council will vote on its budget at 7 p.m.Tuesday. Library fans are encouraged to attend this meeting since the city's library contribution will be discussed.
