LIBRARIAN'S REPORT:
The Librarian's report was read and ordered filed, subject to correction in title of
Seventh Day Adventist Church.
COMMUNICATIONS:
There were no communications.
OLD BUSINESS:
San Mateo Libraries Cooperative Project: The Librarian reported no progress on this
project, and stated that the libraries involved were waiting for the State to move.
Building: The Librarian stated no date as yet had been set for a study meeting; that
he would advise trustees of date when known. There was some discussion, particularly
with regard to city finances.
Automatic Typewriter: Chairman Cohendet asked for reports from the trustees on the
libraries they had visited to investigate cataloging processes. Trustee Hechinger spoke
on his visit to the Daly City Library, stating that Mr. Chandler, Librarian, told him
they, too, typed their cards but also received some pre-cataloged books from jobbers;
and that he had confidence that this method will be improved so that it, along with
some cooperatives, will solve future cataloging needs. Trustee Hechinger also
mentioned Daly City's use of Wilson cards. Mrs. Patricia Thomas, Burlingame Library
Cataloger, also present at meeting, informed him that we had cancelled our card
contract with Wilson recently because of their inadequacy; ano also mentioned difficulties
encountered so far with jobber-supplied cataloged books, such as missing cards,
cards and pockets mismatched, etc. She stated we did get much of our fiction pre-
cataloged from suppliers.
Trustee Pehlan reported on her visit to the South San Francisco Library. She said that
they use cards from jobbers and also have several part time people typing catalog cards.
She discussed material which she had collected on jobbers, such as 3-C, who precatalog.
Chairman Cohendet, who visited the Palo Alto library, spoke of her realization of how
specialized the cataloging process is, and how varied the methods involved. She said that
this library types their original catalog cards at the library and they are then sent to
City Hall for duplication. Discussion followed these reports, with both Trustee DeMar.tini
and Trustee Lynes recommending that we lease or purchase the typewriter. Trustee Lynes
commented that old catalog cards needed for replacement could not be supplied from jobbers
anyhow, and asked Mrs. Thomas how long a trial period would be necessary on the machine to
determine if it would be profitable. She stated that six months would indicate this.
Trustee De Martini suggested that we lease the machine for six months, instead of rentin,
with the lease to apply on the purchase price. Trustee Hechinger cautioned that we
should inquire if other city departments could use the machine also, so that there would
be full utilization. It was agreed that the Librarian should find out all details of
renting-leasing arrangements for presentation at the next Board meeting.
NEW BUSINESS:
The Librarian went over the budget figures for fiscal year 1970-71. He gave reasons for
his capital expense request for a binding machine for periodicals, and justified the
increase in janitorial budget. There was discussion of these figures, and of various
salary classifications. Trustee Hechinger moved that the budget as presented by the Librarian
be approved. Trustee De Martini seconded the motion and it carried.
ADJOURNMENT:
The meeting adjourned at 9:05 P. M. upon a motion by Trustee De Martini seconded by
Trustee Phelan and carried.
Respectfully submitted,
George Paul Lechich
Clerk of the Board

LIBRARIAN 'S REPORT
APRIL 21 , 1970
The library has added 4,341 titles as of March 31, 1970. This is 689 titles
more than a similar period last year . The total volumes added are 6,878, or
292 more than last year . This would indicate that we are not buying as many
duplicate titles, and that hopefully our backlog of unfilled orders will
be less at the end of May than it was at the end of May last year.
CALIFORNIA ROOM:
The California Room is being used by several groups who have been displaced
from the Recreation Department due to their remodeling program. The groups
are informed that they must be out by nine o'clock and that at any time the
room may be used by patrons in search of books.
So far this has been quite satisfactory.
CHILDREN'S ROOM:
In every institution and business there are jobs, however tiresome, that
must be done in order to have a smooth, efficient plant . In the Children's
Room, the weeding of the collection is one of these jobs.
This is a process which results in:
1 . An up-to-date collection, especially important in the 900 area which
is used constantly for school report information. a
Y
2. An attractive collection in that soiled books and books for the
bindery are taken off the shelves.
3. Alleviation of the crowded conditions of the Children' s Room,
leaving open spaces and the tops of the book shelves for displays. K
During the past few months, with the assistance of Ann Adams, an effort has
been made to weed the 900 ' s, 700 ' s and fiction M through L areas. The
desired ends, especially that of some much needed space, have resulted.
April 22 being EARTH day,the Children' s Room has compiled a list on the
various subjects connected with the problem, and is devoting display space
to the subject.
School related activities are constant. Over 600 books were sent to the
schools during the month of March.
