ADJOURNMENT: i MINUTES OF THE MEETING OF THE BURLINGAME PUBLIC LIBRARY BOARD July 18, 1972 CALL TO ORDER: A regular meeting of the Burlingame Library Board was held on the above given date. The meeting was called to order at 7:30 p.m. by Chairman Lynes. ROLL CALL: Trustees Present: Cohendet-DeMartini-Hechinger-Lynes-Phelan Trustees Absent: None BILLS: Warrants in the amount of $9,244.13 and checks from the Special Fund totaling $1,209.08 were ordered paid on a motion by Trustee DeMartini, seconded by Trustee Lynes, and unanimously carried. MINUTES: Minutes of the meeting of June 20, 1972 were approved and adopted. LIBRARIAN'S REPORT: The Librarian's Report was read. NEW BUSINESS: Election of New Officers: Chairman Lynes stated that nominations for a new Board chairman were open. Trustee Cohendet nominated Trustee Phelan. The nomination was seconded by Trustee Hechinger and unanimously carried. Chairman Lynes stated that nominations were open for the office of secretary. Trustee DeMartini nominated Trustee Hechinger. The nomination was seconded by Trustee Cohendet and unanimously carried. Postcard Notification of Board Meetings: Trustee Cohendet stated she felt it was unnecessary for postcards to be sent to the Board members notifying them of the date and time of Board meetings. She stated that this was part of the new rules and regulations the Trustees agreed upon at a recent Board meeting. Trustee DeMartini stated he liked receiving the postcard reminder. Trustee Cohendet moved that the notification postcards no longer be sent to the Trustees. The motion was seconded by Trustee Hechinger. AYES: Cohendet-Hechinger-Phelan NOES: DeMartini ABSTAIN: Lynes ABSENT: None. Trustee Cohendet asked the Librarian if he was planning on purchasing professionally made signs to replace the present direction signs. The Librarian stated that as soon as everything was placed in a permanent position he would purchase signs. He stated that he had, however, requested price lists from several companies who had not, as yet, replied. ADJOURNMENT: Chairman Lynes adjourned the meeting at 8:15 p.m. REFUL�LY SUBMIT Il, f � George Paul Lechich Clerk of the Board LIBRARIAN'S REPORT August 15, 1972 CIRCULATION: a The month of July, 1972, has the highest circulation total for the main library than any July since the library's foundation. This is not only the highest book circulation, but also the highest phonograph record circulation. The circulation of audio-visual materials is gradually increasing and as their section is better organized, circulation should increase even more rapidly. The materials in this department have never been budgeted. They have been derived from the Lions Club, Women 's Club, Friends of the Library, some Federal Funds, and other non-library-tax sources. CHILDREN 'S DEPARTMENT: The Summer Reading Club is in its final weeks. The children seem to be enjoying the program, as can be seen by the numerous drawings, mobiles, etc., on display in the Children's Room. The date of the Reading Club party is August 26th. There will be entertainment and refreshments for those children who complete the club. The following people have assisted the Children 's Room in helping to make the Summer Reading Club a success: George Ward, who designed the club booklets and figures; Toni Fricke, who made the decorations in the Children's Room; The Lions Club, which pay the bills. REFERENCE DEPARTMENT: Burlingame patrons seem very pleased with the library addition and changes. The patrons seem thrilled to use the audio-visual listening tables, using them forty-one times for not less than one hour each time. Policy BURLINGAME PUBLIC LIBRARY It is the policy of the Burlingame Public Library to encourage a broad range of cultural and educational programs and functions, including the fine arts, literature, the humanities and sciences to the end that these programs and activities may be made available to citizens of all ages and of all interests. As one means ofaccomplishing this purpose, a Community Room has been included in our remodeled library. The primary purpose of the Community Room is to serve as a meeting place for activities, groups and organizations whose general purpose is in accordance with such cultural and educational aims. The following policy shall govern the use of the Community Room located in the Burlingame Public Library: I . Said room shall be used for the promotion of cultural and educational programs and activities and for related recreational activities. 2. Scheduling of said room shall be undertaken in accordance with the fol lo:4i ng priority. a. Library sponsored or library related events; b. Other City sponsored cultural or related educational functions; c. Cultural programs or related educational activities of other organizations and/or individuals; d. Special meetings of community organizations. 3. The following guidelines shall govern the use of said room. a. The room shall not be scheduled for private usage such as exhibits, meetings, programs, etc. when the same are not open to the general public, nor shall said room be scheduled for profit-making ventures. b. A non-profit organization may charge admission or solicit donations when presenting a cultural activity in the room. c. A report of the event, with a statement of finances, shall be submitted to the Library following such activity. d. The room shall not be used for regularly scheduled meetings unless related to the fine arts, literature, humanities, or sciences, unless approved by the Librarian. e. Commercial advertising shall be limited to acknowledgements for presentation. No presentation shall be made that involves any direct commercial advertising. 4. The Burlingame agency empowered with the facility scheduling shall be the Library. However, since Burlingame Public Library has no full-time custodial service, it will be necessary for sponsoring organizations to be responsible for any custodial services required such as setting up chairs and replacing them in their proper order, cleaning up the kitchenette, etc. If there are any additional cleaning services required because the room was left in disorder, the amount of charges shall be set by the Librarian with the approval of the Library Board and sent to the responsible group. It may result in cancellation of any further use of the room. 6. The Community Room shall be used only during those hours when the library is open, unless conditions prevail which have been approved by the Librarian prior to the usage of the room. In every such case the room shall be secured in accordance with Library established procedure, by the sponsoring organization immediately following its usage. Failure to do so, or extension of the time limit beyond that authorized, may result in the elimination of the privilege to again use the Community Room. 7. If the Community Room is in use after 9:00 p.m., it will be necessary to exit via the outside auditorium door, and a key will be needed to lock up. The person in charge will need to see that the lights are off, the exit door is locked, and the key returned to the Library the following morning. If the meeting is over before 9:00 p.m., the person in charge will be responsible for notifying the Reference Librarian on duty that the meeting has ended so the room can be closed and locked by the Library Staff.
