ROLL CALL: Trustees Present: Trustee Cohendet, Trustee DeMartini, Trustee Hechinger, Trustee Lynes, Trustee Phelan Trustees Absent: None Also Present: Mrs. Patricia M. Bergsing, Assistant City Librarian BILLS: Warrants in the amount of $7,468.13 were paid on a motion by Trustee Lynes, seconded by Trustee DeMartini, and carried. Special Funds bills totaling $862.94 were paid on a motion by Trustee Cohendet, seconded by Trustee Lynes, and carried. MINUTES: The minutes of the meeting of October 15, 1974, were approved and ordered filed. LIBRARIAN'S REPORT: Some discussion was held regarding the Retirement Planning Program which was held at our library from October 24th through November 7th, and of South San Francisco and Menlo Park libraries joining the Peninsula Library System. CORRESPONDENCE: A letter of appreciation was received from Mr. Lloyd Lynes, Principal of Franklin School. His comments on Mrs. Joy Molder's presentation to their PTA meeting of November 13th referred to her grasp and knowledge of service and programs offered by our library. OLD BUSINESS: Easton Drive Branch: Mr. Lechich gave the floor to Mrs. Bergsing to report the remodeling activities at the Branch Library. Mrs. Bergsing stated that the carpet has been partially installed with the balance to be completed on Thursday. The Branch will be closed Novem- ber 20th through November 24th to allow the rug and new shelving to be installed. The circulation desk which is being refinished and some of the new furniture are not scheduled to arrive until December. Hopefully everything will be completed and the Open House can be planned for January 1975. Mr. Lechich reported that the roof has been completely redone. Mr. John Hoffman, Director, Burlingame Park Department, has had a new sprinkler system installed and is now in the process of replanting and landscaping the grounds. Change in time of Library Board meetings: After some discussion, it was moved by Trustee Lynes that the item be tabled to the meeting of December 17, 1974. NEW BUSINESS: California Library Association Convention: Trustee Hechinger attended the California Library Association Convention inSan Diego on November 9th through November 14th. Also attending the convention were Trustee Phelan, Mr. Lechich, Mrs. Bergsing and Mr. Escoffier. Trustee Hechinger reported that he received many compliments about our library and our Head Librarian. He was especially impressed with the session regarding the Board of Trustees and their responsibilities and found the exhibits very inspiring. The Librarian stated that casette tapes of several of the sessions held at the convention are being ordered and it is hoped that they will be received in time to be played at the next Board meeting. ADJOURNMENT: As there was no further business, the meeting was adjourned at 6:18 P.M. on a motion by Trustee Lynes, seconded by Trustee Phelan, with the next Board meeting scheduled for December 17, 1974. Respectfully submi t d:� George P ul Lechich Clerk of the Board LIBRARIAN'S REPORT December 17, 1974 CIRCULATION: The increase of 3% over November of 1973 is actually better expressed as 7.6% increase at the Main and a 20% loss at the Branch. This is hopefully due to the closing, etc. for remodeling. FOOT TRAFFIC : The foot traffic at the Main was only 1 .2% more than the same month in 1973. We will try and re-install the counter at the Branch as the traffic count seems to be more meaningful than the circulation count. This is the result of more people coming to the library and using the various facilities. This is shown in part by the 257. increase in reference questions. REGISTRATIONS : Our number of registered patrons has dropped from an all time high in September 1974 of 18,471 to 18,430. During this period, the number of Peninsula Library System patrons increased from 3,205 to 3,416. (These are the System patrons who use our library sufficiently to warrant the recording of their card number for our reference purposes in the case of overdues, etc. There are other drop-ins but these are the regulars. ) The Peninsula Library System patrons borrowed approximately 3,000 volumes during November. ACCESSIONS AND WITHDRAWALS OF BOOK STOCK: We now have over 194,472 accessioned volumes in our library. It is imperative that we weed heavily and 'begin using the last copy depository (a part of the System). Our buying policy will be affected in that we will need more multiple copies to satisfy the demand of the increased number of patrons, especially P.L.S. patrons. Therefore, we will of necessity not purchase as many titles. This will, in the long run, weaken our collection but should result in lower cataloging costs. FEES AND FINES : Deposits with the City Treasurer are slightly more than the same period last year. $1,408.27 in 1973 and $1 ,438.96 in 1974. There has been little change in spite of the fact that we have less non-resident card holders than we did previous to the advent of the Peninsula Library System. CHILDREN'S DEPARTMENT: The Lincoln School Parent Teachers Association held their monthly meeting in the Community Room at the Main Library on November 19th. Members of our staff spoke about the services available to them as adults and parents. This information has been extended to all the Parent Teachers Associations in Burlingame. A number of classes from the Seventh Day Adventist School visited the library and checked out a number of books and magazines. A brief explanation of the library and its services preceded individual browsing. The Children 's Room is now in the process of preparing for Christmas. Librarian's Report December 17, 1974 Page Two REFERENCE DEPARTMENT: Mrs. Molder gave a hook talk to the Franklin School Parent Teachers Association on November 13th. She also gave a talk on reference services to the Lincoln School P.T.A. which held their meeting in the Main Library's Community Room on November 19th. On November 20th, Mrs. Molder gave a book talk to the Friendship Circle of the Saint Paul 's Espiscopal Church. Mr. Escoffier and Mr. Wickliffe attended the Dialog Workshop and the PLS Reference Librarians Meeting on November 21, 1974. Reference service remained statistically very similar to October, despite the beginning of the holiday season. In addition to a very brisk business at the Reference Desk, community book talks also added to the busy schedule.
