Trustees Present: Berger, Cannon, Dunbar, Herman &Taylor Trustees Absent: None Staff Present: Alfred Escoffier, City Librarian Judy Gladysz,Administrative Secretary Others Present: Marti Knight, Burlingame Resident Bills: MIS/C (Cannon/Taylor) unanimously to approve the payment of City and Special Fund checks. Minutes of the Meeting of August 15th, 1995: The Minutes were approved as written and ordered filed. Correspondence and Communication: Librarian Escoffier announced that a very large donation had been given to the Foundation from the family trust of Ralph Lane. All other correspondence was mailed in the Trustee packets. Reports: City Librarian's Report There was brief discussion about the City Librarian's Report. System Advisory Board Report of September 12 1995: Trustee Cannon discussed the purpose of the System Advisory Board. She said she is looking forward to a good attendance by the Community. President Dunbar said the Board appreciates everything the Foundation is doing. Unfinished Business: Proposed Revised Holiday Schedule: Trustee Herman made a motion to revise the current holiday schedule for 1995 to be as follows: open gam to 1pm on December 22nd and 23rd, and 9am to 6pm on December 29th and 30th. The motion was seconded by Trustee Taylor. Some discussion followed. The motion was passed 4 to 1 with Trustee Cannon voting no. New Business: Employee Achievement Award Sub-Committee: It was agreed that the sub-committee members for the Employee Achievement Awards would be Kris Cannon and Mary Herman. Trustee Dunbar said she had already passed along the guidelines notebook to them. CLA Registration: It had already been established that none of the Board members would be attending CLA. Patron Behavior Guidelines: M/S/C (Cannon/Taylor), unanimously that the patron behavior guidelines be accepted as written. Adjournment: The meeting of September 19th, 1995 was adjourned at 5:10 pm. Escoffier City Librarian Trustees Minutes-September 10/6/95 q?age 2 N— BURLINGAME 7 r r r r City Librarian's Report October 17, 1995 "Something New is Building..." Comments on the "Back Check" drawings have been received by Group 4. The construction managers, city staff and library have contributed comments to this final review process. Due to the necessity to incorporate many of the comments into the final construction drawings, Group 4 has been granted an additional week in the schedule. This extra week is not expected to affect the overall bid schedule. Interior colors, textures and furnishings are being refined. The "Graphics Package" for signage has undergone an initial review and will be finalized shortly. Burlingame Library Foundation We are eagerly awaiting the arrival of the "Hard Hat Party: an Elegant Affair" later this week. The event will be held Saturday, October 14, 1995 in the vacated library. The evening will include dinner, both silent and live auction of books and wine, and several respected local authors, including Pulitzer Prize winning author Allen Drury. I would like to take this opportunity to thank the co-chairs, Loretta Blevins and Sheri Galvin, as well as the many volunteers who have helped make this event possible. This includes not only the Foundation Board members, but the Library Trustees, members of the community. In addition, a number of Burlingame businesses have donated in-kind services and materials to help make the event a success. My thanks to all who care about library service in Burlingame! Chamber Mixer a Success! The Chamber Mixer was a great success. Nearly 100 people attended the event in the vacated library building. The refreshments were provided by Burlingame Bank and Trust. My thanks to the Bank and the volunteers, especially Kris Cannon and Mary Herman, who helped make the event a great success. Staff members Joan Manini, Esther Cummings, Judy Gladysz, Sandy Gleichmann, Connie Dougherty, Maureen Lennon volunteered their time to help with the event. Children's Services Joan Manini hosted an early morning breakfast meeting of the Children's Librarians from the Burlingame and Hillsborough schools at the Park Road Library. 480 Primrose Road • Burlingame. CA 94010-4083 • (415) 342-1038 • Fax (415) 342-1948 This informational session focused on the status of the school libraries, ways in which the school and public libraries might cooperate, and the needs of the students for various types of library materials. During September, Cathy Somerton did a total of 22 programs including: 4 Preschool Story Times, 8 Toddler Story Times, 2 class visits to Easton, and 8 programs at schools. Attendance at programs early in the month was light, as people are still getting used to the new location at Easton. But by the end of the month, attendance was increasing. Plans are to move the Toddler Story Time and the Saturday Story Time back to the main library beginning in January. A letter has gone out to all preschools, Kindergartens and First Grades, inviting them to contact Cathy to schedule programs. Response was very good and Cathy is now fully booked through the end of the year! Reference Services Esther attended the PLS Reference meeting on September 26th where discussion focused on the trial demonstration products for full text document delivery. Following evaluation of three products, a decision will be made on providing those products system-wide, via the online public catalog system. The groups also discussed providing Internet for the public, which is now available at all San Mateo County library branches and some city libraries. Personnel Hal Mendelsohn has accepted a full time position at a Junior College in Louisiana. We will miss him on our on call pool and wish him the best. We will be recruiting shortly for "on-call" hourly librarians to fill in for sickness and vacations. Easton Branch The after school crowd has returned to Easton, but so far there have been few behavioral problems. Lisa has distributed a Student Behavior Policy during the first week which seemed to help. Connie and Maureen are taking turns working on Wednesday mornings to assist Cathy with the children following the story hours. Informational Exchange. a- Joan shared Valerie Worth's poem, "Library", discussed the Teacher Information sheet (and forthcoming 'Book Alert" postcards), and asked school librarians to think about what the public library could do to support thesm. We distributed: Teacher 1nf0r'm2ti0 Sheet, Begin With Books brochure, Easton Branch flyer, September calendar, and the Dual-In Access brochure. b. Lisa mentioned the branch and targeting 3rd Grades. c. Cathy described her Begin With Books program. d. Al discussed the Temporary Quarters, DYNIX capabilities and distributed the new BPI, brochure and the new Library Foundation brochure. e. Susan Torres wished for backup from the public library for her collection, especially for heavy demand items, specifically with the local history project for their 3rd graders. f. Karen asked about the specifics of the direct access to DYNIX, would also like backup for their collection, and reported that their book budget depends on funds from their foundation. g. Susan Levy asked for more collection support and more meetings of this kind. h. Judy is very grateful for our Teacher Cards, especially appreciates our Professional collection, needs collection support as well (especially local history), is overwhelmed by our service personnel in general, and will offer us their core and subject lists. L Carole reiterated everything everyone else said, was very interested in our dial-in access to DYNIX, and would really like to hear from us about what tides to add as well as delete from their core lists. She was particularly interested. in finding out who to contact with specific questions about cataloging. He commended Cathy's Begin With Books program and told us about Louise Holt's early literacy program (Washington) to reach preschoolers in the home, for which the School Foundation and Peninsula Foundation have been approached. *FYI: Alt the schools have access to Internet. There are 20 ports available systemwide (for on-line DYINIX access) The PIS system is on a frame relay system, through the phone system. 3. Future Meetings. Tentatively, morning meetings will be scheduled, in January and May.
