Roll Call Trustees Present: Nancy Brock, Bruce Carlton, Deborah Griffith, Katie McCormack, Pat Toft. Staff Present: Al Escoffier, City Librarian Staff Absent: Sidney Poland, Recorder III. Warrants and Special Funds The Trustees unanimously approved the warrants after clarification. M/S/C (Toft/Carlton) IV. Minutes The Trustees unanimously approved the minutes of the July 19th meeting. M/S/C (Toft/Griffith) V. Correspondence and Attachments Correspondence and attachments were noted. Trustee McCormack urged the Trustees to attend the PLS Orientation on September 28th at the PLS offices in San Mateo. Also noted was a letter of appreciation for "excellent services" from Burlingame resident David H. Studebaker. VI. From the Floor There wefe no members of the public present. VII. Reports A. City Librarian's Report- Highlights of Report 1 Online Migration a. Go Live Date. The online migration is underway and hopefully the library should be up and running on the new system Wednesday, August 17, 2005. It's been a rough few months of training and gearing up for the migration, but things seem to be very close. b. PIN Numbers. All patrons will need to get new pin numbers for their library cards; as their old pin numbers will not migrate to Millennium. C. Public Relations. Children's Summer Reading Clubs - The Clubs have been popular this year arid we have approximately the same number of children completing the club as last year, slightly over 650. 3. Personnel - The City Librarian spoke of the several personnel currently out on extended leave. This is a,loss of 2 FTE on the sick list. We are backfilling with on call staff. 4. Annual Statistics - A first look at annual circulation statistics show them up 14% over last year. This is on top of three steady years of growth averaging 10% per year. More statistical analysis will follow. B. Burlingame Library Foundation Report - The Library Foundation is planning for the Foundation Fundraiser "Birthday Bash" on Friday, October 7, 2005. Already scheduled are: Walden Marionettes, Magic Dari and others. There will be opportunities for families to donate to children's programming for 2006. VIII. Unfinished Business Statue Honoring Gloria Barton. The Statue is being fitted to the base and a bronze plaque has been ordered. We will have a dedication when the statue is returned from the cabinetmaker. IX. New Business �. A. Employee Achievement Award Task Force. The Trustees appointed Deborah Griffith and Pat Toft as the task force for selection of the Employee Achievement awards. Katie McCormack will assist. M/S/C (Brock/Carltonj B Employee Recognition Dinner Coordinator Katie McCormack will work with the Foundation on the dinner for December 4th, Doubletree Hotel. X. Announcements A. The Trustees requested a list of phone numbers and addresses, and e-mail for the Board. The City Librarian will forward this information to each Board member. B. Trustee McCormack distributed information on.a Trustees' event on new technologies to be held at the new Santa Clara City Library on October 29, 2005, 9:30- Noon. XI. Adjournment. BHS Band to play at B'game Pet Parade Join community organizations, local merchants, band boosters and fellow pet lovers to hear the exuberant sounds of the BHS band as they accompany pets and their owners in the 2nd Annual Burlingame Pet Parade on Sunday, Sept. 25th at 11:30am on Broadway! I am very pleased with the way the staff has stepped up to the plate to take on the new automated library system. The new system provides a number of new features, but does not allow other features. So we are still in a learning curve. Patron comments and staff comments have been compiled into a document for review by the various system-wide staff committees in an effort to move the vendor in the direction of helping us with changes. In some cases, we can make the changes at PLAN. The most difficult feature of the system has been the "holds" issue. Each day things do get better. We are one of the few library consortia who are using this system, and it needs some "tweaking" to make the work flow more easily. CLS Outsourcing Testing Testing iscontinuingwith our vendor Baker and Taylor on our outsourcing for CLS (Customized Library Service). The Z39.50 protocol communications line works, but the "acquisitions loader" a software function, is not yetworking. This has put us about 2 months behind in adding new fiction to the libraries and it definitely is beginning to show in patron comments and circulation. The books and media themselves are ordered and being held in the Reno offices of Baker and Taylor until the software issues are resolved. I hope that this would be resolved by September 19th. We then would have 10-15 days in which the vendor's work would be completed and then should receive the 600+ backordered titles shelf-ready. Since we are the only library in'the system using this 3rd party vendor for our cataloging and processing, we have had to work closely with the vendor and PLAN to get the system up and running. Once we are fully operational on the CLS system, we will continue to outsource all of our new.adult fiction and most media. 480 Primrose Road,Burlingame,CA 94010-4083 Phone (650) 558-7474Fax(650) 342-6295•Email:www.burlingame.org/library OCLC World Catalog OCLC, which is the largest international library database in the world, and the one we use to catalog and maintain our library records, will now be available to the public through a grant from the California State Library. We will be adding a link to OCLC on our website in the coming months. This link will allow patrons access to a world of information beyond the Peninsula Library System. "Boy Reading" Statue The plaque and the statue in honor of former Mayor Gloria Barton are nearly ready for installation. We will highlight this at the Foundation Fundraiser in October. Foundation Fundraiser Foundation volunteers and staff are working to plan the family fundraiser slated for Friday, October 7th, 6 PM- 8:30 PM. Rachel Rothe, event chair, notes that the event will include several venues of entertainment, hot dogs and popcorn, and opportunities to win gift certificates donated by local businesses. We will be asking the Board to close 2 hours early that day to prepare for the event. Personnel Issues We are still down 3 FTE staff for medical reasons. We are filling in with on-call and regular staff, but are definitely feeling the pinch. Mark Kott and Al Tripp are doing a great job of keeping the building clean and in good order. We have a contract cleaning service that can fill in as needed. On-Call librarians, Barbara Geibel, Linda Hedges and Mary Ann Miotto are helping keep our Reference Desk staffed. Foundation Book Sale Plans are underway for the Foundation Book Sale. Co-chair Jim Cannon has been working with the volunteers to get ready for the sale. We were given an almost new street banner which we will have lettered and installed to advertise the sale. The new banner is white and should be brighter and easier to read. It will be installed at the foot of Burlingame Avenue the week of the sale. The structure is very similar to past years and conforms to the City's guidelines on national holidays, as well as city labor contracts. We have tried not to close more than 2 days in a row, as this is difficult for regular library users, and creates a greater workload for staff on the day we do open. We have grown from five employees to a staff of 59 and distributed more than $500 million in grants addressing community needs in the Peninsula, Silicon Valley, and beyond. From children's issues, to healthcare and the environment, to strengthening nonprofits, PCF is tackling some of our region's most critical issues and catalyzing innovation across the country. It is a rare organization that brings so many different and caring people together and makes so many things possible.
