Call to Order The meeting of October 17, 2000 was called to order by Secretary Mary Herman at 4:30 pm. II. Roll Call Trustees Present: Jeff Berger, Jane Dunbar, Mary Herman Trustees Absent: Cecile Coar, Mary Lou Morton Staff Present: Alfred Escoffier, City Librarian Pat Harding, Library Services Manager Sidney Poland, Recorder III Warrants & Special Fund The Trustees unanimously agreed to approve the warrants as presented. M/S/C (Berger/Dunbar) IV. Minutes The Trustees unanimously agreed to approve the minutes of the September 19, 2000 meeting. M/S/C (Berger/Dunbar) V. Correspondence Correspondence mailed in the packets was reviewed. 1. Duncan Trust - The Board reviewed the financial statement of the Duncan Trust provided by the Peninsula Community Foundation. It was the consensus of the Board that the statement does not provide sufficient information about the Trust in comparison to investment reporting of a 401(k) or IRA. The City Librarian will contact the director of the Peninsula Community Foundation regarding their method of financial reporting. VI. Iib . ca . us / pls / pls . html �-- VII. Reports A. City Librarian's Report The City Librarian reviewed his report highlighting the following events. 1. New Library Services Manager - The City Librarian introduced Pat Harding who assumed the role of Library Services Manager on October 17th. 2. Time Capsule - Entries to be placed in the time capsule will be accepted until October 31St. The capsule will be sealed and presented to the City of Burlingame at the tree lighting event, December 8th. 3. Donor Wall Additions - A prototype of the leaf and vine for the new donor wall addition is being created by the artist, Andrew Bradford of Napa Valley for the Board to review. 4. Personnel - Recruitment for the Circulation Supervisor has been extended. The process should be completed by mid-November. Recruitment will begin shortly for the reference �. librarian position. B. Foundation Report - 1. Elegant Affair - Ads and press releases for the event will run in the Burlingame Daily and the Independent. Karen Key ran an article in the San Mateo Times. 2. Election of Officers will take place in December. C. Duncan Trust - This item will be placed on the agenda for the November 14th meeting. D. Marshall Trust - In response to the Trustees' inquiry, the City Librarian gave a report on the current financial status of the Trust. L Library Board of Trustee Minutes October 17,2000 2 VIII. Unfinished Business A. Donor Wall Funding - The cost for the new donor wall is approximately $11,000 which the City Librarian recommended be `- shared between the Trustees and the Foundation. The Trustees authorized an expenditure of$5,500 from the Xerox Fund to pay for its half of the project with the condition that the Foundation fund the remaining amount. M/S/C (Dunbar/Berger) B. Time Capsule Committee - Mary Herman and Jeff Berger will select the items to be placed in the time capsule. C. Employee Achievement Awards Update - Mary Herman and Jeff Berger will review the nominations submitted by the staff. Awards will be given at the Employee Recognition Dinner December 3rd. IX. New Business A. Internet Policy - The Library has not received any complaints regarding its Internet service and usage is high. The only major behavioral issue was resolved by the Trustees' decision to rescind an individual's library privileges until March 2001. B. Microform Reader Printer Funding - The Trustees authorized funding for the Microform Reader Printer in an amount not to exceed $15,000. M/S/C (Berger/Dunbar) C. Posting of Materials - The Trustees agreed to place this item on the November 14th agenda. M/S/C (Dunbar/Berger) X. Adjournment The meeting was adjourned at 5:30pm.
