BOARD OF TRUSTEES
MINUTES
DECEMBER 15th , 1981
CALL TO ORDER:
�- Chairman Fricke called the meeting to order at 5 :OOpm.
ROLL CALL :
Trustees Present : Chairman Fricke , Secretary Weatherbe , Trustees
Hechinger and Parsons
Trustees Absent : Trustee Nagle, excused for illness
Also Present : Mrs . Joy Molder, Assistant City Librarian
Mrs . Judy Gladysz , Library Secretary
BILLS :
Checks in the amount of $13 , 798 . 89 were approved to be paid on"a
motion made by Trustee Weatherbe , seconded by Trustee; Parsons and carried.
Special Fund checks in the amount of $717 . 41 were approved to be paid on a
motion made by Trustee Weatherbe , seconded by Trustee Parsons , and carried.
MINUTES OF THE MEETING OF NOVEMBER 17th , 1981 :
Minutes of the meeting of November 17th , 1981 were approved as
written and ordered filed.
CORRESPONDENCE:
None
LIBRARIAN' S REPORT:
Discussed in conjunction with Unfinished and New Business .
UNFINISHED BUSINESS:
Update on Automated Circulation:
Librarian Bergsing thanked the Board members for being at the
Council meeting when Council approved the Shared Automated Circulation
System. She said she felt their support was very important and was much
appreciated. She stated that Council had unanimously approved the
proposed Circulation System and all the staff was very pleased.
Mrs. Bergsing further reported that Redwood City is supposed to
go to their Council on December 21st ; San Mateo City will also go on the
21st , and South San Francisco is due to go to their Council on December
16th . If these three libraries are successful in getting approval , then
it looks like all of the libraries in the Peninsula Library System will
be participating in the Automated Circulation System. She said she will
�... keep the Board members informed.

Mrs . Bergsing said that she and Mrs . Molder had met last Thursday
with some representatives from Geac to discuss central site preparations
and equipment . There was another meeting last Monday, December 7th. Mrs .
Bergsing and Mrs . Molder, and other people from the P.L.S . libraries met
with the Project Director for the Glendale and Pasadena libraries who have
a Geac Automated Circulation System. Mrs . Bergsing said they discussed
conversion and conversion related matters . Trustee Hechinger asked if
Glendale and Pasadena were happy with the System. Mrs . Bergsing said they
were indeed very happy. She said they have approximately 18 branch
libraries between the two of them so they are comparable in size to the
Peninsula Library System.
Re-Scheduling Reorganization of the Library:
Mrs: Bergsing reported that the original date to reorganize the
Library, in December, had to be postponed. She said she had contacted each
of the Board members by telephone before she made the decision. She
realized however, that because of the time spent on the Automated Circulation
System, the California Library Association Conference , and the Christmas
Holidays , there had not been enough time for adequate planning .
She said Paul Borg from the Water Department came over with two
of his men to help move the Reference Desk and some other heavy furniture
on December 10th. She said she needed to have a better idea of how the
Reference Desk and other furniture was going to fit . Everyone was
grateful for their help .
Mrs . Bergsing said she had spoken with Ross McDonald, who installs
the shelving and he was relieved that the 'move ' date had been changed
because he had a very tight schedule at this time. Mrs . Bergsing asked the
Board members to consider closing the Library on Febrary 13th and 14th. If
this were approved she said it would give them 4 days to reorganize because
Friday the 12th is a holiday and so is Monday the 15th. Trustee
Hechinger made a motion to close the Main Library for reorganization
on February 13th and 14th, and to extend the Branch hours on those two
days to accomodate the public. The motion was seconded by Trustee Parsons ,
and carried unanimously.
NEW BUSINESS :
Report on the C. L.A. Conference :
Chairman Fricke tabled the reports until the January meeting in
order to give everyone time to prepare for same .

Miscellaneous :
Mrs . Molder reported that there were between 140 and 150 children
and adults at the 2nd Annual Christmas Party on December 5th. She said it
was very successful and that the support they receive from the Friends for
the refreshments was greatly appreciated.
ADJOURNMENT:
Chairman Fricke adjourned the meeting at 5 : 30pm. The next
scheduled meeting is for January 19th , 1982 , at 4 : 30pm in the California
Room.
