PB/J g MINUTES BURLINGAME PUBLIC LIBRARY BOARD OF TRUSTEES OCTOBER 19th, 1982 CALL TO ORDER : Trustee Nagle called the meeting to order at 4 : 50pm. ROLL CALL: Trustees Present : Trustees Nagle, Weatherbe & Kriloff Trustees Absent: President Fricke Secretary Parsons , due to illness Also Present : Mrs . Joy Molder, Assistant City Librarian Mrs . Judy Gladysz , Library Secretary BILLS : City checks in the amount of $ 15 , 975 . 22 were approved to be paid on a motion made by Trustee Weatherbe , seconded by Trustee Kriloff and carried . Special Fund checks in the amount of $776 . 80 were approved to be paid on a motion made by Trustee Weatherbe, seconded by Trustee Kriloff and carried . MINUTES OF THE MEETING OF SEPTEMBER 21st , 1982 : Minutes of the meeting of September 21st , 1982 were approved as written and ordered filed . CORRESPONDENCE : None LIBRARIAN ' S REPORT: Duncan Trust : Trustee Nagle asked if Mrs . Bergsing had received a Financial Report on the Duncan property to which Mrs . Bergsing replied no she hadn ' t . She had, however , drafted a letter to Mr . Somerville since the request had to be in letter form, and distributed copies to all of the present Board members . The Board members read the draft, and agreed that it was precise and to the point . Trustee Nagle suggested that he ' ll get in touch with President Fricke and Mr . Al Horn to meet with them to request a financial report . Librarian Bergsing said that her instructions from the Foundation were that the request must be in writing . Trustee Weatherbe made a motion to formally type and prepare the letter from President Fricke, requesting a financial report on the Duncan property . The motion was seconded by Trustee Kriloff and carried . Trustee Nagle asked that a copy be sent to Mr . Jerry Coleman, Mr. Al Horn, and Mr . Paul Lechich . Trustee Nagle said he would attend the meeting with Mr . Horn & President Fricke . Appointment of Representative to the P .L . S . Advisory Board: Librarian Bergsing reported that President Fricke had been appointed to be the P . L. S . Advisory Board Representative with Leo Kriloff as an alternate at the October 4th Council meeting . Page 2 Student Behavior Policy: Trustee Nagle questioned if the letters had been sent to the principals of the schools regarding the noise problem at the Library . Mrs . Bergsing replied yes that the letters had gone out , and the noise level was better than before , but perhaps it was a little premature to tell if the letters had been the reason , or if it was too early in the school year . She thanked the Board for their support . C . L. A. Conference December 11th _ 15th : Mrs . Bergsing asked if any of the Board members had an interest in attending the C . L. A. Conference to be held in December in Los Angeles . None of the Board members felt that they would be able to go . Mrs . Bergsing said she would be talking with President Fricke to confirm whether or not she would be attending . Trustee Kriloff volunteered his services to attend some other function further out of the area , because he has free air-fare privileges . Mrs . Bergsing thanked him for the offer, and said they would certainly remember that for the future . UNFINISHED BUSINESS : Discussed in conjunction with the Librarian ' s Report . NEW BUSINESS : None MISCELLANEOUS : Mr . Escoffier had picked up the Norberg sketches from Studio B and displayed them for the Board members to see . The Trustees thought they were beautiful and a nice tribute to a great architect . Mrs . Bergsing and Mr . Escoffier will write up something that explains the drawings that can be printed and displayed with the sketches , so the public will understand their significance . Trustee Kriloff asked Mrs . Bergsing if she had been aware that the Easton Drive Branch Library was in need of some repairs . Specifically he said he had observed that the outside of the building was in pretty bad shape and that the paint ; should be sand-blasted and then repainted ; the wheelchair entrance/exit needed a metal plate at the bottom of the door ; all of the windows , on the exterior side, need to have the putty removed , a light glaze applied and then re-puttied and painted . He asked that the next budget request include the maintenance items to be done . Mrs . Bergsing replied that she would check on the cost of the window repairs , and that the Library maintenance pian could fix the wheelchair door . However , the sand-blasting and painting of the entire building would indeed,, have to be considered as a budget request for next year . Trustee Kriloff also asked if anything had yet been done to repair the "leak" in the basement stacks . Mrs . Bergsing said she has had several engineers and job estimates written up concerning the leak, but to date nobody has come up with a workable solution . After the cement foundation absorbs the water from the heavy rains , the carpet gets wet . A sump pump might be a solution . She thought that the best time to consider repairs in that area was when we contruct the landing and stairs to the Duncan patio . Trustee Kriloff then asked about plans for the entrance to the Duncan patio . Librarian Bergsing replied that the easiest and most logical exit from the Library to the patio was to build a doorway from the back of the main floor stacks . However, the Peninsula Foundation has still not replied to the letter sent last month requesting permission to Page 3 get estimates for the construction and the landscaping . Trustee Nagle noted an increase in Circulation at the Branch for the month of September. ADJOURNMENT: Trustee Nagle adjourned the meeting at 5 : 45pm with the next Board meeting shceduled for November 16th , 1982 , at 4 : 30pm in the California Room . Respectfully submitted, Patricia M. Bergsing Clerk of the Board PMB/j g LIBRARIAN 'S REPORT NOVEMBER 16th, 1982 Memorial Fund for Alice Fricke The staff members join with you in expressing their grief and sadness over the sudden death of Board President Alice Fricke. She was a joy and inspiration to all of us and she will be sorely missed. The staff is also grateful to the Board for establishing the Memorial Fund in her name. We have already received a number of donations , and we have established the procedures for notifying Alice 's family, and thanking the donors . Duncan Trust There is nothing further to report at this time regarding plans for the Duncan patio or a financial report from the Found- ation. However, that is partially due to our own delay because of Trustee Fricke ' s death . Trustee Nagle is going to try again to meet with Mr . Horn and he may have something to report at your meeting. Representative to P .L. S . Advisory Board The City Manager has notified us that Trustee Kriloff_ should consider himself the duly appointed Burlingame Represen- tative to the Peninsula Library System Advisory Board since he was appointed as an alternate at the October 4th Council meeting. Automated Circulation As Project Manager for Burlingame during the installation, conversion, and training for the Automated Circulation System, Mrs . Molder is attending two weeks of training on the Ceac System at the County Library Headquarters in Belmont . There is one representative from each library at these sessions which are designed to give each of them a working,"hands-on" , overview of all aspects of the System. Microcomputer Seminar On October 29th, I attended a one-day seminar on the use of microcomputers in libraries . There were many hardware and software vendors represented including Apple, Radio Shack and I.B.M. The conference included demonstrations of microcomputer products as well as presentations by librarians on planning and budgeting, and implementing and managing microcomputers . The most interesting demonstration to me was the coin-operated micro- computer A library could install this for the public to use in much the same way as they use the copying machines . We are giving serious thought about how the Burlingame Library might install and manage this service. Reference Department Reference Desk statistics were up 18% over the same month last year. This is an increase of approximately 600 questions . Interlibrary Loans The Peninsula Library System Interlibrary Loan Committee met on Wednesday, October 27th. The major topic of discussion was the new COM-CAT - The PLS Catalog of Books and its use as an interlibrary loan tool . We will now be able to find locations within PLS for books published between 1973 and 1981 by checking the COM-CAT microfiche. This will provide much faster service to our patrons than the previous system which required that all requests be submitted to BIBCEN via teletype for holdings information. With the publication and distribution of. the COM-CAT complete, the PLS COM-CAT Committee is preparing for an eval- uation and survey of usage . Fliers and posters , as well as newspaper publicity will be forthcoming by November 19th, Nancy Montague, our Staff Artist , has contracted with PLS to provide the graphic designs for title page, fliers , posters and bookmarks . She is doing an excellent job of pulling together the artwork for the publicity. Effective November 15th, PLS will be a part of the "Library Connection" , a delivery system serving libraries in all of Northern Calfiornia. The Library Connection will allow us to send and receive books , letters and messages within 2-3 days . In addition to providing a great savings in postage costs , this service should allow us to fill Interlibrary Loan requests more quickly -- library rate parcels sent through the post office often take a week or more to arrive at their. destination. Page 3 Children 's Department Seventy-five to one hundred children and adults attended the Library ' s Halloween Program. The Program was a dramatization of "Humbug Witch" by Library Assistant Barbara Lazarus , and a Danish folktale, "The Fat Cat" , by the Children 's Department Supervisor, Joan Riordan Leach. Children from the audience participated in The Fat Cat. They were eaten by the Cat and at the end they were saved by The Woodcutter. Little Lambs and Presbyterian Nursery Schools visited the Main Library and the Branch respectively. Carden School 's first through fourth grades visited the Easton Branch Library. The Peninsula Library System Children 's Committee held their second meeting at Redwood City 's Schaberg Branch Library. They discussed co-operative programming, book lists and sharing of resources , particularly puppets . Our third annual Christmas Program will be held on Saturday, December 4th at 11 :OOam. The Walden Marionettes will perform. Santa Claus will make his appearance. You are all `. invited to attend. The entertainment and refreshments are being provided by the Friends . Outreach/Programming Mrs . Rowe led the first session of the Fall-Winter Book Chats on October 26th. Books that were discussed were: Archer 's "The Prodigal Daughter" ; Gaskin 's "Promises" ; Deverell 's "High Crimes" ; and Laher 's "Gilded Splendor" . Exhibits for the month of October included a salute to Chirstopher Columbus and Johnny Appleseed; a television tie-in with the "Music of Man" series ; and the Book Sale promotion. Mr. Wickliffe and Mrs . Leach attended the Burlingame Writer ' s Club October Honors Tea. Members were honored for books published during the past year.
