ADJOURNMENT: PMB/jg BURLINGAME PUBLIC LIBRARY BOARD OF TRUSTEES MINUTES AUGUST 16th , 1983 CALL TO ORDER: Trustees Present : Trustees Nagle , Kriloff , Harvey and Weatherbe Trustees Absent : President Parsons , excused for vacation Also Present : Mrs . Joy Molder , Asst . City Librarian Mrs . Judy Gladysz , Library Secretary BILLS: City checks in the amount of $68 ,677 .87 were approved to be paid on a motion made by Trustee Harvey , seconded by Trustee Weatherbe and carried unanimously. Special Fund checks in the amount of $268 . 37 were approved to be paid on a motion made by Trustee Harvey , seconded by Trustee Weatherbe and carried unanimously. MINUTES OF THE MEETING OF JULY 19th , 1983 : Minutes of the meeting of July 19th , 1983 were approved as written and ordered filed . CORRESPONDENCE: None LIBRARIAN'S REPORT: Librarian Bergsing said the plans for the Duncan Patio remodeling had gone out to the contractors the beginning of last week , and that probably 4 contractors were going to bid the project . She said the bids are due back on Friday , August 19th , at 3 :OOpm. On Monday , Trustee Harvey , Bob Williams , Al Escoffier and Mrs . Bergsing will review the bids and decide how to proceed . She said that Rich Quadri , the Parks Department Director , had come over earlier that day to say that he would transfer the camelia bushes and trees to the City parks . Page 2 Trustee Kriloff made a motion to use some of the money from the Alice Fricke Memorial Fund to purchase the fountain for the patio out of the Special Fund . The motion was seconded by Trustee Nagle and carried unanimously. Librarian Bergsing reported the carpet installation had gone smoothly and she was pleased with the results . Assistant City Librarian Molder reported that the conversion is going quite well . She said there have been 5 temporary part-time staff hired to do the conversion , and she is pleased with their work. She said all of the applicants are educated , intelligent people . Mrs . Molder said she will have to hire 2 more people to adequately fill the on-line time slots for the conversion project . Librarian Bergsing said that Warren Wickliffe 's retirement party was a huge success and she thanked everyone responsible for things going so smoothly. Trustee Nagle complimented whoever had done the picture enlargements . Librarian Bergsing said that last Friday there were interviews held for the position of P.L.S. Director at the San Mateo Public Library. The entire P.L.S. Board interviewed the prospective candidates , but no decision was made . Several of the Board are checking references on the top candidates , and they are meeting again on Thursday , August 18th. Hopefully a decision will be reached at that time . Trustee Harvey said he had spoken with two of the contractors that had picked up the plans for the Duncan Patio Project . He found the need to tell the builders that it was a private job , rather than a City job so the contractors would feel more comfortable about bidding it . He said the bids may be high and therefore we may need to renegotiate to cut costs . However , he is waiting to see the bids before making any changes . He said he would report to the Board at their next meeting. Trustee Kriloff asked about the condition of the foundation , and asked if that had been included in the pians . Mrs . Bergsing said it was mentioned in the specifications and there would be an investigation of the foundation leak as part of the project. Bergsing Clerk of the Board PMB/jg LIBRARIAN'S REPORT - SEPTEMBER 20th , 1983 AUTOMATED CIRCULATION: Conversion continues to pick up momentum with the addition of 6 new part-time employees hired during the week of September 11th . This makes a total of 12 part-time employees who are working from 12 to 16 hours per week each on the project all hours of the day and evening , including Saturday. Our goal is to have the present 4 terminals occupied from 9am to Spm Monday through Thursday. 9am to 6pm on Friday and 9am to 5pm on Saturday. We 're well on our way to meeting that goal . Since the middle of June , 10 ,074 titles have been converted . As part of the cooperative retrospective conversion effort , Burlingame is converting the 800 through 829 call number area , and the 930 through the 999 ' s first . The 800 section has been completed and the data entry staff are presently in the 954 ' s in their retrospective conversion work . Wiring is scheduled to be installed in the next week for the remaining eight terminal sites . The terminals are due to be installed in early October. These will be located at the public service desks (Reference , A/V , Children 's and Circulation ) , the Circulation Office and the Easton Branch . When these terminals are up and running , we will be using some of them for conversion activity as well as the terminals we are currently using in the Technical Processing Department. The conversion staff is a great group of people who have been very reliable , energetic , and enthusiastic. We are pleased with their efforts and dedication to a less than "fascinating" and "creative" task. Joy Molder is the Project Manager for Burlingame and is doing an out- standing job in organizing , training and coordinating the entire conversion project . DUNCAN PATIO: A great deal of planning progress has taken place regarding the Duncan Patio since your last meeting , except no actual wort; has begun . We have tentatively selected a contractor pending your approval ; we have eliminated some "extras" in the design plans to keep within our budget ; we have identified the probable cause of the foundation leak and the City Engineer has LIBRARIAN' S REPORT - SEPTEMBER 20th , 1983 - Page 2 designed a plan to correct it ; we have contacted and rceived estimates from several landscape contractors for the plants . Trustee Harvey will make a full report at your meeting on all these exciting developments . We may even be able to begin work before the end of the month ! ! P. L. S. NEWS: The Board of Directors of P.L.S. is pleased to announce that the new managing director of P.L.S. has been selected . Her name is Linda Crowe , and she comes to us with 5 years of experience in the North Sub- urban Library System in Illinois , as well as experience as a consultant and as a faculty member of both Rosary College and the University of Illinois . Most recently she has been living in Longboat Key , Florida . Because of a pricr commitment on a consulting project , Linda will not join the System staff until Monday , October 17th , although she may come out for a few days at an earlier time to look for a place to live . She says she is eager to visit our libraries and become a part of P.L.S. projects and activities . The P.L.S. Governing Board and Advisory Board are holding their Annual Joint Meeting on Thursday , September 22nd , at: the Ben Franklin Hotel . Leo Kriloff , Burlingame ' s Advisory Board member , and I will be attending. COIN-OP COMPUTER: One of the most exciting events of the month , is the indefinite loan of a coin-operated. I. B.M. personal computer for public use . The generous donor is the Software Shop in Burlingame . Before the computer is placed in a public service area , the staff will have 30-60 days to use the P. C. and be trained . Twenty-six staff members have signed up for training. SIGN SYSTEM: A final draft of our sign system has been priced out by the vendor. We hope to order and implement the system soon . A great deal of staff input has gone into the final product . We look forward to an effective and useful sign system for our eccentric building . LIBRARIAN 'S REPORT - SEPTEMBER 20th , 1983 - Page 3 CHILDREN'S DEPARTMENT: The Summer Reading Club concluded on August 19th . 166 Children completed the Club . Certificates were given to the Children at a party held on Wednesday , August 24th. Marcus the Magnificent provided the entertainment and the Children had cookies and ice- cream. Mr. Peter Campanile , President of the Burlingame Lions Club , spoke to the Children. Letters will be sent to the schools informing them of the Children who completed the Club . Pre-School Story Hour has begun at the Branch and will continue through December 13th. PERSONNEL: Sandy Gleichmann was promoted to Librarian II (part-time ) as of September 1st . Martha Peebles tias promoted to Library Assistant II (part-time ) effective September 13t also . Christine Dassoff has resigned effective September 16th to open her own business . Joan Giampaoli has been appointed to the 25 hour per week , Interlibrary Loan Clerk position . STAFF DEVELOPMENT:A1 Escoffier and Pat Harding will attend an RLIN Search Workshop at C.L.A.S.S. on September 19th . We are planning to have three trainers , the two afore- mentioned staff members , plus Marge Johansen . These three individuals will train the rest of the Reference staff in public service searching. Al Escoffier and Judy Gladysz visited the I.B.M. Exhibition in San Francisco , as well as the San Francisco Public Library General Reference Department , and the Bay Area Reference Center to study their approaches to database information retrieval . BARC uses a number of data bases , as does SFPL. SFPL has produced a brochure on their on-line services . They learned that dial-up access to RLIN is often difficult . They also learned that it is not really necessary to have a CRT terminal. for On Tyme and DIALOG. Al is currently writing up some alternatives to Burlingame Public Library ' s original plan of service for on-line data bases . COMMUNITY RELATIONS : Penny Johnson addressed the Burlingame Kiwanis Club recently at their regular Monday meeting at the Bit of England Restaurant . Penny had a very good LIBRARIAN 'S REPORT - SEPTEMBER 20th , 1983- Page 4 response to her overview of popular business services � at BPL. (see attached , her retort ) . Exhibits for the Month : Dance in Art ; Rocks and Minerals (tie-in with Coyote Point Museum Exhibit ) ; Patrcn Hope O' Brien ' s display of architectural photos of the university of Oxford ; Art of the Pennsylvania Germans (tie-in with the DeYoung Museum) . Plans to tape the Book Chat for Burlingame ' s own Cable TV are proceeding. The group will meet on September 29th at the Cable TV Studio . Joan Leach will be acting as moderator for this session . Books discussed at the monthly book chat at the Branch included : E. Drummond ' s Beyond All Frontiers ; B. Wood 's Domina ; S. MacLaine ' s Out on a Limb ; and S. Birmingham ' s The Grandes Dames . FRIENDS OF THE LIBRARY: The Fall Booksale sponsored by the Friends is scheduled for the weekend of October V',th , 15th , and 16th . They hope you will all have the time to stop by for a minute and browse or maybe buy a "treasure" . PMB/jg Review of Kiwanis Talk Penny Johnson spent a very enjoyable Monday noontime munching prime rib at the Bit of England, and regaling the Burlingame Kiwanis Club with .the wonders of the Burlingame Library. After the flag salute and a rousing chorus of 8y Country 'Tis of Thee, the Kiwani settled back to watch the Peninsula Library- System orientation slide show. The gentlemen were interested in the inter-library cooperative potential of BPL, and were appreciative of my brief spiel on the business holdings at BPL. After the slide show, I passed around a xeroxed list of popular business reference services, such as Valueline and Standard and Poor's, including less frequently used resources such as Business Periodicals Index, Trade Names Dictionary, and Business Information Sources. The Club members were particularly interested in the xerox of a page from Datapro which 1 handed ' round: in fact, 1 was followed "home" by ene Kiwana who used Datpro to investigate word processors. Also of interest wert the copies of Bay Area Consumer's Checkbook which I brought with me. This periodical was new to all but one of the Club members, an auto repair shop owner, who was promptly' subjected to a great deal of ribbing regarding the Checkbook's evaluation of Bay Area auto shops! Many people thanked me kindly. after the shebang, and expressed the intention to visit the library soon.
