ADJOURNMENT: PMB/j BURLINGAME PUBLIC LIBRARY BOARD OF TRUSTEES MINUTES JULY 17th, 1984 CALL TO ORDER: The meeting of July 17th , 1984 was called to order at 4 : 30pm by Secretary Weatherbe. Trustees Present : Trustees Nagle , Harvey, Kriloff and Weatherbe .Trustees Absent : None Also Present : Mr. Al Escoffier , Asst. City Librarian Mrs . Judy Gladysz , . Library Secretary BILLS: City checks in the amount of $46 ,938. 94 , and Special Fund checks* in the amount of $350. 92 , were approved to be paid on a motion made by Trustee Nagle , seconded by Trustee Weatherbe , and carried. MINUTES OF THE MEETING OF JUNE 19th, 1984: The Minutes of June 19th , 1984 were corrected to read as follows regarding the Duncan Patio Project : Trustee Nagle commented that the stop notices "did not appear to be proper". The Minutes were then approved as written and ordered filed. CORRESPONDENCE: Note from Mrs. Joy Molder : Trustee Kriloff read a card from Mrs . Molder which expressed her thanks for the farewell luncheon and the support of the Trustees during her employ at the Burlingame Public Library. LIBRARIAN'S REPORT: Personnel Changes : Mrs . Bergsing announced that Mr. Escoffier had been appointed the position of Assistant City Librarian. The Board concurred that a very wise choice had been made. Mr. Escoffier reported that he was in the process of recruiting for the three open positions . The Librarian I positions will close on the 27th of July, and the Librarian III position will close on the th 17th of August . He said that the Librarian III position requires experience . The examination for the Librarian I positions will be on August 15th and the Librarian III position examination will be September Sth. Page 2 - Minutes— Julx._17th , 1984 . - Burlingame Library Board In the meanwhile , Mrs . Bergsing said the staff that remains is doing an excellent job of filling the empty slots. �.. Mrs . Bergsing introduced the new Branch Librarian, Cathy Somerton, to the Board members. Cathy told a little about herself , and the Board expressed a sincere welcome to Cathy and wished her good luck. Mrs . Bergsing also introduced Alan Testa, a Librarian I in the Reference Department who has taken a temporary position. Alan also told a little of his background and experience , and the Board members said they were happy to have him and extended good luck wishes also. Duncan Patio : Mrs. Bergsing said she is waiting for the painting to be done and Trustee Harvey said there would be an apprentice out to do the work. Trustee Harvey also said that he had met with the Architect and that waterproofing the planter boxes is an unnecessary item and that the electrical portion could be completed as soon as the painting is completed. He further reported that he is waiting for Vickers Saw Company to call him regarding the hole that needs to be cut in the side of the Library to allow for the outside door to be installed. Mrs . Bergsing asked Trustee Harvey about the hardware for the gate and he reported it has not yet been resolved . Librarian Bergsing said she could not locate the rails for the porch and Trustee Harvey said he would check on them for her. New Board Member: Librarian Bergsing reported that the City Council had appointed a committee of the Council to interview prospective new Board members , but it would probably be September or October before there would be a replacement for Trustee Parsons. UNFINISHED BUSINESS: Gift of Art Prints from Mr. & Mrs. Walter Hirsch: Mrs . Bergsing said Mr . & Mrs . Walter Hirsch, formerly of Hillsborough , had moved to a small apartment in San Mateo and they had made a donation to the Library in the form of SO framed art prints. Some of them will be added to the circulating art print collection Page 3 - h4inutes - July17th, 1984 - Burlin ameba arvgard and the rest , and/or du licates= will p go into the Book Sale. Mrs . Bergsing said she had already acknowledged the gift. Election of New Officers : Trustee Nagle made a motion to elect Trustee Kriloff as the new President of the Board of Trustees and that the Secretary be Trustee Harvey. The motion was seconded by Trustee Weatherbe and voted upon unanimously. ':Congratulations! ! Trustee Nagle observed that there appears to be a statistical anomaly in that Branch circulation is down 1 . 15%. ADJOURNMENT: President K-riloff adjourned the meeting at 5 : 12pm , with the next meeting scheduled for August 21st , 1984 , at 4 : 30pm in the California Room. Respectfully submitted , Patricia M. Bergsing Clerk of the Board PMB/jg LIBRARIANS REPORT / AUGUST 17th , 1984 / PAGE #1 BOARD OF TRUTEES: The City Council received Trustee Kriloff's letter of resignation from the Board due to his illness . Everyone is extremely sorry that Leo can ' t continue on the Board . The Council Committee should begin interviewing prospective candidates for the two vacancies within the next few weeks . DUNCAN PATIO: Work is continuing on the patio. The opening was cut for the new door from the Library to the patio ; however , the door has not been permanently installed . The landscaping work started this week , and should be completed by next week. Trustee Harvey has ordered the hardware for the gates and he will give you a report at the meeting on the remaining jobs to be completed . We need to discuss whether or not we want to have a dedication this fall or wait until spring. I 'm concerned about how much time it might take when we are so short of staff. BRANCH MAINTENANCE: The waterblasting and priming has been finished,- at the Branch , and they should begin painting very soon. I 'll let you know how it is progressing on Tuesday. PERSONNEL: The interviews were held on August 15th for the two Librarian I vacancies. Eighteen librarians were interviewed . The interview board was very impressed with the quality of the candidates . Al and I will begin immediately to interview the most likely applicants . We can tell already that it will be a difficult decision . I ' ll have a more complete update for your meeting. MICROCOMPUTER PROJECT: Two of the three IBM microcomputers have arrived and been set up temporarily in the Reference Office . Marilyn Morrison , Linda Saltzer , and Al are completing the final two days of their training on August 20th and 21st in Menlo Park. The three of them have been practicing whenever they can find a :pare minute . We have not yet recieved the PC LIBRARIANS REPORT / AUGUST 17th , 1984 / PAGE #2 for the public , and it will be impossible to make a micro available for public use before late this fall. AUTOMATED CIRCULATION: The conversion team has completed almost all the adult fiction at the main . We had converted approximately 115 , 650 volumes by the end of July. It is almost incredible how quickly the work has gone this summer , because we have had so many students available . Linda is now turning her attention to the Children 's collection , the records , and the Branch collection. She and Marilyn have also begun planning the conversion of the periodicals . Congratulations to everyone! ! Linda will continue to organize and supervise the conversion effort , but Al will be working with Helen and the Circulation staff to plan for theon-line implementation. On Wednesday August 15th , Deanna Draper and I attended the party to celebrate the San Bruno Library's coming "on- line" . We got some ideas for Burlingame ' s "on-line" party which we are planning for February. Training is planned on Geac for Reference Librarians in early September. This will consist of search training to assist the Librarians in answering questions and finding material on the database . Intensive , mandatory training for all Circulation Desk staff will begin on January 2nd , 1985 and last for a period of seven weeks before our anticipated implementation date of mid-February (Valentine 's Day or Washingtons Birthday? ! ) P_L.S. NEWS: Brenda Chavez attended the P.L.S. Film Committee meeting and preview on Wednesday , July 25th , 1984 . She reported the following : It was proposed that the 1984- 1985 budget of $8 ,000.00 be split in half with $41000 . 00 going toward the purchase Of films and $4 ,000 .00 going toward the purchase of videos . CHILDREN'S DEPARTMENT: The Summer Reading Club party will be held on Wednesday ,' August 22nd , at 2: 00 pm, in the Community Room. We are expecting about 175 children to finish the Club , LIBRARIAlvS REPORT / AUGUST 17th , 1984 / PAGE #3 and about 80 children to complete the Read-to-me Program. The Story Tailors from Columbia , California will be presenting the entertainment at the party. The President of the Burlingame Lions Club , Carlus Blevins , will be on hand to congratulate the children . I hope all of you will be able to attend . Two nursery school visited the library during the last month , the Hillsborough Pre-School and Creative Learning . The Pre-School Story Hour at the Branch ended its summer session on August 14th .
