ADJOURNMENT PMBlj BURLINObME PUBLIC LIBRARY BOARD OF TRUSTEES MINUTES AUGUST 20TH• 1985 CALL TO ORDER: The meeting of August 20th, 1985 was called to order by Past Secretary Trustee Harvey at 4=30pm. Trustees Present : All Trustees were present Trustees Absent : None Staff Present : Mrs. Judy Gladysz, Library Secretary BILLS: M/S/C (Mink, Weatherbe ) unanimously to approve the payment of City checks in the amount of $20,258.35, and Special Fund checks in the amount of $10,088.55. MINUTES OF THE MEETING OF JULY 16TH, 198S_ M/S/C unanimously to approve the minutes of the July 16th, 1985 meeting of the Library Board of Trustees. CORRESPONDENCE: There was some discussion regarding the newly painted green curb outside of the Library and the memo from the Director of Public Works. The Board members concurred that they are happy with the short term parking that now accomodates three cars. Mrs. Bergsing said she will send Mr. Kirkup a memo to thank him on behalf of the Board, and staff will keep monitoring the parking situation. LIBRARIAN'S REPORT: Mrs. Bergsing pointed out the newly painted woodwork and said she was pleased with the job the painter had done. The Board members agreed. Summer Reeding Club: Mrs. Bergsing reminded everyone that the Summer Reading Club party was the next day, on Wednesday, August 215t at 2:00pm for those wishing to attend. Also, the "Read-To-Me" party will be held on Friday, August 23rd for the 2 to 4 year-olds. She said the Reading Club would have entertainment featuring some animals and a slide show from Marine World, and the Read-To-Me program would have a puppet show, Page 2 - Minutes - August 20th, 1985 UNFINISHED BUSINESS: Preliminary sketches of possible building expansion: Mrs. Bergsing wanted the record to show that the preliminary sketches had been done by Jim Kaufman and Judy Gladysz. She explained the measurements and intent of the sketches which are rough drafts, are to give an idea of the areas that provide a possibility for expansion. Trustee Harvey said he had come up with some rough figures and that it would cost approximately $216,000 to add 1 ,500 square feet behind the Reference Office area whereas it would cost approximately $173,000 to add 1 ,260 square feet in the Duncan Annex . He said the prices vary, depending on where the addition is made. He had estimated the costs based on per square foot figures that had been developed for another local library construction project . Trustee Harvey had made additional drawings to explain some other options. These were discussed and different ideas were exchanged. The matter was tabled until October for further discussion, after the State Library Workshop on Library Buildings which Librarian Bergsing and Assistant Librarian Escoffier will be attending. NEW BUSINESS: Book in Memory of Charlotte Johnson: Mrs. Bergsing had brought a book that the Board members might be interested in selecting as a memorial gift . However, after discussion they chose to continue looking for an appropriate book. Historic Photographs of Burlingame: Librarian Bergsing said the historical pictures had been hung in the back hallway and made a very attractive display. She told the Board members who hadn't seen them yet that Studio B had done an excellent job on the mounting and framing. Trustee Blevins asked if the Polaroid cameras were getting much use. Mrs. Bergsing said they were all circulating regularly. ADJOURNMENT: The meeting of August 20th, 1985 was adjourned at 5:28pm with the next meeting scheduled for September 17th, 1985, at 4:30pm in the California Room. Respectfully submitted, Patricia M. Bergsing Clerk of the Board PMB/jg LIBRARIAN'S REPORT SEPTEMBER 1985 GEAC Circulation Statu5 We experienced the longest period of downtime to date during the week of September 3rd. A disc failure at the central site resulted in 3 full days of downtime. Parts were flown in from Canada, and the "soft back-up" was available on the third day. Soft-back:. up allows charge and discharge only. Unfortunately, when the central staff tried to enter all the soft back-up activity into the system, it overloaded the system files. We may or may not be able to recover those charges and discharges. We are still trying to workk the problem through, but as a result the system has been down again almost all this week:. We will have a more complete updated report for your meeting. �-- Hold and overdue notices are now being mailed more frequently and are now in postcard form. The language on the notices is decidely clearer and is resulting in more positive patron response. Response time testing was done on August 27th. This involved 41 terminals on the network (3 at Burlingame ) performing a strict set of timed exercises. The response time testing was part of the original contract with GEAC. The test results indicated a failure on the part of GEAC to meet their contractual obligations. The PLAN Board of Directors is exploring their legal rights with respect to the vendor. Parkina By the time you meet on Tuesday, the Public Works Department should have repainted the staff parking area in such a way that we will have gained two more parking spaces. We should also have some data from the survey we have been conducting on the short term parking spaces by the side of the Library. Services and Programs Our summer programs were very successful with over 175 children completing the Summer Reading Club and another 100 or so completing the "Read to Me" program. The party was very great fun as well , with entertainment provided by the staff and animals of Marine World/Africa U.S.A. ! Librarian's Report - Paoe 2 - September 17th, 1985 Our Children's Fall programs were outlined in the Fall issue of the Burlingame Recreation Department Bulletin. These will include the Toddler Storytime with two sessions , one at the Main and one at the Branch; Pre-school storyhour at the Branch; and monthly Saturday programs. Our first Saturday program will be Steve Chaney, a ventriloquist , on September 28, 11 AM. The four part Art Film series was completed during the month. The Burlingame Photography Collection was processed for circulation to the public. This set supplements our permanent exhibit on the Main floor of the Library. In addition, a permanent home was created in the California Room for our Local History pamphlet collection. An oil painting exhibit was held during the month by members of the Peninsula Art Association. We also held an exhibit of china created by the Peninsula China Painters Association. The Friends of the Library are busy preparing for the BOOksale scheduled for October 18th, 19th and 20th. Reference Services Reference statistics again jumped this month. Overall public desk reference statistics were up 30% over the same month last year As the school year begins, the pace of reference services is increasing. The staff is studying various on- line databases to determine which might be most effective in answering reference questions. Our new periodical titles for the fiscal year have begun to arrive. The titles include Audio Cassette Newletter; Business Software; Business Computing; Consumer' s Digest ; Illustrated London News; Information Today; Link:-up; M: the Civilized Man; National Geographic Traveler; New England Journal of Medicine; Sales and Marketing Management ; Srortinc, News; Survey of Current Business. Easton Branch The new newspaper collections at the _Branch are proving popular with users. The Branch now receives the San Francisco Chronicle and the San Mateo Times. Librarian's Report - Paoe 3 - September 17th, 1985 The Apple IIe computer has arrived at the Branch. However, installation has been delayed due to the necessity to backorder a new monitor. Set-up for the public will be in late October. Personnel Mary McGrath has been hired as a part-time reference librarian for 15 hours per week. . She replaces Doug Holtzman. Mary works half-time for the PLS Community Information Project . She is a welcome addition to our staff . We have filled two of our full-time vacancies: Karen Kott has accepted the position of Library Assistant II- Acquisitions . loan 6iampaoli will become our Library Assistant II- Circulation. We are continuing interviews for the Library Assistant I .
