JULY 16th' 1985 CALL TO ORDER: The meeting of July 16th, 1985 was called to order by President Weatherbe at 4:30pm. Trustees Present : Nagle, Harvey, Blevins and Weatherbe Trustees Absent : Mink Staff Present : Mrs. Judy Gladysz, Library Secretary Mr. Alfred Escoffier, Asst .City Lib. BILLS: M/S/C (Blevins, Harvey ) unanimously to approve the payment of City checks in the amount of $27,620.32, and Special Fund checks in the amount of $2,630.67. MINUTES OF THE MEETING OF JUNE 18th• 1985: �— M/S/C unanimously to approve the minutes of the June 18th, 1985 meeting of the Library Board of Trustees. CORRESPONDENCE: Librarian Bergsing distributed the following to the Board members: 1 . "Openers" , a book review newspaper 2. City Newsletter 3. Peninsula Library System Newsletter 4. 2 articles from the Boutique/Villager one featuring two of our staff members in "The Listening Post" , and the other a book review column by Joan Leach. LIBRARIAN'S REPORT: Volunteer Tea: Librarian Bergsing showed the pictures that had been taken at the Volunteer Tea by Paul Lechich and Brenda Chavez. The pictures will be placed in the Library's scrap book. Summer Reeding Club: Mrs. Bergsing reported that the Summer Reading Club is doing very well . She said there are lots of "building blocks and structures" in the Children's Room, and there are 230 children signed up for the Summer Reading Club and 77 children signed up for the "Read-To-Me" program including both the Main and Branch libraries. Mrs. Bergsing said the party for the Summer Reading Club will be held on Page 2 - Minutes - July 16th, 1985 August 215t , the day after the next Board meeting for those Board members wishing to attend. The entertainment provided, courtesy of the Burlingame Lions Club, will be from Marine World/Africa U.S.A. UNFINISHED BUSINESS: Short Term Library Parking: The Board addressed the question of short term parking in front of the Library. They noted the concerns voiced by Mrs. Grady at their last meeting, and they discussed the fact that the curb from the crosswalk on Bellevue to the parking lot had always been green for short term parking. Inadvertently when the street and curbs were repaired, this curb had not been repainted. M/S/C unanimously (Harvey/Blevins ) to direct the memo to the Director of Public Works to request them to paint the curb green. Expenditure Report on the Volunteer Tea: Librarian Bergsing distributed the expenditure sheet on the Volunteer Tea. There was no discussion. `.- NEW BUSINESS: Election of Officers: M/S/C unanimously (Harvey/Blevins ) to elect Trustee Nagle as President for the new fiscal year. M/S/C unanimously (Nagle/Weatherbe ) to elect Trustee Blevins as Secretary for the new fiscal year. Reference Staff Response to Space Needs: Librarian Bergsing reported that the Reference Department had responded to her request for information about Library space needs with the same three areas that the Board had discussed on earlier occassions. The audiovisual section the Reference Office and the bookstacks. Mrs. Bergsing noted that the State Library was sponsoring a two-day workshop in Oakland on October 7th and 8th on library building, construction, and remodeling. Al Escoffi.er and she will be attending, and invited any of the Board to join them, if they could get time off from their jobs. Trustee Blevins asked if the meetings would pertain to new buildings or existing buildings and Mrs. Bergsing replied it would be both. Trustee Harvey brought up the discussion of the possibility of adding a second story to the Duncan storage shed and connecting it -to the Library. There was some discussion about "squaring off" the Reference Department with the main floor stacks in the parking lot and again . Page 3 - Minutes - July 16th, _1985 adding a second story. All of these ideas will be considered after a count of how many square feet will be gained after the areas can be measured. Trustee Harvey said the priorities and options should be in writing and Trustee Nagle agreed. Some discussion followed. There was some discussion about donating a book to the Library in memory of Charlotte Johnson, past Library Board member and Councilwoman. M/S/C unanimously to donate a book in memory of Charlotte Johnson from the Library Board of Trustee's Special Fund. Trustee Harvey asked if the Friends could donate some books to the Good Shepard Lutheran Church after a booksale because Mrs. Johnson had started a Library there in her husband's name. Mrs . Bergsing said she would pass the suggestion on to the Friends and she was sure they would be very happy to donate some books. ADJOURNMENT: �.. Bergsing Clerk of the Board PMB/jg LIBRARIAN'S REPORT AUGUST 20TH, 1985 SPACE NEEDS: Staff has prepared some preliminary sketches showing the square footage that the Library might use if we expanded into the Duncan Annex and part of the back parking lot . We will have these ready for your meeting. Trustee Harvey may be able to suggest a rough per foot cost estimate so you can get some idea of ^the costs we would be considering. BURLINGAME HISTORICAL PHOTOGRAPHS: One of the most significant projects of the Duncan Trust objectives for this year is now complete. The historic photographs of Burlingame are now on view on the Main Floor of the Library. Twenty of the sixty photographs are framed and hung, along with a historic map of the City from the 1860' 5. The photos were collected over the years from various sources. Many were originally collected together to make the 1959 film "Burlingame Pictorial , " sponsored by the Burlingame Lions Club. Others were more recently collected and re-photographed by Society Archivist , Martha Rosman. The matting, mounting and framing was done by Burlingame Historical Society President Ken Bower. The monies came from the Duncan Trust . One set of sixty photos will circulate to the public, a duplicate set will go into the Library's Local History collection for reference purposes. REFINISHED WOODWORK: We hope you will take a minute to notice the Library' s refinished woodwork. . We think: the painter did an excellent job . I did authorize a few add-ons that we will have to pay for from our regular maintenance operating budget . PROGRAMS: Patti and Al gave a program on the non-traditional services of the library to the Burlingame Lions Club . The talk included audio visual materials, computers , etc. Patti took time to thank:. the Lions for their generous support of the Children's Summer Reading Club and the Large Print Book: Collection. Marge Johansen gave a talk to the Burlingame Senior Citizens at a luncheon on July 30th. The group found her talk very informative--so much so, that several members came back to the library that same afternoon to learn more about the collections and services available. LIBRARIAN'S REPORT - PAGE - AU6UST 20TH, 1985 Our four-part art film series has been only moderately successful . The excellent weather has probably kept people from coming. We will plan similar programs during the winter months. Allen Teste and Brenda Chavez represented the Library at the San Mateo County Fair. On July 25th, "Burlingame Day" at the Fair, they staffed the booth, passed out literature and discussed thL-_ services of the Library. During the month we had an exhibit of celebrity photographs done by Burlingame photographer Mike Collopy. 6EAC CIRCULATION STATUS: The system has functioned well during the month. An upgrade to our system software has been scheduled for August 215t . The major enhancements will result in indexes being more efficient . This means the system will be on "soft back- up" that day. "Soft Back.-Up" allows charge, discharge and ~' fine payments while the system is partially down for maintenance or software installation. The next major software installation is scheduled for Spring 1986. Statistics continue to be a difficult area to master for PLAN members. As a result , a committee has been formed to discuss specific statistics needs, as well as ways in which we can extract the necessary data. One new function the PLAN staff will be performing for us is the gathering of the data necessary for our quarterly Direct Loan Survey. This survey serves as the basis for our Direct Loan reimbursement . Response time testing will take place initially on August 28th. The testing is being done to see if Geac has met the contractual obligations concerning response time at 41 terminals . A later test will be done at 90+ terminals. For us, this means running a one hour test on the 28th in various functions on three terminals : charge/discharge, bibliographic and patron query and bibliographic/conversion. LIBRARIAN'S REPORT - PAGE 3 - AUGUST 20TH• 1985 REFERENCE/TECHNICAL SERVICES: Reference statistics were up a very significant 30% this month over the same month last year! We now have access to a new bibliographic utility: OCLC. This is one of the three largest databases in the country and Will allow us to send and receive interlibrary loan requests via computer/modem. We will also be using OCLC for verification for cataloging purposes as well . Vera Warrick. and Joan Giampaoli attended a training class on July 22nd & 23rd, given by the OCLC staff . CHILDREN'S SERVICES: The Summer Reading Club party is scheduled for August 215t at 2 PM, featuring the staff and some of the animals from Marine World/Africa U.S.A. On August 23rd, we will have a special program for the children who finish the Read-to-Me Program, featuring puppeteer, musician and storyteller, Chuck Ashton. Chuck is Children's Librarian at the San Bruno Public Library and is always a hit with the children. We have planned what we consider an ambitious fall program. In addition to our pre-school story hour, a toddler story hour will be introduced. Cathy Somerton, Branch Librarian will be repsonsible for the Program. A newsletter, informing nursery school about Library ativities and programs and suggesting programs with appropriate books , will be published on a bi-monthly schedule. Cathy will be "Editor" of the publication. Programs for the younger child (pre-school and primary ) will be held on September 28th, October 26th, and November 23rd. Barbara Lazarus is coordinating the programming. Money needed for these activities is being provided for by the Friends of the Library. EASTON RANCH: The Branch began circulating records in July. A collection of SCS records was selected from the Main Library's collection. We expect this collection to rotate from time to L' time. The Branch also began circulating a Poloroid camera for a one week loan period. Branch staff are busy with 96 children participating in the Summer Reading Club. LIBRARIAN'S REPORT - PAGE 4 - AUGUST 20TH, 1985 PERSONNEL: Doug Holtzman has resigned effective in September to take a full time job at the Richmond Public Library. We are now recruiting for a part-time librarian in Reference. Chris Lundstrom has resigned from the Branch to attend school in Santa Barbara. Cordelia Leoncio, a Burlingame High School senior has already, started as his replacement . The examination process is continuing for our three Library Assistant positions. The Library Assistant. I written exam has already been given. The oral interview will be August 16th. The written exam for the Library Assistant II will be August 13th, with the oral exam scheduled for August 27th. We expect to fill these positions sometime in September. STAFF DEVELOPMENT: �- Allen Testa attended a Samson workshop at Stanford University to better learn how to access CIP and the other databases• we have on the Stanford computer. As a result , our log-on process is now very straight forward. Allen Testa also attended a computer repair workshop , designed to assist us in troubleshooting our computers. Four more staff members attended the "Public Contact " workshops given by the City Dorothy Ezquerro, Deanna Draper, Seth Shapiro, and Mary Scharlan. Five staff members were able to take advantage of the training offered by People's Computer Company, given at. the Menlo Park:. Library. Cathy Somerton took the "Applewor1:8" training. Donna Ridley Smith, Allen Testa, Judy 61ady5z and Al Escoffier took training on the IBM package "Framework:. " Judy Gladysz also attended a one day seminar sponsored by the City, presented by Oregon State University on "Sk:.ills and Techniques for Secretarial Effectiveness" . They look super and Patti and I feel patrons will feel more comfortable browsing there. I have had tremendous positive response from the Sisters of Mercy regarding the book selection. They are very pleased. Also Tom Eardley, a patient at Bayview says that his books I 13elected for him are far superior to San Mateo's selection when he was in their district.
