ADJOURNMENT: g-d.M i r BURLINGAME 1 r ,. q GeC�C LIB�� Burlingame Public Library Board of Trustees Minutes February 18th, 1997 1.CALL TO ORDER: The meeting of February 18th, 1997 was called to order by President Herman at 4:35 pm. 2. ROLL CALL: Trustees Present: Berger, Cannon, Dunbar & Herman Trustees Absent: Taylor Staff Present: Alfred Escoffier,City Librarian Judy Gladysz, Administrative Secretary 3. BILLS: �— M/S/C (Taylor/Cannon) unanimously to approve the payment of City and Special Fund checks. 4. MINUTES: The Minutes of the Meeting of January 21st,1997 reflected Trustee Berger was Present, Trustee Berger was absent, It was written that Trustee Cannon had attended the SAB meeting of January 14th and she did not attend. She reported on it. After the corrections were noted the Minutes were approved as corrected and ordered filed. 5. CORRESPONDENCE AND COMMUNICATIONS: All correspondence was mailed in the Trustee packets. 6. REPORTS: a. Foundation Report - Herman: President Herman said the Foundation is starting to work on a major donor campaign for the month of May. 7. UNFINISHED BUSINESS: None 8. NEW BUSINESS: a. Furniture Needs for New Library (Foundation Memo): b. Furnishing the New Library - Request to Board: Librarian Escoffier discussed about both New Business items together. He explained to the Board that the New Library Furniture Budget did not allow for the solid oak lounge seating. He further explained that he requested the Foundation reallocate their $53,000 gift to purchase the special public seating and they had agreed.Librarian Escoffier requested that the Board support$3,000 for the staff room sofa. Trustee Dunbar made a motion to approve up to $3,000., from the Trustees Special Fund for the sofa. The Motion was seconded by Trustee Berger and passed unanimously. Trustee Cannon then made a Motion that the Board supports the concept of the decorative sculptures for the front terrace of the Library. Motion was seconded by Trustee Dunbar and passed unanimously. -� 9. FROM THE FLOOR: Trustee Cannon announced a Peninsula Library System joint meeting on March 19, 1997 at Menlo Park Public Library. 10. ADJOURNMENT: The meeting of February 18th, 1997 was adjourned at 5:10 pm. The next regular Board meeting will be held on March 18th, 1997 in the Conference Room at 130 Park Road. Due to minimal rainfall and temporary winterization installed by he contractor, no weather related delays were experienced during the month. Most of the HVAC ductwork and piping is complete and is now being insulated. The lower level soffits were framed and interior metal-stud wall framing is in progress at all levels. In the existing building, temporary shoring was removed and the remaining slab areas were poured. Priority treatment has been given to budget issues to keep the project on budget. Change orders are being scrutinized and in most cases, optional change orders are being eliminated. The moveable furniture bid for new and refinished furniture came in during the month with a low bidder at $ 60,000 below budget estimate. This was good news. In addition, the Library Foundation agreed to support the quality leather lounge seating and other investment quality furnishings with a donation of $ 53,000. A hard hat tour was held on February 28 for Trustees, Foundation Board members and City staff. Those in attendance learned a good deal about the schedule and fabrication of an all-steel building such as this. Daryl Witbeck, the Construction Manager and David Sturges, the Project Architect took turns describing the progress of the building. Children's Services During February, Cathy Somerton did a total of 24 programs, including: 1 Saturday Story Time; 4 Preschool Story Times, 4 Toddler Story Times, 4 Main Library Story Times, 5 class visits to Easton, and 6 programs at schools. These programs reached a total of 517 children. The Children's Division is wrapping up work on the " Youth Commemorative Book" sponsored by the Burlingame Library Foundation. Jan Eustis and Cathy Somerton arranged for donated pizza parties for the classes with the most entries from each school. Easton Branch Problems with after school behavior have subsided some at Easton. Lisa Dunseth and Joan Manini had several conversations with the Principal of Our Lady of Angels School. -1- 480 Primrose Road • Burlingame, CA 94010-4083 • (415) 342-1038 0 Fax (415) 342-1948 Reference Services Matt Jensen will be leaving the Reference Division in mid-March. We have enjoyed having Matt on staff for the past 5 years. We will shortly be recruiting for a new Reference Page. On February 10, Sue Reiterman attended an orientation workshop at the San Mateo County Volunteer Center. The Volunteer Center can assist in recruitment by sending press releases to 35 local publications at our request. They also give monthly lunch time workshops on specific volunteer issues. Volunteer Program Sue Reiterman completed the set up of policies, plans and procedures for our Library Volunteer Program. She has consulted with a number of other libraries in the state, and learned a good deal about what is current practice in other institutions. We will be bringing the plan to the Board at this meeting.
