CALL TO ORDER: The meeting of September 17th, 1996 was called to order by President Dunbar at 4:35 pm. 2. ROLL CALL: Trustees Present: Cannon, Dunbar, Herman & Taylor Trustees Absent: Berger Staff Present: Alfred Escoffier, City Librarian Judy Gladysz, Administrative Secretary 3. BILLS: M/S/C (Taylor/Dunbar) unanimously to approve the payment of City checks. 4. MINUTES: The Minutes of the Meeting of August 13th, 1996 were approved as written and ordered filed. 5. CORRESPONDENCE AND COMMUNICATIONS: All correspondence was mailed in the Trustee packets. 6. REPORTS: a. City Librarian's Report- Escoffier: City Librarian Escoffier reminded the Board that the "Topping Out" Ceremony would be held on October 16th and not the 5th. Foundation Report - Herman: Trustee Herman reported that she is getting a wonderful response to the letters of solicitation. She further reported that the Foundation Committee is getting ready for the Elegant Affair on October 19th. c. System Advisory Board Report - Robertson: There was no System Advisory Board Meeting to report on. 7. UNFINISHED BUSINESS: a. Burlingame Art & Culture Alliance: The Board members were very supportive of having art represented in the new library. 8. NEW BUSINESS: a. Holiday Calendar, 1997: M/SIC (Cannon/Taylor) unanimously to approve the 1997 Calendar of Holidays as written. b. October 19, 1996, Hours Adjustment- M/S/C/ (Dunbar/Cannon) unanimously to approve the early closure Opm) of the library on Saturday, October 19th to set up the "Elegant Affair". 9. ADJOURNMENT: The meeting of September 17th, 1996 was adjourned at 5:00 pm. The next regular Board meeting will be held on October 15th, 1996 in the Conference Room at 130 Park Road. Respectfully submitted, Alfred H. Escoffier City Librarian Trustees Minutes-96September 9/19/96 Page 2 IFUBURLINGAME City Librarian's Report October 15, 1996 "Something New is Building..." The library building is taking shape above ground. A 250 foot crane was assembled on Chapin Avenue on October 4th to begin the steel work. The following Monday, the crane began to unload steel columns and beams, and begin placement of them in the building. This phase is moving quickly and is anticipated to be completed October 18th on schedule. Work continues on the shelving submittal, the furniture submittal, and the systems furniture. The final color boards are complete and ready for viewing. They will be on display in the library beginning October 21. "Topping Out" Celebration! The Topping Out celebration, co-sponsored by the Library Board of Trustees and the Burlingame Library Foundation, is scheduled for Wednesday, October 16, 11 am on the top deck of the Parking structure on Bellevue Avenue. The celebration will include music from children of Crocker School, a few words from the Mayor, the architect, the Library Board and the Library Foundation. Attendees will be able to sign their names on a steel beam which will become a permanent part of the structure. The contractor will likely be hoisting the beam from the deck of the parking structure immediately following the event! Children's Services During September, the Children's Division offered a total of 18 programs, including: 3 Preschool Story Times, 3 Toddler Story Times, 3 Main Story Times, and 9 visits to schools. These programs were attended by a total of 415 children. Easton Branch The Branch landscaping project is continuing, with an anticipated completion date of November 1 . -The hardscape "cobblestone" has been completed and will provide a handsome backdrop for the plantings. The City Park Department is doing a wonderful job on this project. Latch key children presented problems to the Easton staff this month. Staff are enforcing the "read quietly" rule. Our Lady of Angels School has been contacted, -1- 480 Primrose Road • Burlingame, CA 94010-4083 • (415) 342-1038 0 Fax (415) 342-1948 and the crush of 30 children has tapered off some to 8-10 children at a time using the facility. Reference Services On October 11, Dan Alvarez served as chair for the first joint PLS/South Bay Library Systems Multicultural Committee meeting. The meeting was held at the East Palo Alto Library. The two committees shared many ideas and strengthened ties that will enable them to work more closely together in the future and avoid duplication of effort. Personnel We have extended our recruitment for a Librarian II to head up our volunteer program. In addition, we are currently interviewing for on-call librarians. Community Picnic Dan Alvarez chaired a successful day in Washington Park at the Burlingame Community Picnic. Through Dan's efforts, a poster was printed of an artistic rendering done by one of our architects. The poster is now for sale for $ 7.00 with proceeds to benefit the Friends of the Library. Dan also assisted in getting a banner made with the library logo to hang behind our booth. This banner can be used for a variety of activities in years to come. Staffing the booth on a hot October Sunday included: Esther Cummings, Linda Santo and Al Escoffier. Last year, the Library Board graciously agreed to be sole sponsor of the event up to $ 400.00. The expenditure at that time was a little more than $ 300.00. 1 would like to continue with this luncheon tradition, and again make it a buffet lunch served in our staff room. I have tentatively chosen Thursday, December 19, noon- 2 pm for the luncheon. I would like to request funds not to exceed $ 400.00 for this event from the Trustees Fund.
