CALL TO ORDER: The meeting of August 13th, 1996 was called to order by President Dunbar at 4:30 pm. 2. ROLL CALL: Trustees Present: Berger, Cannon, Dunbar, & Herman Trustees Absent: Taylor Staff Present: Alfred Escoffier, City Librarian Judy Gladysz, Administrative Secretary 3. BILLS: M/S/C (HermanlCannon) unanimously to approve the payment of City checks. 4. MINUTES: The Minutes of the Meeting of June 18th, 1996 were approved as written and ordered filed. 5. CORRESPONDENCE AND COMMUNICATIONS: All correspondence was mailed in the Trustee packets. 6. REPORTS: a. City Librarian's Report: City Librarian Escoffier asked if a member of the Board would be interested in helping organize a special event for the "Topping Off" of the Library. Foundation Report - Herman: Trustee Herman reported that the Foundation had received almost $10,000 in donations from the targeted mailing to local residents. They were very pleased with the response and support from the community. 7. UNFINISHED BUSINESS: None 8. NEW BUSINESS: a. Election of Officers Trustee Cannon nominated Secretary Herman for President. Trustee Berger seconded the nomination and it was unanimously carried. Trustee Herman then nominated Trustee Berger for Secretary. Trustee Cannon seconded the nomination and it was carried unanimously. Newly nominated President Herman thanked Trustee Dunbar for doing such a wonderful job this past year. b. Employee Achievement Awards: President Herman signed the letter to staff inviting nominees for this year's Employee Achievement Awards. Serving on the committee are Trustees Dunbar and Berger. Trustee Cannon said that Dale Perkins could assist with the calligraphy. Awards will be presented at the October 23rd General Staff Meeting. c. Donor Recognition: tion: M/S/C (Cannon/Herman) to support a recommendation to City Council from the City Librarian outlining various methods of honoring donors in the new library. 9. ADJOURNMENT: The meeting of August 13th, 1996 was adjourned at 5:12 pm. The next regular Board meeting will be held on September 17th, 1996 in the Conference Room at 130 Park Road. Respectfully submitted, Alfred H. Escoffier City Librarian Trustees Minutes-96August 7/19/96 V BURLING'AME 1, i 't City Librarian's Report September 17, 1996 "Something New is Building..." The construction of the basement walls, using a process called "shotcrete," has continued throughout the month. The finish slab will be poured later in the month just prior to the erection of the steel. The steel will be delivered at the end of September, with the first steel likely to be placed beginning Monday, October 7. The placement will continue with several construction cranes, for a period of two weeks. In the meantime, submittals from the subcontractors are being received and reviewed daily. Submittals range from rat proofing, to toilet partitions, to paint color. All need a final confirmation or decision from the architect and the city. Final plans have been confirmed for systems furniture for the staff areas, and for furniture for the public areas. The shelving submittal will be reviewed shortly. "Topping Out" Celebration! A Topping Out celebration, co-sponsored by the Library Board of Trustees and the Burlingame Library Foundation, is scheduled for Wednesday, October 16, 11 am -- on the top deck of the Parking structure on Bellevue Avenue. The celebration will include music from local schools, a few words from the Mayor, the architect, the contractor, the Library Board and the Library Foundation. Attendees will be able to sign their names on a steel beam which will become a permanent part of the structure. This ceremonial event will feature refreshments provided by Peet's Coffee and Noah's Bagels. We are indeed pleased to have the support of local businesses for our celebration. Children's Services During July, the Children's Division offered a total of 34 programs including: 4 Preschool Story Times, 4 Toddler Story Times, 3 Main Library Story Times, 8 Bedtime Story Times, 2 Class visits to the Main Library, 12 programs at the schools, and one special program featuring "Frankie and her Animal Friends." These programs were attended by total of 894 children. -1- 480 Primrose Road Burlingame, CA 94010-4083 (415) 342-1038 Fax (415) 342-1948 Easton Branch The Branch landscaping project is underway, with an anticipated completion _ date of November 1 . Jim Kaufman made a "Knock, Knock Door" which is beautiful. The patrons and staff have been complimenting us on it and when story time resumes at the branch, it should be a big hit with the children. Reference Services "Information Access 2000," the new periodical index available via the Dynix network is now in place and ready for use. This index is available on selected terminals throughout the system. Personnel Sandy Gleichmann left the staff last month to become the Hillsdale High School Librarian. Sandy was with us as a permanent part time reference librarian for 17 years. Council has approved the upgrade of this position to full time, with primary responsibilities in the volunteer, public relations and reference areas. We will begin recruitment immediately. Honoring Library Foundation Donors The City Council has approved the naming of rooms in the new library for major donors. We will be naming the Community Room after Mr. and Mrs. Ralph Lane, and the south wing after the Roger Duncans. Employee Achievement Awards The annual Employee Achievement Awards are scheduled to be given at the General Staff meeting on Wednesday, October 23, 8 am. I sincerely appreciate the Board's efforts to honor the staff in this way. Background: The Burlingame Library Foundation will be sponsoring their "Elegant Affair' in the Temporary Quarters Library on Saturday, October 19, 1996, at 6:30 pm. The normal operating hours of the library for that day are 9 am - 6 pm. The event will take place on the top deck of the parking structure located behind the Main Library. The public is invited to this unique celebration and sign the ceremonial I-beam which will be used as a main support of the new structure. This event marks the half way point in the two year reconstruction project with the completion date set for September 1997. There will be music by the Crocker Middle School Wind Ensemble. The Library Board of Trustees reviewed your proposal at their August 13th meeting, and requested that I contact you to give you a status report on art in the Library. As you are aware, the library construction is in full swing! However, we are still fine tuning the interior furnishings and equipment. We have consistently felt the need for art display in the building. The architects are currently studying the best places for rotating exhibits. We also have some permanent exhibits which are included in the - planning, such as the Norberg architectural sketches, Burlingame Historical Photographs, and the Library's fine tapestry collection. Of course, we would welcome the Alliance's support of display cases or other art devices for displaying art for the new library! At the moment, no new cases have been included in the project. We do plan to refinish and return the original cases to the library public spaces. The Board of Trustees has asked that this item be placed on their September meeting agenda for further discussion. I will contact you after that time to let you know of the progress of art planning by the architects for the new building. Again, thank you for including the library in your plans.
