ADJOURNMENT { { { { { { { { PMB/jg { 7/13/88 { �GENDAJ { BURLINGAME PUBLIC LIBRARY BOARD OF TRUSTEES MINUTES JUNE 21ST, 1988 CALL TO ORDER: A duly noticed regular meeting of the Burlingame Public Library Board of Trustees was held on the above date in the California Room of the Burlingame Public Library. The meeting was called to order at 4 : 30pm by Trustee Cannon. Trustees Present: CANNON, ROBERTSON, BLEVINS, BACIGALUPI Trustees Absent: MINK Staff Present: MRS. PATRICIA BERGSING, CITY LIBRARIAN MR. ALFRED ESCOFFIER, ASST. CITY LIBRARIAN MRS. JUDY GLADYSZ, LIBRARY SECRETARY MS. SHUK-CHUN AU-YEUNG, LIBRARIAN II MS. MARIBETH FARCICH - LIBRARIAN I MRS. KATHY NAFTALY - LIBRARY ASSISTANT II BILLS: M/S/C (Blevins/Bacigalupi ) unanimously to approve the payment of City checks in the amount of $59,086 . 59 and payment of the Trustees Special Fund in the amount of $527 . 75 . Trustee Cannon welcomed the new staff members. MINUTES• Minutes of the Regular Meeting of May 17th, 1988 were approved as written and ordered filed. Flyer for Booth at San Mateo County Fair - Mailed in packets h. Library Spectacles - Mailed in packets INTRODUCTION OF STAFF MEMBERS: Mrs . Bergsing introduced the Board members to the new staff members and vice-versa. The staff members then told a little of their backgrounds. The Board members welcomed them and expressed pleasure that the Library was once again at full staff. Page 1 UNFINISHED BUSINESS: Budget Review - 1988-1989 : Mrs . Bergsing said the Library Budget for the fiscal year 1988-1989 had been approved, as submitted, by City Council at their regular meeting on June 20 , 1988 . The Board members noticed that there were no funds approved for Project Read. Mrs. Bergsing said she had notified Nancy Crabbe, San Mateo Public Library Director, and Ms. Crabbe agreed that San Mateo Public Library would continue to serve Burlingame residents for the 1988-89 budget year. REPORTS: Planning Committee - Trustee Cannon: Trustee Cannon gave the Board an update on the Long-Range Planning Process, stating there was a meeting on May 19th. Trustee Blevins congratulated the Committee on the good job they have done in so little time. Librarian Bergsing said a full report will be forwarded to the Board in the fall. Meeting with Dr. McCune - Trustees Cannon and Robertson: Trustees Robertson and Cannon gave a brief synopisis of the meeting they had attended with Dr. McCune who spoke on changing demographics, societal changes, and the need for planning. City Librarian: Trustee Blevins said the volunteer coffee was very nice. Trustee Cannon asked Mrs. Bergsing if there had been any feedback on the answering machine located at the Reference Desk. Mrs. Bergsing said she had only heard of two people who were not happy with it, all of the other feedback had been positive. Trustee Robertson asked what happens to the books that are "de- selected" from the Library' s collection. Mrs . Bergsing said they are placed in the Friends Book Sale which netted $3 , 100 in May. Trustee Bacigalupi said he advertised the Friends Booksale on the radio as a public service message. ADJOURNMENT: The meeting of June 21st, 1988 was adjourned at 5 : 15pm with the next meeting scheduled for July 19th in the California Room. Respectfully submitted, Patricia M. Bergsing Clerk of the Board PMB/jg 071188 JUNE Page 2 LIBRARIAN' S REPORT July 19th, 1988 It has been a relatively quiet month since your last meeting. With school out, much of the emphasis of our service has turned to pleasure reading, hobbies, and other recreational pursuits. The Summer Reading Club is off to a great start and all the children seem to be very enthusiastic about the program. So far, 171 children are participating at the Main Library and Branch combined. The Bedtime Story Hours and Tuesday Pre-School Story Hours are attracting an average of 22 children per program. An added incentive for the children is that the San Francisco Zoo is offering free admission to the Zoo for one adult when accompanied by a child enrolled in a Summer Reading Program. The Zoo is also sponsoring a three-day festival on August 19th, 20th and 21st honoring Summer Readers . In addition, KGO TV is publicizing Summer Reading throughout the Bay Area. Board Interviews Interviews for the Library Board are tentatively scheduled for Monday evening, July 18th. Carol Mink or I will let you know the results. Programs and Services The new foreign language paperback collection is now available for public use in the Browsing Room. The collection includes paperback books in six different languages: French, German, Russian, Spanish, Chinese, Italian. The paperback collection has been inaugurated to better serve those community members who would prefer to read in languages other than English. A list of selections is available at .the Reference Desk. In August, members of the Board and staff will participate in the Peninsula Library System booth at the San Mateo County Fair. The award- winning display will again feature a lottery spin for prizes, with the theme "Everyone is a Winner at the Library. " Begin with Books Program Cathy Somerton presented 27 programs, including: 3 Preschool Storyhours in June, to reach a total of 565 children. Cathy also visited two elementary schools and made presentations about the Summer Reading Club to a total of 16 classes with approximately 450 children. Cathy also prepared a letter to go out to the new parents in September. ( sample enclosed. ) After working her 4 hour shift on July 6th, Cathy called in at 2 : 30 to say she wasn' t feeling well and probably couldn' t do storyhour that evening. Two hours later, ( 4 : 30pm, ) she gave birth to her second daughter Leslie Ruth! Geac The Automated Planning Group in continuing to monitor the progress of the Geac Upgrade. It now appears that there may be some further decisions to be made concerning the upgrade scenario. Negotiations with Geac will determine whether the more prudent course of action would be to completely convert the bibliographic records before bringing the 9000 on-line, or to bring the system up and attempt to convert at the same time. Page 1 Several subcommittees have been formed which will be charged with determining the screen formats for the new system, along with bibliographic formats for the system itself. Due to time and cost constraints, the computer room at PLAN will remain as is. Two new smaller disk driveSwill be purchased which will allow the upgraded system to remain in the existing space for another 18 months. In the meantime, plans will be formulated for a larger room. Reference Division Reference statistics were up 8 . 50 over the same month last year. Collection Development Collection Development duties are moving forward full tilt this summer. All sections of the non-fiction on the second floor are undergoing weeding. Two goals are moving us forward: to shift the entire floor to better redistribute the space on that floor; and to complete the necessary weeding for the Geac upgrade. Most book selectors will be involved in some way in the process. Exhibits and Displays . Exhibits this month included Kay Schorr ' s watercolors on display in the Reference Room. Displays also included New Sweden, the Drought program and cycling. Easton Branch Branch Librarian Diane Casey visited the first through fifth grades in four elementary schools : Franklin, Lincoln, Our Lady of Angels and McKinley, to tell them about the Summer Reading Club. Personnel A page test was given on July 7th, to hire new pages for the coming months . Fifteen applicants took the test. David Russell, Librarian I , who was re-hired as a part-time cataloger to assist us with cataloging the backlog left us on June 30. The Library is participating in a Summer Youth Employment Program sponsored by the Peninsula Library System and funded by the Peninsula Community Foundation. We have hired 6 students between the ages of 14-17 to work 10 hours per week for an 8 week period. The students have been assisting with housekeeping chores such as dusting and shifting, as well as with the Summer reading club and with regular shelving duties. Following Council Budget approval, we were able to give our student assistants raises based on the minimum wage. This raised the salary scale and should help assist us in attracting more staff at this level.
