ADJOURNMENT f { { { { PMB/Jg { 08/09/89 { BURLINGAME PUBLIC LIBRARY BOARD OF TRUSTEES MINUTES JULY 18TH, 1989 CALL TO ORDER: A duly noticed regular meeting of the Burlingame Public Library Board of Trustees was held on the above date in the California Room of the Burlingame Public Library. The meeting was called to order at 4:30pm by President Cannon. Trustees PVesent: CANNON, MINK, BLEVINS & ROBERTSON, BACIGALUPI Trustees Absent: NONE Staff Present: MRS. PATRICIA BERGSING, CITY LIBRARIAN MR. ALFRED ESCOFFIER, ASST. CITY LIBRARIAN MRS. JUDY GLADYSZ, LIBRARY SECRETARY BILLS: M/S/C (Mink/Bacigalupi) unanimously to approve the payment of « City checks in the amount of $23,711.90, and Special Fund check`s in the amount of $494.47. 9 MINUTES: Minutes of the regular meeting of June 20th, 1989 were approved as written and ordered filed. CORRESPONDENCE AND COMMUNICATIONS: a. Letter to Hillsborough Regarding Library Services- Mailed in packets b. Letter from Mrs. Cowan - Read by Trustee Bacigalupi C. County 2000 - Mailed in packets There was brief discussion about the materials that had been mailed in the packets. i i REPORTS: a. CITY LIBRARIAN'S REPORT: Librarian Bergsing said that the Hillsborough agreement will probably continue another year on a month-to-month basis. She said there has been no contract since 1978. Mrs. Bergsing and Mr. Escoffier reported that they had attended a meeting on telecommunications at San Mateo Public Library prior to the Board meeting and Mr. Escoffier gave a brief explanation of the options available for communications with Geac at PLAN. Mrs. Bergsing extended an invitation to everyone interested in attending the Summer Reading Club Program to be held on Monday, July 31st. Trustee Robertson said the three evening programs for the parents on "Introducing children to the arts through books," is a good idea. UNFINISHED BUSINESS: a. Report from Committee on Staff Recognition: Tabled until the September Board Meeting. NEW BUSINESS: a. Election of Officers 1989-1990: Trustee Blevins nominated Trusteb Bacigalupi for new Board President for 1989-1990 and Trustee Robertson as Secretary, it was seconded by Trustee Cannon and carrier unanimously. Congratulations to both of you! ! FROM THE FLOOR: ADJOURNMENT: The meeting was adjourned at 5:15 with the next meeting of the Library Board of Trustees to be held on August 15th, 1989 at 4:30pm in the California Room. Respectfully submitted, Patricia M. Bergsing Clerk of the Board PMB/j g 7/20/89 july LIBRARIAN' S REPORT AUGUST 1989 Physical Rearrangement All three floors of stacks have now been shifted. The new paperback racks have been installed and are proving to be quite popular. We have new display bins installed on the ends of the mezzanine stacks and in the Browsing Room; and we have some new display racks for paperbacks in the young adult section. A new rack is on order for the foreign language paperbacks , and the new A/V shelving has been ordered and should arrive in the next few weeks. We have been getting very positive reactions to these changes from the public. PLAN/Geac We are now operating the circulation system on the new 9000 computer. The transfer went more smoothly than we dared hope, and everything seems to be "o.k. " so far. They are still running tests at PLAN headquarters. The next step will be to negotiate a contract with the conversion vendor. The conversion process will take approximately 20 to 24 months . Children' s Services The Summer Reading Club party was held on Monday, July 31st with "Joker Enterprises ( a duo, ) performing magic tricks. The Community Room was full and overflowing with children and parents . We estimate that at least 135 people were in attendance. The Recreation Department offered three classes for prospective babysitters. Joan Manini spoke to each of the groups about books they could read to their charges, and also suggested books that they might find interesting to read themselves. Joan and Michelle MacFarland attended an author symposium on realistic fiction for young adults. August and Fall Programs in the Children' s Room Lap Sit Programs: Wednesday nights at 7pm - Cathy Somerton Read Aloud Programs: Second Saturdays in August, September & October at 11am - Joan Manini Fourth Saturday Programs : September Storyteller: Awela Makeba Family Book Sharing Program: September - November - Cathy Somerton and Joan Manini Finally, in September, the Children' s Room will begin circulating Storytelling Kits for pre-school and kindergarten teachers. The Kits will include all the materials needed for the teachers to present a story program to their children. each kit will be built around a theme (colors, farm animals, etc. , ) and will include: Page 1 a. Two paperback picture books b. One flannel board set �. c. Fingerplays and/or poems d. A list of other related books available at the library Suggestions for craft or other activities related to the program. The kits will be checked out only to individuals with BPL teacher cards and to home day care providers residing in Burlingame or Hillsborough. We will circulate the Kits in large manila envelopes. There are several reasons we are planning this new kind of service to teachers : 1 . To encourage creative use of books in the classroom 2. To offer an incentive to bring teachers into the library (hopefully when they are here they will check-out other materials ) Because of increased in-library programming (two toddler story times each week) , Cathy will be less available to visit schools and do programs on a regular basis. The Kits will encourage teachers to continue the kind of programs she has been doing. This is also a way to provide programs to home day care providers . Cathy will check with the Child Care Coordinating Council ( 4-C' s) about ways to publicize the Kits among home day care providers . Employee Achievement Awards Included in your packet are the materials developed for the Employee Achievement Awards by the Board sub-committee of Trustees Mink and Robertson. Trustee Mink will have a full report for your meeting. The Book and Beyond In your packet is the flyer announcing the September 9th program sponsored by Congressman Lantos. If any of the Board is planning to attend, will you take care of your own registration? Count 2000 The first meeting of "County 2000" is scheduled for September 25th. You should be receiving an invitation in the next couple of weeks . Programs/Exhibitions July' s poetry readings were well-attended. Over 26 people attended the July 7th reading by Melinda Gohn and Michael Kelly. On July 21st, Janine Canan made a return visit to read with newcomer Barbara Brooker to 27 listeners. Paintings by Earl E. Chamberlin were on display along with Kachina Dolls from the Pot Carrier. Page 2 Personnel The civil service interviews for the Librarian I permanent part-time position took place on July 28th. Donna Smith and Michael Hubbell conducted second interviews for six of the sixteen candidates. We hope to make a decision within the next few days. Meetings/Continuing Education Esther Cummings and Maribeth Farcich attended the PLS Community Relations committee meeting on July 11th. Funding for the National Library Week Authors Fair and the September 9th conference on "The Book and Beyond" were the main topics under discussion. Donna Smith and Shuk-Chun Au-Yeung, Al Escoffier and I held an A/V task force meeting on July 5th to make implementation decisions regarding the new CD display case, unlocking of the books on tape and video cases, etc. On July 21st, Donna and I went to Oakland for a State Library Network Planning Session, at which there were speakers and small group brainstorming sessions regarding the future of networking of all types of libraries in California. The first meetings of the Branch task force and the Circulation task force were also held in July. Trustees Blevins or Cannon may have reports on the Branch task force. Audio-Visual Compact Discs were made available for circulation in early July and are already circulating heavily! Class Visit On July 19th a high school history class visited. I spoke to them about the history of the building and the role of the library in the community and Esther told them about library services and how to find materials in the library. New Fremont Library Would any of you be interested or available to go on a tour of the new Fremont Library this month or next? Could we decide on a date at your meeting?
