ADJOURNMENT { f 8/15/90 { AGENDAA { { do { Burlingame Public Library Board of Trustees Minutes July 17th, 1990 CSTo Ozfen The meeting of July 17th, 1990 was called to order by Acting President Blevins at 4:30pm. Mrs. Bergsing introduced new Board member, Mr. John Benson. The Board members welcomed Trustee Benson and congratulated Trustee Blevins on her reappointment. Trustees Present: Blevins, Benson, & Taylor Trtistees Absent: Cannon & Robertson Staff Present: Mrs. Patricia Bergsing, City Librarian Mrs. Judy Gladysz, Library Secretary Mr. Alfred Fscoffier, Assistant City Librarian Bim: - M/S/C (Taylor/Benson) unanimously to approve the payment of City checks in the amount of$36,917.00 and Special Fund checks in the amount of $746.20. minuttm Z[t he Mfftidun& 1.9tt�, Minutes of the meeting of June 19th, 1990 were approved as written and ordered filed. Librarian's Report: Trustee Taylor asked if every commission in the ' City had to report twice a year on the attendance record of the Commissioners. Mrs. Bergsing said yes. There was discussion regarding the literature workshop that was presented by Burlingame Library staff for the staff members of the other P.L.S. libraries. Mr. Escoffier explained about the "on-line" catalog. He further explained that because of some unexpected delays and the complexity of the conversion that it might be 1993 or 1994 before there is an automated catalog at the Burlingame Public Library. Some discussion followed. Trustee Blevins had asked "What's a Beeple?" Mrs. Bergsing reported that a "Beeple" is the Children's Summer Reading Club mascot. There is a stuffed version at the Children's Circulation Desk. The name "Beeple" originated from "BPL" which is more commonly known as Burlingame Public Library. Mew Bm i s. The Trustees commended Mr. Escoffier for writing such a clear and concise report. Bergsing City Librarian 7/25/90 minutes/July LIBRARIAN' S REPORT AUGUST 21st, 1990 Library Space Planning The Request for Proposal for bids for space analysis have been mailed to more than thirty library consultants and/or architects. We now await the results. The deadline for submission of proposals is September 14 , 1990. We have had inquiries from about ten library consultants and architects. The next step is to have one or two Board members agree to sit on the committee to review the proposals . Election of Officers Since you had so many members on vacation in July, you postponed the annual election of officers until this month. Piano Recitals For your information and review, I am enclosing the "Policies" for the use of the Community Room. They don' t directly address the use of the room for piano recitals but for years we have allowed this use by local piano teachers. However, recently we have been having more and more complaints about the noise from library users , and more and more problems regarding refreshments and toilet facilities. We would like you to consider prohibiting recitals in the room. Employee Achievement Awards _ If you refer to your Board manuals , you will see that it is time to begin the process of soliciting staff nominations for the Employee Achievement Awards to be given in October at the General Staff Meeting. You need to decide on a time table and appoint a committee to handle the process. Former Trustee Carol Mink offered to be of assistance if you want her help. Fines and Fees A committee of PLS met and discussed raising fines and fees. The only three changes they could agree to consider were the following: 1 . Raising the processing fee from $5 . 00 to $7 . 50 ( this is the amount added to the replacement cost of a book when it has been lost) . 2 . Raising charge to reserve a book within PLS from 25 cents to 50 cents. 3 . Raising charge for Interlibrary Loans (outside of PLS only) from 25 ccr,t�3 to $1 . 00 . Page 1 After discussing these changes with staff , we arrived at the following consensus: The majority of staff was not unhappy with the current charges, but all agreed that the most important thing was consistency from library to library. Therefore, if all the other libraries agreed to raise their fees , they thought Burlingame should go along in order to be uniform. All the library directors agreed to check with their staff and Boards and report back their findings. We need to know your wishes. I am enclosing a survey of fines and fees that was compiled by the Redwood City Public Library. CLA Conference The preliminary CLA Conference program for San Diego has been received. Did you receive copies? Are any of you planning on attending? Early bird registration rates are in effect through September 27th. Programs and Services Newly appointed Board member, John Benson, received a tour and introduction to the Library by representatives of each division. Paintings by members of the Burlingame Art Society were on display during the month. The Quilting Program was held on the evening of August 14th. Kay Payne of the Docent Council of the De Young Memorial Museum was the speaker and there were approximately 50 people in attendance. Books about quilts are currently on display, along with a giant poster promoting the event. Children' s Services The summer reading programs have come to a close. The party for the older readers was held Tuesday, July 31st. One hundred and ten finished the Club. Randall Metz ' The Puppet Company, provided the entertainment featuring puppets and marionettes in a lively presentation to over 100 parents and children. Board member Shirley Robertson, and Lions Club President Dan Santos, were on hand to congratulate the children. Singer/songwriter, Lisa Atkinson was the featured entertainment for the "Read To Me" group of younger library users . Their program was held August 7th. Page 2 Michelle Barrese and Joan Manini have been doing a number of summer programs for the Burlingame Recreation Center. Joan also did a Babysitting and Mother ' s Helper class and talked to boys and girls about taking books with them when they go babysitting. With Mother' s Helpers, Joan reminded them that there are books about cooking, arts and crafts, and outdoor activities. Joan reached 330 children with 12 programs. Begin with Books Cathy Somerton is on leave as of this writing. Cathy' s baby Julia Alice, was born Monday, August 6th. Silvia Boosten will be filling in for Cathy for the next four months. PLAN/GEAC Terminal planning continues for future Geac terminals through the fiscal year 1993 . We have two terminals to install (possibly three) for last fiscal year, two more which have been budgeted, but not yet ordered, for this fiscal year. As soon as locations have been determined by staff for the terminals, Lois Kershner will help us with the planning for the telecommunications upgrade. This upgrade will require rewiring and re-configuration of communications lines and ports for all terminals in the main library building. The purpose of the upgrade is to improve computer response time. Following the re-configuration, necessary equipment will be ordered for installation approximately four months later. The installation of the new operating system on the main computer went smoothly. The next step is the installation of Release 21 bibliographic software. This will enable the PLAN staff to begin to build the Marc database. A second component will be the Release 21 circulation software which allow staff to add new terminals. PLS Library directors will be meeting with representatives from Geac in a discussion and question-answering session at the Administrative Council meeting on September 6th. Reference Division Donna chaired her first PLS Reference Meeting, July 24th. Michael attended a PENLIT meeting on July 10th. Esther attended a PLS Community Relations Committee meeting on July 11th. Plans are underway for next year' s author program, April 21st, 1991 . Personnel Staff will be doing a good deal of double duty in the coming weeks as we lose several staff members. Page 3 In addition to Cathy Somerton' s maternity leave, Vera Warrick is planning a maternity leave beginning mid-September. Both staff plan to return in January. Reference Librarian Tibi McCann will leave her permanent part time position, effective August 27, to take a full time position with DIALOG, where she has been working as a part time Information Specialist. Tibi will continue to work with us in an on-call status. Michael Hubbell has resigned effective September 14 to take a position teaching English as a Second Language in Czechoslovakia. An accomplished writer and student of Czech culture, Michael will be assisting with setting up a cultural center there. Cheryl Young, Library Assistant II, leaves us after 6 years to take a full time position as a manager with the Emporium Department Store. We wish you all well in your new endeavors!
