ADTOURNMENT: PMB/jg /13/91 -7AGENDAJ i Burlingame Public Idbrary Board of Trustees Minutes May 21st, 1991 The meeting of May 21st, 1991 was called to order by President Robertson at 4:30pm. Trustees Present: Benson, Cannon, Robertson & Taylor Trustees Absent: Blevins Staff Present: Mrs. Patricia Bergsing, City Librarian Mrs. Judy Gladysz, Library Secretary Alfred H. Escoffier, Asst. City Librarian Also Present: Carol Tanzi, Burlingame Resident M/S/C (Taylor/Benson) unanimously to approve the payment of City checks and Special Fund checks. 0 The Minutes were approved as written and ordered filed. a. Letter from the Peninsula Community Foundation: Mailed in packets b. Acting Secretary Cannon read a thank you from the City Librarian to the Burlingame Lions Club thanking them for their donation because of the good services of Leonard Ma. c. Acting Secretary Cannon read another thank you note from a group who has been using the California Room under the guidance of Barbara Mendelson. Tm e 2 d. She read still another letter from Carlisle Nelson wherein he expressed his concern for defacing books. e. Acting Secretary Cannon read another thank you letter from AARP thanking the Burlingame Library Staff for enabling them to use the Community Room to help Senior Citizens with their income tax forms. v Librarian's Report: Librarian Bergsing reminded the Board members that there will be a Council Study Session regarding the Budget on June 5th, if anyone cared to attend. Volunteer luncheon invitations were passed out to the Board members. Trustee Cannon asked if the new security system used magnetic strips. Mrs. Bergsing said yes. Trustee Cannon then asked if all the books needed to be converted to accommodate the new system. Mrs. Bergsing explained, that the library had been using magnetic strips for several years since the Magnavox Company had gone out of the security system business and discontinued making magnetic tags. Both systems operate on the same principle. Trustee Taylor inquired about the Circulation Desk remodeling. Mr. Escoffier explained the plans for reworking the area. Trustee Cannon asked if the money was available and Mrs. Bergsing said yes, it is in the current capital outlay budget. Trustee Cannon said she was very pleased with the new brochures, stationery, logo, etc. She said they are "really classy." Trustee Cannon said she will miss the "Weekend Library Line" that is being canceled because of a lack of funds. Tae 3 � f�rm$d�ic� c Mrs. Bergsing said she doesn't know when the City Council will be reviewing the study done by Cynthia Ripley however she will keep them posted. Some discussion followed. a. The Budget Request letter to the Friends had been mailed in the packets. After reviewing the request, M/S/C (Taylor/Benson) to approve the letter as written. b. Librarian Bergsing requested that the Volunteer and Staff Recognition funds be replenished. M/S/C (Cannon/Benson) that the funds be taken from the Special Fund. c. The Board members looked at the pictures of the Pasadena Public Library and were very impressed. Trustee Robertson welcomed Carol Tanzi to the meeting. v The meeting of May 21st, 1991, was adjourned at 5:30pm. The next meeting is scheduled for June 18th, 1991 at 4:30pm in the California Room. Bergsing Clerk of the Board 05/23/91- Minutes -May 91 LIBRARIAN' S REPORT JUNE 18TH, 1991 C._ y Budget The library budget was discussed at the City Council ' s June 5th Study session. At this point, it appears it will be approved as submitted. The final approval is scheduled for June 17th. Circulation Desk Remodel The complex task of re-working the circulation desk is proceeding on schedule. The desk has been moved back several feet to improve user traffic. The contracted electrical work is completed, with new dedicated and non-dedicated electrical outlets added. During the drilling of the holes for the new electrical, an existing conduit was damaged which carried wire to the outside lights . The damage was not found immediately. However, when the outside lights were switched on, the circuit shorted out, taking the entire Panel "A" electrical with it (most of the older part of the building, including the telephones and Geac) . San Carlos Electric has repaired the damage. In addition, we are having the outside light fixtures cleaned and refinished, as one was pulling away from the wall and both were badly rusted. The City Electrician rigged up a temporary light until the fixtures return. Cabinetwork _ A second book return bin is being built for the end of the desk nearest Reference. Each of the workstations is being re-designed and re-worked. The CPU units will be built-in below the desk. Each station will have its own storage. The de-magnitizers for the security system will be built-in. The island behind the desk will be rebuilt to be about half the size of the existing one. The built-in bookcase "wings" were removed on Memorial Day, and the ends will be finished later in the month. The carpet has been repaired shortly. We estimate the work will be done by June 30 . Geac Recabled Geac has been totally recabled at the circulation desk to now include a PC located in the Circulation Office. This will allow microbackup to be used without the bother of special switch boxes or the use of the Reference PC. Two new PC terminals have been installed at the desk. This was done this fiscal year, due to the continuing failure of our old terminals at the desk. The terminals budgeted for next fiscal year will be installed in Reference and Technical Services. PAGE 1 Telecommunications The telephones on the Circulation Desk have been moved to the front of t._ desk. We have also hooked up two of our new 9600 baud telecommunications lines which feed both the circulation and children' s lines. The improved response time is remarkable! We anticipate the remaining lines will be installed next fiscal year. Security System The new 3M book theft detection system has been installed. This consists of screens at the front door and a desensitizer unit behind the desk. We have also had the carpet patched and repaired, as the old system was larger than the new one. We will also be using an audio visual security system shortly for many of our A/V materials . The City Electrician installed a dedicated circuit outlet for the Security System and removed the electrical for the old system. Audio Visual Division Thanks to an excellent idea by Linda Santo, we were able to utilize an old portion of a former circulation desk to expand the Audio Visual Desk. Jim was able to modify the unit at almost no cost and install it. We will complete the job by putting a new top on the desk, using pieces taken from our existing circulation desk. R, iey Report It appears that the City Council will not take up the Ripley Report until their September study session on September 18th. All the Council will not be present in July because of vacations, and Cynthia Ripley will be on vacation in August. We ' ll keep you posted. Move To Duncan Plans are progressing, albeit somewhat slowly toward moving the administrative offices next door. We are still hoping to move before fall. Volunteer Luncheon The Volunteer Luncheon is still scheduled for June 27th, at noon, on the patio. We need to know how many of you will be attending. Trustee Blevins has already RSVP'd. PAGE 2 Fines and Fees The San Mateo Public Library Board has voted. to raise the following ±—.es effective September 1 , 1991 : Overdue fines - adults : from 10 cents per day to 20 cents per day Overdue fines - children: from 5 cents per day to 10 cents per day Reserve Book Fees : from 25 cents to 50 cents Maximum fine limit: from $3 . 00 to $5 . 00 per item Staff will need to discuss these changes and the impact on Burlingame. We will have a recommendation for you at your July meeting. Children' s Division Joan Manini reports that the materials for the summer reading programs are ready. The Reading Club, "Mystery Mansion" is for children who can read through the fourth grade. Reading Break II is for the 5th through 8th graders. The overall theme for the programs for young children is "A Trunkful of Books ! " Joan plans to repeat her successful series of programs in conjunction with the Burlingame Recreation Center and Franklin School. This program involves 150 children. Class visits during the month included the North School 2nd and 3rd grades for a total of 50 children. The Second Sunday Program this month Michelle Baresse was joined by Joanne Sutton, a library school student. Joanne presented the Story of Ferdinand with puppets which was very successful. The Saturday program featured Clara Yen, Teller of Children Folk Tales. Forty-five were in attendance. Begin with Books During May, Cathy did a total of 36 programs , reaching 610 children. The Teacher workshop on June 1st was a great success. Fifteen teachers attended and spent an hour and half cutting out felt board sets to use in their classrooms and sharing other ideas and information with each other. All said they would like to have us do more workshops . The Story Hours for Older Preschoolers were not so successful. We had an average of 5 children at each program which was fun, but not a good use of Cathy' s time. Morning story hours apparently work better for most people, but because of Cathy' s schedule, there was no morning time when she could do this program. We will reconsider it for the Fall. Summer programs will include: Preschool Story Hour on Tuesdays, Toddler Story Times on Wednesdays, Bedtime Story Hours on Mondays at the Main and Wednesdays at the Branch (Joan Giampaoli will be doing the Branch) , Saturday filer Story Times and Sunday Preschool Story Hours once a month (Michelle PAGE 3 will be doing the Sunday programs) . This adds up to 34 programs in the library during June and July. k,t,,erence Division Esther attended the PLS Community Relations Committee meeting where plans for the San Mateo County Fair in August were discussed. Esther is also the OPC (On-Line Public Catalog) trainer for the library. She began demonstrations for the staff on May 20th. At this point, we anticipate the OPC will be available sometime in the Fall. Direct patron access to the OPC will be somewhat later in the fiscal year. Sandy is busy with the PLS Multicultural Committee. One project is to complete a survey of ethnic groups which will be available on diskette. The group is also planning a multi-cultural simulation game for interested PLS staff. Personnel Seventeen applicants took the Page Test on June 6th. This is the largest test we have had in several years. The applicants did quite well as a group. The scores were consistently higher than the last several tests. We are also recruiting for a part-time', 10 hour per week reference librarian to assist with weekend hours. Donna is handling the recruitment. F rams and Services Paintings by members of the Peninsula Outdoor Painters were followed mid-month by paintings by .the members of the Burlingame Art Association. One Poetry Reading was held in May which featured Bert Glick who read to 22 delighted listeners .
