Cannon at 4 : 30pm. Trustees Present: Benson, Cannon, Robertson & Taylor Trustees Absent: Blevins Staff Present: Mrs . Patti Bergsing, City Librarian Mrs . Judy Gladysz , Library Secretary Mr. Alfred Escoffier, Asst. City Librarian Guests: Marti Knight, Burlingame Resident BILLS• M/S/C (Taylor/Robertson) unanimously to approve the payment of City checks in the amount of $32 , 300 .77 , payment of the Trustees Special Fund in the amount of $1,119 . 50 , and Duncan Funds in the amount of $1 , 102 . 43 . MINUTES OF THE MEETING OF OCTOBER 20TH, 1992: The minutes of the October 20th, 1992 Board meeting were approved as written and ordered filed. CORRESPONDENCE AND COMMUNICATIONS: T All correspondence and communications had been mailed in the Board packets with the exception of the thank you note from Librarian Bergsing and the letters from the 5th graders at McKinley School . Secretary Taylor read the thank you note from Librarian Bergsing and the letters from the 5th graders were passed around for the Board to read. REPORTS• Librarian's Report: Librarian Bergsing said she had talked with City Manager, Dennis Argyres, regarding the Ripley Report. Dennis explained to her that the Ripley Report would be one of the items on the Agenda at the Study Session for City Council in January. There was some discussion regarding the issues. President Cannon asked to be kept informed of the status- of the Geac upgrade. Brief discussion followed. There was some discussion regarding Info-Edge, the new fee-based business reference service now being offered by the San Mateo Public Library. PAGE 1 System Advisory Board Orientation - President Cannon: President Cannon reported that the SAB will be meeting with the South `- Bay Cooperative Library System. She said they are planning a Forum to meet with different Library Friends groups. President Cannon said the next meeting will be held at Burlingame on November 30 from 4-6pm. CLA Conference Reports - Patti & Al : Librarian Bergsing and Assistant City Librarian Al Escoffier and several other staff attended the California Library Association's Conference in Long Beach over the weekend of November 13th. Librarian Bergsing gave a brief overview of what the Conference had to offer and Assistant City Librarian Al Escoffier reported on the workshops he had attended. UNFINISHED BUSINESS: a. Final Draft of the Long-Range Plan: Librarian Bergsing asked if the Board had any questions regarding the final draft of the Library's Long-Range Plan. Trustee Robertson said she thought the final draft was fine. The other Board members concurred that it was well done and that Al had done a beautiful job on it. M/S/C (Benson/Taylor) unanimously to accept the final draft of the Long-Range Plan as presented. Brief discussion followed. NEW BUSINESS: a. Holiday Schedule for 1993 : M/S/C (Robertson/Benson) unanimously to approve the 1993 Library holiday schedule with notation that if budget constraints prevail after the 1993-94 budget is approved, the Board may change the holiday hours to reflect more closures as needed. FROM THE FLOOR: Trustee Robertson voiced some concerns about the weak structure of the Friends group. She said she feels that there should be more publicity, etc. Librarian Bergsing said it is a priority of Al's to establish a better, stronger Friends groups and it is also in the Long- Range Plan. ADJOURNMENT• The meeting of November 17th, 1992 was adjourned at 5: 35pm with the next meeting scheduled for December 15th, 1992 in the Duncan Annex. Respectfully submitted, Patricia M. December 15th, 1992 City Ulbrmrlmrn Rehires g: Longtime City Librarian Patti Bergsing's retirement becomes effective December 29, 1992. Patti has served as Librarian since May 1, 1977. A gala celebration in her honor will be held on December 12, at a luncheon at the Marriott Hotel. Articles and photographs appeared in both the San Mateo Times and the Boutique Villager. We will miss Patti. We wish her well in her new endeavors! As you can tell, the above paragraph was written for this report by Al Escoffier. Thank you Al! I want to take this opportunity to say how much I have enjoyed working with all of you. You are truly dedicated and professional Board. You have my very best wishes for the continued success of the Burlingame Library and for the speedy renovation of the Main Library building. Thank you again for everything. Redwood Tree Struck by Ug hi;rnI ng The historic and beloved redwood tree between the Reference and Magazine Room wings was struck by lightning sometime during the past few months. A routine check of the roof for leaks, turned up a number of branches which had been downed on the the roof. The area where the branches from which the branches had fallen revealed a large split. The Park Department's tree expert, Steve Porter, determined that the tree had indeed been struck by lightning and was split about half way down. He contacted Ken Meyer of Mayne Tree, who confirmed the finding. Both felt that it posed a significant risk for the library building, since a storm was due shortly. The City Manager, the Park Department and Timberline (tree company) responded promptly to the emergency by securing a huge crane with a 100+ foot boom to remove the top of the tree. Two pieces were removed: the first was the top 30 foot portion; the second was 20+ feet. The work was done in about an hour after set up of the crane. Both Linda and I hoped that we might get at least half of the amount she requested. Lo and behold, she received the entire amount!! Congratulations to Linda! Attached to this report is a copy of her request and her thank you to the Foundation. Peninsula Lilbma ry Systema The P.L.S. Council has contracted with an outside consultant to develop a business plan to see if it is feasible to begin a fee-based books-on-tape service from the P.L.S. video center. This would be a service provided by mail to rent books-on-tape. A similar service has been very successful in Los Angeles County. Plans continue to schedule site visits to see the two automated circulation/on-line catalog systems in operation that we are considering for the replacement of the current Geac System. Vera Warrick from our library is a member of the team. They are hoping to complete the visits before the end of the month. Reference Dimi§iorn Martha Kinne has joined us in an on-call status for the Reference Desk. Martha received her degree in library science in June 1992 and has worked in the Peninsula Library System libraries for 8 years. Linda Santo and Dan Alvarez attended a tour of the National Archives in San Bruno on November 17th. Tracy attended a PR forum at County Central. Discussion centered on the new PLS brochures and viewing three training videos. Sandy Gleichmann attended the San Mateo County 2000 "Rethinking Diversity" presentation by Rafael Gonzales on November 20 from 8:30-11. The purpose was to increase awareness of individual and institutional biases. Pmoouraimms Attendance was up a bit for the November Minotaur Poetry Reading with 46 people enjoying the poetry of Ed Mycue, Jules Mann, Camincha, Joanne Townsend and our own Warren Wickliffe. Friends Meeting The officers of the Friends of the Library met on December 3rd. The book sale report was complete with proceeds at $ 2,900.00. The Spring Book Sale dates were changed to April 23, 24, 25* one week earlier than usual, to avoid a conflict with the San Mateo County Historical Museum book sale. Shirley Robertson of the Board, was a guest at the meeting. The Friends were pleased she was there to represent the Board and to offer support for the Friends. Increased public relations for the Friends was discussed. Several ideas included: updating the Friends bulletin board, putting a sign up sheet in the lobby, developing a new registration form for Friends, putting a registration form in the summer recreation center bulletin, developing a poster of Friends accomplishments. Shirley emphasized that the Friends would be part of a coalition of local citizens for helping with the funding of the renovation of the library. Branch Circulation Statistics It was called to our attention that one of the City Council members asked about the decline in circulation statistics at the Easton Branch Library during the month of October. After checking statistics for previous years and talking with the Branch Supervisor, it appears that it wasn't so much a decline this year, but a 24% increase a year ago. We attribute this to several extra, well- attended programs that were held at the Branch last October. The total circulation at the Branch from January through November 1992 was 28,674; for the same period in 1991 the circulation was 30,346. This represents a decline of 1,672 or 5.5%. Grant ffuromrn the Biradfford Fou nda4noun Last month, Linda Santo, our Audio/Visual Supervisor, applied for a Grant in the amount of $5,000 for books-on-tape from the George and Ruth Bradford Foundation. As we understand it, this is a small, private, family foundation, located in San Mateo. The remaining tree will be cared for with foam in the top of the tree to prevent water damage and some pruning. There is no guarantee that the tree will survive, since we do not know how far the lightning went through the tree. Lions Glye Donation The Burlingame Lions Club gave the library a generous donation of $ 2,300.00, in November. Fifteen hundred dollars was earmarked for the Large Type Book Collection. The Lions have supported this collection for many years. This money allows us to maintain a standing order of popular new titles in large type. Eight hundred dollars was donated for the support of the children's summer reading Club for 1993. This money pays for the printing and entertainment costs of the program. This is the single largest donation the Lions make each year to one entity! Thank you Lions!! Hey Years Re3®lutl®m« Attached to this report is the annual memo from the City Manager regarding 1993 New Year's Resolutions. It also includes the Manager's Resolutions for the New Year, a summary of the Year in Review and a copy of the Library's Resolutions from last year. I was particularly pleased to note in the Manager's Resolutions that his second resolution deals with developing a financing plan for the library's seismic renovation. Al already has the Division Heads working on their resolutions and we all feel very fortunate that we have the Library Long-Range Plan to provide the guidelines for the New Year. Long Ra nge Plan Agslapmrnz= The library managers met to discuss the Long Range Plan assignments for 1993. A number of staff volunteered for the task forces and committees. These work groups will focus on various aspects of the objectives in the long range plan. Thaiunk.sgidiQng Closure As one of the two libraries open on the day after Thanksgiving, we were busy, but manageable. The Saturday and Sunday after Thanksgiving were perhaps the busiest all season. Art students from Burlingame High School exhibited their paintings through November 17, followed by the current exhibit of watercolors by the Peninsula Outdoor Painters. Chilldire n'3 Proaramms The Family Holiday Program, held on December 5th, had to be moved to the Children's Room at the last minutes due to the emergency redwood tree removal. It turned out to be a good thing! The Walden Marionettes were very well received by parents and children alike. The room was standing room only! Cathy Somerton counted 150, then stopped counting. We've never seen such a turn-out!! The program and refreshments were sponsored by the Friends of the Library. During November, Cathy did 30 programs with the Begin With Books program, reaching some 622 children. She also assisted with a Washington School Book Fair. She will be telling stories to children while the parents shop!
