August 16th, 1994
Call To Order:
The meeting of August 16th, 1994 was called to order by President
Robertson at 4:30pm.
Trustees Present: Cannon, Dunbar, Herman, Robertson & Taylor
Trustees Absent: None
Staff Present: Vera Warrick, Technical Services Supervisor
Mrs.Judy Gladysz, Administrative Secretary
Others Present: Vera Bennett, Peninsula Community Foundation
Bills:
M/S/C (Taylor/Cannon) unanimously to approve the payment of City and
Special Fund checks.
Minutes of the Meeting of July 19th, 1994:
The Minutes were approved as written and ordered filed.
Correspondence and Communication:
Correspondence was mailed in the Trustee packets.

City Librarian's Report
There was brief discussion regarding the loss of space as originally submitted
by Architect Cynthia Ripley. Mrs. Warrick explained to the Board members that
originally there was no surveying done and after extensive surveying it was
discovered that there would not be as much square footage as originally anticipated.

Foundation Report:
Trustee Herman gave a brief report regarding the most recent meeting of the
Foundation. She brought the Board members up to date on the progress. She
added that each Foundation Board Member brings a special talent which is very
beneficial to the Library.
Unfinished Business:
Peninsula Community Foundation - Vera Bennett:
Vera Bennett, representing the Peninsula Community Foundation, was in
attendance at the request of the Board members to explain the unrealized losses
occurring in the Roger &Jean Duncan Trust Fund. Ms. Bennett explained in detail
about the losses and there was brief discussion. President Robertson thanked Ms.
Bennett for attending the meeting.
New Business:
Architectural Team Representation:
M/S/C (Cannon/Herman) unanimously, that Jane Dunbar and Shirley
Robertson represent the Library Board of Trustees at meetings with Group 4.
Employee Achievement Awards - Set Date:
After some discussion it was agreed that the nominations for the Employee
Recognition Awards would be due to Board President Robertson no later than
September 12. It was further agreed that Trustees Dunbar and Taylor would give a
recommendation to the Board at the September 20th meeting.
Change of October Board Meeting to October 11th, 1994 at 4:30pm:
M/S/C (Taylor/Dunbar) unanimously to change the October Board meeting
to October 11th rather than October 18th.
Book Sale:
The Board commended the Friends on a very successful Book Sale.
Adjournment:
The meeting of August 16th, 1994 was adjourned at 5:30 pm. The next
regular Board meeting will be held on September 20th at 4:30 in the Duncan Annex.

City Librarian's Report
September 20, 1994
Schematic Design Review
Group 4/Architecture is completing work on confirmation of the schematic
design for both the interior and exterior of the library building. A presentation will be
given to the City Council on Wednesday, September 21, 7:30 pm. Staff continues to
review functional and service issues in anticipation of the more detailed design
development phase.
Temporary Quarters Update
The Temporary Quarters Task Force met during the month for a tour of 10 local
properties for potential lease. The tour offered a first hand look at a variety of
possibilities: warehouse space, ground floor office space, a converted automobile
dealership. The properties also ranged in scope from those requiring major
- renovation to those in "move-in" condition. The task force, led by Group 4 consultant
Matt Rolandson, will continue meeting during the month with the goal of establishing
options for Council review in October.
Friends of the Library Sale a Success!
The second Friends One Day book sale on September 10th made $ 2,500.00
for the day! Congratulations Friends! The Friends are planning a series of events
and sales in the coming months, as we clean out storage areas and continue weeding
collections.
Library Foundation Update
The Burlingame Library Foundation is continuing their organizational work.
Attorneys for Carr, McClellan, Ingersoll, Thompson and Horn assisted attorney Don
Roberts in drafting the Articles of Incorporation and Bylaws for the Foundation.

Dynix System Update:
Staff are in place to lead the training efforts for implementation of Dynix in
November. There is still work to be done on the frame relay network by Pac Bell. In
addition, the terminals and network interface cards will be installed in the coming
weeks.
The Easton Branch will be our primary training site. Five training terminals will
be installed there shortly to allow us to train the fifty-plus staff who need to be trained
on the system. Staff trainers include: Vera Warrick, Kathy Naftaly and Dorothy
Ezquerro for the cataloging and bibliographic areas; Esther Cummings and Barry Mills
for the online public access training; and Marilyn Morrison and Deanna Tomei for the
circulation areas.
Reference Division
Recruitment for on-call librarians for both the reference and children's areas is
drawing to a close. We are looking for a pool of experienced librarians to help us on
an hourly basis during the coming year to fill in for sick leave, vacations and added
project responsibilities.
Children's Services
The fiscal year ended with Cathy Somerton completing 341 programs, with a
total attendance of 7,582 children!! Wow!! Congratulations Cathy!
Easton Branch Update:
Lighting and electrical problems plagued the branch this month, causing
several dark days. After analysis by several electricians, it was determined that loose
connections in the circuit box were the problem. Additional work will be done in early
October.
Personnel:
Two maternity leaves are currently in the offing for staff. Vera Warrick will be
leaving in mid-October for three months leave and then returning at 25 hours a week
for the following four months. Tracy Hammond is due in February and will be on
leave for an undetermined time at this writing. We will be rearranging existing staff,
hiring on-call staff, and recruiting for a part-time cataloger to help fill the gap.

As you are aware the City is proceeding with its plans to renovate
and expand the main library. Those plans will require the
demolition of the Duncan House. In accordance with our Lease
Agreement this letter is written notice that your tenancy is to
terminate by January 31 , 1995 .
Under state law you are entitled to relocation benefits from the
City. The City will be contacting Arthur P . Klingensmith and
